9 th Annual Pharmacy Informatics Conference Microsoft Business Intelligence Modeling SQL and FileMan data using Excel data analysis tools Shawn Toy, PharmD March 21, 2018 March 2018

Objectives Illustrate the difference between data and information Define VA data sources Review Excel 2016 data options and instantiating analysis tools Demonstration of transferring and modeling data in Power Pivot Overview of Power Pivot OLAP model and pivot tables Summary of Power View and 3D Maps in Excel

Data versus Information Data is best represented as information building blocks Corporate Data Warehouse Dimensions: attribute data Fact tables: individual data points VistA FileManager SharePoint lists and surveys External reports and lists Information is best represented by structure and form for decision-making Tables, charts and reports Statistics Data analysis tools transform data into information via modeling and exploration Good analysis tools are both extensible and scalable Great analysis tools are dynamic and portable 2

VA Data Sources Raw data: VA FileManager (FileMan) Corporate Data Warehouse (CDW) SharePoint lists Vendor reports (Pharmacy Prime Vendor, Domestic Delivery Service, etc.) Information Systems: Pyramid Analytics link: BISL SharePoint sites Portals: VHA Reports and Measures Portal (RAMP): VHA Support Service Center (VSSC) Allocation Resource Center (ARC): Managerial and Cost Accounting Office (MCAO) Pharmacy Prime Vendor: 3

A brief history of Self-Service Business Intelligence PowerPivot was introduced as a downloadable add-in for Microsoft Excel 2010 Creation of data models and measures not available in national cubes Ability to mash up different data sources into a single model Merge FIleMan extracts with SQL databases (local and CDW) Pivoting tables in excess of 1-million rows Data easily refreshed to minimize rework OLAP moved from the realm of servers and specialized IT resources to the end user Questions answered in real time The measure is not available became a past concern Data model setup and Data Analysis Expressions (DAX) were user friendly Things have improved a lot since PowerPivot was introduced Better DAX Integrated Development Environment (IDE) Advanced OLAP functionalities, including additional data relationships and variables Excel Analysis Tools in Excel 2016 are powerful resources 4

Excel analysis tools? Excel 2016 focuses on information development New data import process Ability to Extract, Transform and Load (ETL) data in Excel 2016 Excel data model (tabular) available for any table or import Data analysis tools Power Pivot (data modeling and analysis) 3D Maps (Geographic Information System - GIS) Power View (interactive data discovery and reporting) Microsoft PowerBI is a lot like Excel 2016 data analysis tools Combines Power Query, Power Pivot and Power View into a stand-alone program Stand alone desktop version is TRM approved and is free Which is better? Both are great self-service BI platforms and are built around the same functionalities Excel is portable, familiar and, most importantly, on everyone s desktop right now Both integrate with SharePoint but Excel seems to work best (current SharePoint version) 5

Setting up Excel 2016 data options and data analysis tools Tools for OLAP and GIS analytics are already available to everyone today With the latest Excel 2016 release, Data is now its own option category 6

Tabular OLAP Microsoft s new On-line Analytical Processing (OLAP) model Does not require a server Requires only a decent computer with adequate memory (8GB) Offers exceptional data compression via VertiPaq/xVelocity Files are loaded into memory for efficient analysis New formula language: Data Analysis Expressions (DAX) Multi-Dimensional Expressions (MDX) can still be used to navigate defined hierarchies DAX includes time-intelligence functions Excel 2016 provides a DAX IDE for easy coding Tabular OLAP models made in Excel can be moved directly into an SQL Server Analysis Services (SSAS) environment and deployed immediately SSAS Tabular models can be accessed by Pyramid SSAS is reserved for large, multi-visn, data models Good data setup results in relatively small, SharePoint eligible, Excel files at the VISN level The result of tabular OLAP analysis is based on the application of filters to rows Unlike multidimensional OLAP, which uses dimensions, members and points 7
