Summary This article shall explain in detail about - How to create Reports, Dashboards, Scorecards and Briefing books with the help of screenshots. 3 Background My previous article was speaking about Role Assignments, Data collection, Submission, Approvals and Adjustments. In the present article, the concepts of Reporting, Dashboard creation, scorecard creation and Briefing book viewer will be highlighted with the help of the screenshots. Scope of this Article: The present article is about - Creation of Reports, Dashboards, Scorecards and Briefing books. Here we shall create Reports, Dashboards and scorecards for the population analysis between Women employees and Men employees in an Organization and summarize it in a Briefing book. Prerequisites Roles Requirements: Reporting frameworks are created KPIs are created and assigned to the Reporting framework Role assignments are done to the Users and Data request, collection, submission, final approvals and adjustments are carried out. Reports In our previous articles, we had created KPIs and linked to Reporting frameworks. In order to monitor the performance of these KPIs and to Measure and analyze these KPI metrics, Reports are created. The following navigation path is followed for Report creation. Navigation: Access menu Actions New New Report On the New Report page, Modify Table section Dimensions tab, select at least one dimension by using Drag and Drop option. On the New Report page, Modify Table section KPIs tab, select the KPIs which are to be reported and drag it into the Active screen 2010 SAP AG 3

4 Select the Base or Core KPIs on which Reporting is to be carried out. After dragging it to the main screen, under the untitled report section, In Date field Select the value as All or Year to date and then Run the Report. Note: Selecting All option may sometime take time to retrieve entire history of the KPIs SAP AG 4

5 The KPI data will be extracted and be displayed below the respective Base KPIs. Once the values were retrieved on the report for the selected KPIs, Save the Report. It should open the Save As pop up window wherein the Name and Description of the Report are to be entered and then save the report. The next step is to place this Report in the Briefing book, which can be viewed as a Diary giving the summary of all the screenshots placed. The Reports which are created are organized in a folder structure and can be shared by ing the report SAP AG 5

6 Briefing Books A Briefing book is a collection of snapshots of Reports, Dashboards and Scorecards, which gives a quick overview of the Organization s KPIs and their Targets, as shown in the scorecard. The Navigation path to create Briefing books is as follows: Navigation: Access menu Action New New Briefing Book We should create a new Briefing book giving it a Name and a Description. There is an option to set it as a Default Briefing book for all the reports, dashboards, scorecards we create. In the right hand side top corner, we can select the Briefing book and assign the reports, Dashboards, scorecards SAP AG 6

7 This Briefing book can be used as a presentation tool and can be used to create templates for regular reviews. Dashboards Dashboards are used to visualize KPI data in the reports graphically. Dashboards provide information in a consolidated manner and to be viewed at a glance The Navigation path to create Dashboards are as follows: Navigation: Access menu Actions New New Dashboard. We can select from various Layouts for Dashboards and then click on Create button SAP AG 7

8 The Report which was created will be visible in the Add Report window in the left corner of the dashboard layout with Repot folder listed on it; the interested Reports can be dragged into the Dashboard. Once the values were retrieved in selected reports on the dashboard, Click on Save button to save the dashboard SAP AG 8

9 It should open the Save As popup window wherein we should be able to enter the Name and Description of the Dashboard and then save it. The Dashboard can also be added to the Briefing book as shown below: The Dashboard function includes: Analysis of report data Sharing of dashboard data by and briefing books Dashboard graphic and layout capabilities 2010 SAP AG 9

10 Viewing Briefing book Briefing book can be viewed using the following navigation. Navigation: Access menu Reporting and Performance Briefing Books Name of the briefing book The briefing book opens like a diary which can be viewed page-by-page. The Reports and the dashboards, which were added, can be viewed in this briefing book. The main screen displays the Name and its Description. The first page displays the Report which was added while creating reports SAP AG 10

11 The second page displays the Dashboard which was added to Briefing book, after its creation. Dashboards are organized in a folder structure. You can share dashboards with others by sending a dashboard by . The next area would be to create Score cards and then add it to the Briefing book SAP AG 11

12 Scorecard Scorecard works with the Target and Actual data and provides a visual representation of Perspectives, Objectives and KPIs, hence measuring the sustainability efforts of an Organization that are aligned with its large-scale objectives in terms of Vision and Mission. In order to create a Score card, we should determine Perspective and its relative Objectives. 1. Perspective Perspective describes the various characteristics of a business that an organization needs to focus on, so that it can execute against its strategy. Perspectives can be regarded as categories of strategic objectives. The perspective can be created using the following Navigation: Navigation: Access menu Actions New New Perspective We should enter the values for the Name and Description fields. Also, the owner (may be CRL) can be selected from the user assignment window. Now click on Save in the New Perspective popup window SAP AG 12

13 Now, the next step is to create the relative objectives. In the edit mode of the newly created perspective, click on the New Objective option, which opens a new objective popup window. 2. Objective Objectives are actionable events and quantify the Perspectives. An objective translates the Vision and Mission of an organization into measurable and actionable operational terms. Enter the Name and Description for the newly created Objective and select an owner for this creation. Click on save button in the new Objective popup window SAP AG 13

14 Once the Objectives are added, Click on Save icon to save the Perspective. The next step is to create a Scorecard. Scorecard can be created by following the below navigation: Navigation: Access menu Actions new New Scorecard SAP AG 14

15 A new scorecard popup window opens. Here, we should enter the Name and Description of the new Scorecard and then click on Save button. A Draft scorecard page opens up with the following options: Overview Select Objectives Define Scorecard Assign Dimensions Summary 2010 SAP AG 15

16 In the Overview tab, select the Owner from the User Assignment window and then click on Next. In the Select Objectives section, select the perspective created previously by using the Shuttle button to move it to the right selection area SAP AG 16

17 In Define Scorecard section, select an objective listed in the top portion of the Define Scorecard page. In the bottom portion of the Define Scorecard page, select the KPIs created in the above steps by using shuttle button and then click on Next button. In the Assign Dimensions section, Under Time Dimensions tab, select the time dimension as calendar Year/Month and then click on Next button SAP AG 17

18 Once the above steps are completed, finally we click on Publish and Exit button to publish the scorecard. This scorecard can be viewed in two ways: Default view and Graphical view, which can be selected in the right side top corner SAP AG 18

19 Once the Scorecard is created, the next step is to Run the scorecard and then add it to the Briefing book. Viewing Scorecard Scorecard can be viewed in the following Navigation: Navigation: Access menu Reporting and Performance Scorecards Name of the scorecard created. The Perspectives and the Objectives related to the scorecard is displayed. When we click on the respective Objectives, the scorecard is opened up in a new page SAP AG 19

20 This scorecard displays a meter with the comparison of Actual and the Target values. Setting up the Target values will be discussed at last in Target & Benchmark settings of this article. This Scorecard can be added to the existing Briefing book SAP AG 20

21 Now, by navigating to the Briefing book, to see the added Scorecard, the following screens are displayed. The first page of the briefing book contained Report, second page contained Dashboard. Now, third page displays the newly created Scorecard. When we click on the Objective block, the scorecard pertaining to it will be displayed SAP AG 21

22 Now clicking on the Core KPI, the following tabs are displayed: Actual versus Target Contributing KPIs KPI Relationships In the Actual versus Target tab page, the actual values and the targeted values and their comparison the form of a graph is displayed SAP AG 22

23 In the Contributing KPIs tab, the Base KPIs which are contributing for the actual values are displayed. The KPI Relationships tab page displays the Core KPI and the Base KPI relationships (also Compound KPI if exist) SAP AG 23

24 Setting up the Target value: Once the Target values are set, the indicator moves to the respective rating as shown below SAP AG 24

25 Target Setting and Benchmark Setting 1. Target Setting Scorecard mainly used Target values and setting up these Target values are as given below: Navigate to the KPI Library using the following path: Access Menu Application setup KPI Library Select the KPI to which the Target value has to be set. Click on Edit option and Under Performance Settings, set the Target Setting radio button to YES to maintain Target values for the KPI. Click on Save Button to save the KPI Changes. Open BEx Analyzer (Using the Transaction code RRMX) and Click on the Connect Icon. Select the System and then Click OK. Now Enter the Login details and Click OK to Connect. The click on Open icon to open the workbook. Now, click on Find and enter the workbook name and click OK. Excel Workbook will open and it should contain KPI Name, KPI Level (Base, Compound, and Core), Organization, Parent Organization, Unit, Frequency, Previous Target (read only) and Current Target (Editable). Note: The Workbook contains only Quantitative KPIS because Target settings can be done only for Quantitative KPIs. Now, Enter the values for a KPI in the workbook and then click the Save button. 2. Benchmark Setting Similarly, Benchmark settings are done in BEx Analyzer Workbook. Here too, Benchmark settings can be done only for Quantitative KPIs and so the Workbook contains only Quantitative KPIs. Note: Maintain Benchmark must be set to YES in the KPI master.
