Hopefully everyone had a great fall and are prepared for the fast approaching holiday season! 2012 is just around the corner and looks to be quite an exciting year for Aesculap and instacount. We are planning several new and exciting enhancements with our next version of instacount. Aesculap also displayed SterilContainers, laparoscopic instruments including the new Reusable Trocar System, general instruments and cardiovascular instruments in the booth. University of Missouri Prepares for instacount PLUS with Instrument Inventory In August, Aesculap completed the largest inventory in its history at the University of Missouri. The inventory included three separate sites including: Women s and Children s Hospital, University Hospital, and Missouri Orthopaedic Institute with a combination of 1,250 unique sets. Originally the inventory was scheduled over a three week period, but the team worked hard and was able to finish in just two weekends. Each of the 1,250 sets were weighed, photographed, inventoried and data entered for the upcoming implementation of instacount PLUS. All three University of Missouri facilities will be up and running on instacount PLUS by the end of the year. 2 Going Paperless User Group Webcast Is your facility interested in reducing waste, saving employees time, reducing mistakes and lowering costs? If so, instacount PLUS can help by reducing or eliminating paper for various processes. Going paperless was the topic of the instacount PLUS User Group Webcast on August 17, 2011 and we discussed numerous ways that instacount PLUS can help your department become paperless. Scanner Setup is a Breeze with instacount PLUS Are you frustrated with the setup process for barcode scanners? Tired of scanning countless pages of barcode set-up steps and making sure you have the exact compatible scanner model, only to find out the COM port on the PC has been the problem the whole time? Well we have heard you! Starting with instacount PLUS Scanner Setup continued on page 3 Interfacing Sterilizers with instacount PLUS Did you know you that instacount PLUS provides the ability to interface various types and models of sterilizers and washers to instacount PLUS? When you purchase a Process Data Interface (PDI) you have the ability to do just that. For our instacount PLUS customers, this means Going Green by reducing paper consumption, automating the load linking process, and providing archival record storage retrievable with the click of a button. If you are an existing instacount PLUS customer and you are considering the possibility of interfacing your washers or sterilizers there are some important things to consider such as: Can my washers and/or sterilizers support a hospital network connection? What software will I need to purchase from my washer or sterilizer manufacturer in order to communicate with the instacount PLUS Process Data Interface (PDI)? What additional equipment/hardware will I be required to purchase for the interface? We have an ever growing list of manufacturers and models that we re connected to worldwide. It is important for you contact your sterilizer vendor to alert them of your interest in an interface and inquire about any costs that may be required from their side. From the beginning of the project, we communicate with you, your facility s IT department, and your washer or sterilizer manufacturer to ensure that you have all the information you need to coordinate a successful installation. Throughout the process our clinical staff will work with your facility to make sure you understand how it will impact and improve your department s processes. Like all technical projects, there will be time up front to plan and coordinate schedules from project inception through implementation. That s right, you can use any model scanner that is HID compliant and is provided with an IBM Hand-Held USB set-up barcode from the manufacturer. The benefits don t stop there, with this new technology base, most scanners only require a single scan to be compatible with instacount PLUS. This makes replacing a broken scanner in the department a simple task that the CSSD personnel can accomplish instead of having to wait for hospital IT to be dispatched. Interested in upgrading your scanner hardware, simply contact you local Sales Reps for recommended models and specifications. instacount PLUS Team Spotlight Justin Farrar Please welcome Justin, the newest member of the Aesculap instacount PLUS Team. He began his career with us on August 29, 2011 and is our IMS Project Specialist. Justin will be assisting in instacount PLUS system implementation and data integrity. In addition, Justin will be managing the data entry process and be a trainer for users on instacount PLUS functionality. Justin will also be travelling to meet clients needs on various projects. Justin came from M3 Media in Norristown, PA where he worked as a Project Coordinator managing various projects from start to finish. He brings with him his ability to time manage and delegate tasks, while keeping to schedule. Justin is a graduate of Bloomsburg University, where he earned a bachelor s degree in Business Information Systems. When he s not in the office, Justin enjoys visiting different places and staying active with the outdoors. He also is an avid follower of new technology and stays up-to-date with the latest advancements in consumer electronics. Trainer Tip: How to Add Your Picture to the Start Screen Users of instacount PLUS like to have some personalization with the software or more specifically to know that they have logged on to the correct account. instacount PLUS offers the capability to assign pictures to individual users so that they can further connect and grow familiar with the software. The process is quick and easy and can be explained in three simple steps. 1) The first step to assigning a picture to a user is to insert a picture into instacount PLUS. To accomplish this, you must add the picture into the media catalog. Following the path MASTER DATA > CATALOG > MEDIA CATALOG at the top navigation menu, you will come to a box that looks like the image to the right. 2) From the Media catalog box, you will find all the media that previously inserted into the software. This is the screen where you will insert your user picture. Upon clicking the Insert button, the right side of the box shows new fields allowing you to choose a name for the picture as well as map the location of the picture on your computer. 3) Use the File: field to find the picture s location on your computer. A dialog box will pop-up asking if you want to copy the file to the media directory. At this point, you should select Yes. This ensures that the picture will be available no matter which computer you login from. Once the picture has been added to the media directory, make sure to name the picture (by using the Name: field) the exact same name as the user. instacount PLUS links pictures and users by matching their Login names, not their short name. Example: Use login name: John Smith NOT short login name: JS. Once you have completed this step, click on Apply. The picture has now been assigned to the user with the same matching name. Please note the changes won t show until you restart instacount PLUS. In the article Ed Nuber (Container Sr. Product Manager) and Jamie Molina (instacount SRI/PCMS Product Manager) responded to the question: What are the top considerations surgical professionals should make to ensure instruments are well-organized, maintained and secured during all phases of storage, cleaning and use? Here are a few excerpts from the article: Instrument management systems are critical tools that help hospitals track their instrument maintenance. Maintenance intervals for each instrument set can be set up in the tracking system and updated to show when each maintenance takes place. Automatic alerts can let technicians know that a set is due to be maintained. It is important to ensure that secured instruments are guarded against from instrument-on-instrument impact during processing and storage. Protecting the instrument increases useful service life and minimizes repair costs of the instrument. Instrument sets that are well-organized most likely allow better sterilant contact to all surfaces.
