Orders can be created for anything related to a project and with description of the purchase either being manually entered with quantities and unit rates or chosen from the CRM products table. The standard Microsoft CRM Workflows can be used to automate the approvals of purchase orders. These workflows can be created and modified by the CRM administrator. Purchase Orders can then be delivered either by direct or by using the standard IPM transmittal functionality. 10 scheduling Job Progress View The Job Progress View is a powerful scheduling tool that creates a dynamic visual representation of every job within a project. Using a Gantt chart calendar, the Job Progress View displays scheduling data, budget information and links to assigned contractors based on existing data. As well as displaying the data in an easy to follow visual format, the user add, change and manage jobs from the display screen. Project resource management is simplified by point and click assignment of budget, equipment and subcontractor details. Integration with Microsoft Outlook means that you can manage the drawing register without having to change applications or even change screens. Users can view current and superseded versions of each document, as well as the drawing register communication log, which displays when each drawing version was received. 12 ipm project diary Entering field reports and daily logs has never been quicker or simpler than with IPM Project Diary. By using the latest Microsoft Dynamics CRM offline client configuration, users can access, review and submit field reports and daily logs on site without the need for a connected workstation. The offline client allows users to view record and send information to the IPM Project diary instantly, once communication with the server is established. When the Project diary has been submitted, users can check staff attendance, weather conditions, job progress and any other site information that has been recorded. The IPM Document History ensures that every site diary entry is automatically filed and can be recalled quickly as needed. Once Project diaries have been finalized, all job details are automatically updated, including real time information in Job Task Scheduling. Use the site diaries online or in disconnected mode subcontract control Effective control of subcontracts is crucial to the management of many projects. IPM provides effective subcontract control by providing facilities to record subcontracts and attach appropriate terms and conditions and other supporting documentation. Using either direct or through the use of IPM s transmittals subcontract can easily and efficiently be delivered to your business partners. 13 page 13 progress billing Due to the complexity of Progress Billing most companies have in the past used spreadsheets to manage this involved process. IPM changes this situation completely by making the progress billing process one that is both simple to use and time efficient. All the required fields are presented to the contract administrator allowing the addition and removal of columns not relevant to a particular project. The claims process utilizes standard CRM workflows to manage approvals and the final change from a claim to an invoice. If integrated to a Microsoft Dynamics ERP application the invoice is then automatically updated to the accounts receivable sub-ledger. Manage your progress billing as you would have in your spreadsheets - except with live data that centrally updates the project. 14 RFQ RFQ (Request For Quote) Requests for Quotes is a feature that allows the complete management of the subcontract and purchase order letting process. The starting point for the process is the Project Budget. Once a detailed budget has been recorded or imported for a job the process of generating quote requests can commence. RFQ s are created and the potential suppliers or subcontractors are selected from the Project Management Contacts list. These contacts are all add to the RFQ as BCC recipients of the request to assist in avoiding collusion between the suppliers or subcontractors. Items are then added to the RFQ. These items can be manually entered however they can be selected from the project budget lines. If budget lines are used then the details of the RFQs are updated against the budget lines and when an order to a supplier or subcontractor is awarded, then the value of the order is updated on the budget line so that direct analysis can be made, comparing the estimated or budgeted value against the awarded value. Drawings and other documents can be associated with the RFQ s and be automatically included with any transmittal. The powerful Outlook integration utilized by IPM will then automatically file the responses from suppliers and subcontractors with the original RFQ for easy reference. The price grid for the RFQ can then be updated with the submitted prices. Subcontracts and Purchase Orders can be generated directly from the RFQ. 16 issues register As projects are executed issues always arise from a variety of sources. Some of these issues will result in changes to the project while other will be managed through discussions with the parties involved on the project. The IPM issues register provides an centralised system for recording issues and allows other documents such as Change requests and RFI s to be generated from a particular issue using standard Microsoft CRM workflows. As with Risks, all Issues are tracked centrally timesheets Depending on the type of projects being managed in IPM, there may be a need to record resource usage. Resources can be people resources such as employees or they may be equipment resources such as excavators and compactors. IPM Timesheet functionality facilitates the recording of resource hours by resource and day of the week. Timesheets can be sorted by either employee or job and can be copied from week to week. Rates tables can be configured to associate a cost with the resource and these rates can be varied from project to project. The rate table associated with a project is nominated on the project record in IPM job setup. The timesheet information has up to 2 levels of approval to allow project managers and accounting staff to separately approve the entries. Timesheets can be exported to payroll systems once approved. If integrated to a Microsoft Dynamics ERP application the timesheet information is passed through to the jobs as cost journals or to Payroll once approved. 17 page 17 risk register All projects carry some degree of risk. The IPM Risk register provides a convenient place to document and update the details of these risks. The status of the risk can then be managed centrally. Should a risk lead to some other change in the project, workflows can be created to generate RFI s, Change Requests or any other IPM document from any specific risk. 18 site instructions On the worksite, real-time site instructions help ensure projects are completed on time, on budget, and to specification. IPM includes a Site Instruction tool that allows users to instantly send instructions to the worksite via a web browser or through Microsoft Outlook. Once entered into the system, site instructions are delivered as PDF files, and are also stored in Document History for easy access.
