1 Purchase Manager Release Information August 31 st, 2017 What s New Shopper Profile UI Features 1. Ship to Addresses Identification: As a shopper, you now have a better way to identify and manage your own ship to address from the company created ship to addresses. You now see a new categorization in each address Type Ahead field with user owned vs Company owned addresses. 2. User Currency Defaults: Individual users can also have supported non-usd currencies configured as a default option within their profile page. NOTE: The system ensures that a single PR or PO can only use one currency at a time. This functionality is also available via the Line Item Bulk Upload feature in the PR. 1

2 3. Customer Reference Bulk Upload: Users can now add a customer reference to a line item, when creating a PR using the Bulk upload mechanism. This allows approvers to see if a purchase was done for a certain customer. The system will automatically associate a customer record, to the line item, based on the accounting information provided in the upload file, if one exist. If multiple Customer References exist per accounting object, then the system will notify the user with the appropriate message and the Apply functionality can then be used to apply the correct Customer Reference. 2

3 Admin Profile Features 1. Goods Receipt Configuration: We ve extend the Goods Receipt configuration to include a product and service PO mix scenarios. You are no longer are limited to PO goods receipt and 3-way match for Product and/or Service only, but can also include PO s with product and service line item mix combination. You will find this configuration under DocumentsàSettingsàGoods Receipt Configuration. 2. User Created Addresses: As an administrator, you now have a better mechanism to control and manage your ad-hoc ship to addresses. The ON/Off address creation toggle is under Master DataàAddresses, and will allow you to block your users from creating ad-hoc ship to addresses from the requisition or profile page. As an administrator, you still can have the ability to create company ship to addresses and assign them to individual users, through the user creation table. 3

4 3. Address Management: To better help you manage your address and communicate address ID s with your suppliers, we ve have made the address ID a configurable field within your address model. The system will provide you with a default 10-digit Address ID, however, as an administrator you will have the ability to modify the Address ID to match with your financial or ERP systems. 4. QBO Integration Enhancement: When your QuickBooks Online Connector is activated in your Vroozi account, your QBO Classes are now mapped to the Vroozi Cost Center objects. As an administrator, you must ensure that the Cost Center Description matches your QBO Classes description. 4

5 5. Password Security Enhancements: We ve added additional security enhancements around your user passwords when accessing Purchase Manager through the native authentication process. This new change includes: required upper and lower case letters, required at least one number, required at least one non-alphanumeric character. No action is required from users after the release, the changes will take affect the next time you change your password. NOTE: This does not apply if your company has SSO Authentication to Purchase Manager. 6. PO Submission Report: As an administrator, the system will now provide you with a PO Submission report, which has a configurable time frame. This will allow you better visibility to the PO s that are going out to your suppliers daily. You may set this report to auto submit in intervals of Twice a Day, Daily, Weekly, or Monthly. You may set this from your admin panel under BuyRouteàPO StatusàIn Process. 7. Introduced support for non-usd currencies in the PR/PO: Users are now able to use non-usd currencies in PMAN. Admins must configure which currencies are available to their users from the admin panel under Master DataàCurrencies. 8. Introduced support for customer reference at the line item level: Users now can have the ability to add a customer reference to a line item, when creating a PR. This allows approvers to see if a purchase was done for a certain customer. These customer references can be configured by Admins, and associated to accounting objects from within the admin panel under Master DataàAccounting. Allowing the system to automatically populate these at the line item level, when shoppers add accounting information to their order. 5

6 Customer Reference Field on Line Item: Customer Reference Table: General Defect Fixes 1. Mobile UI Fixes: This release includes improvements to different screens for different size screens on Android and Apple devices. Some of the screens included the users Shopping Cart, Favorites or personalized List page and the Search results page. 2. PO Resubmission Fix: There was a problem with the PO resubmission process, under Buy RouteàPO Statusà Processing. In some cases, an administrator or Buyer was unable to fully edit all fields in a PO that had failed to be submitted to the supplier for processing. We have made sure that as administrator or buyer you know can have the ability to edit all appropriate fields within the PO document, to have a successful PO resubmission back to the supplier. 3. PO Change Request Reference Number: There was an issue when copying a requisition that originate from a POCR, where the original PO number was copying in the Po Reference Field on the new PR. This issue has been resolved, and the newly created requisition does not contain the PO number from the originating PO. 4. PO Change Request Approval Notes: There was a mapping issue with added approval notes from a POCR, where the notes were not displaying in the SAP requisition, when the SAP ERP Adopter was turned on. 6

7 This issue has now been resolved, and all Approver Notes, Reason for Request and Notes to Supplier are now mapped correctly to the SAP requisition when SAP ERP Adopter is enabled. 5. PO Change Request Related Documents: There was a problem, where newly created requisitions from a POCR, did not display under the related documents. This issue has been resolved and all associated requisitions are now visible through the Related Documents section of any Purchase Manager Document. 7

8 Invoice Module 1. New looking Invoice Detail page: The Invoice Details page (including the Approval Split-Screen' page) has been re-designed to make Invoice review/approval easier for AP Approvers. The following fields have also been incorporated into the newly revamped page Invoice Date, Company Code, and Notes About Invoice (as highlighted in the screenshot below). 2. Support of attachment of multiple documents to Invoice: AP Users will now be able to attach/upload more than one document to an Invoice on Vroozi, while creating or editing it. AP Users can designate an attached document as the primary Invoice document or as Other Attachments using the drag-anddrop option. There is no restriction on the number of documents that can be attached to an Invoice. 3. Introduction of 'Shipping Charges' field to Invoice line-item: AP Users can now split the total Shipping Charges among the line-items on an Invoice, by using the newly introduced Shipping Charges field (as highlighted below). Shipping Charges is an optional field on the line-item. 8

Easier data retrieval on Invoice status pages: When an AP User enters a search criteria on the search bar on a given status tab (say 'Draft' in 'Invoice Status' page) and then navigates to the another tab (say 'Parked' in 'Invoice Status' page) on the same page, the search criteria would persist and status tab they navigate to would now display the search results pertinent to the entered search criteria. This is intended to minimize the time taken for an AP User to locate an Invoice in the system if they are not aware of what status that Invoice is in. 5. Invoice export (CSV) file changes: The following changes have been performed to the Comma Separated Values (CSV) file that is exported out to an external financial/payment system using Vroozi s sftp connector. a. Inclusion of all AP Approvers who approved or rejected an Invoice, along with their approval dates, times, and comments b. Introduction of a new field that represents the Shipping Charges associated with a line-item General Defect Fixes 1. Vroozi Hopper Fixes: In rare scenarios, we had older incoming ed invoices in the Vroozi Hopper that had no subject or sender information. We ve provided a fix to ensure this does not happened to any of the incoming invoices, and provided a data fix to all s currently stuck in your Vroozi Hopper without sender or subject information. 9
