4 SYSTEM 1. Document Attachment Document attachment is available on master record and transaction windows within GP. You can attach an unlimited number of documents which can also be set to flow from master records to transactions automatically. Page 4 of 26

5 2. Rename Fiscal Periods Administration Page SETUP-COMPANY-FISCAL PERIODS You can modify fiscal period names to make reports and inquiries easier to read: 3. SmartList Designer from Favorites SmartList Designer now allows you to create new SmartLists from existing Favorites (GP 2016): Page 5 of 26

6 4. SmartList to Excel Numbers are Formatted as Numbers! Number fields in SmartList are now exported to Excel automatically formatted as numbers (GP2016): FINANCIAL MANAGEMENT MODULE 5. Allow Account Entry Financial Page CARDS-FINANCIAL-ACCOUNT Disable the Allow Account Entry checkbox on the Account Maintenance window to prevent users from entering journal entries against specific accounts to maintain the integrity of sub-ledger reconciliations. 7 6. Reverse Historical Year Financial Page ROUTINES-FINANCIAL-YEAR END CLOSING Use the Reverse Historical Year function on the Year-End Closing window to re-open closed fiscal periods. 7. Remove Bank History Financial Page UTILITIES-FINANCIAL-REMOVE BANK HISTORY The Remove Bank History utility can be used to remove bank transaction history and improve the performance and speed of checkbook inquiries: Page 7 of 26

8 PAYABLES MANAGEMENT MODULE 8. Pay Check Batches by Credit Card Purchasing Page TRANSACTIONS-BATCHES Check batches can now be paid by credit card. The payment will create an invoice for the credit card vendor and a remittance form will print that list the invoices that were paid with that credit card transaction (GP 2016). Page 8 of 26

Update 1099 Information Purchasing Page UTILITIES-UPDATE 1099 INFORMATION The Update 1099 Information window can be used to perform mass updates of 1099 information on vendors and retroactively on vendor transactions: 10. Automatically Create Bank Deposits Administration Page SETUP-COMPANY-COMPANY In the Company Setup window, there is now an option to automatically post deposits from cash receipts entries (GP2016): 14. 14 19. Exclude Inactive Items from Look-Ups Inactive items can be excluded from look-ups and set as the default view: PAYROLL MODULE 20. Speedy Speedy Payroll Entry Payroll Module Page TRANSACTION-MASS ENTRY This is a quick way to create a larger group of payroll transactions. You can select or deselect items to be included in the batch. In the Preview Mass Entry Transactions window, click Build Batch to create the transactions. Page 14 of 26

15 21. Bi-Weekly Payroll vs. Monthly Deduction Payroll Module Page TRANSACTION-BUILD CHECKS If you do Bi-weekly payrolls, you pay employees 26 times a year. If you have monthly deductions, like health insurance, you have a monthly amount for each employee to deduct. Problem? If you annualized the monthly deductions and divide by 26 and use that amount each pay period, than you'll have difficulty balancing the liability to the GL and if employee leaves, creates a difference which the employee will likely owe a balance. Divide the monthly deduction amount by half and take out of each pay period for the first 2 pay periods of the month. Use a different "Build Payroll Check" ID and on the Deduction and Benefit button, use the Selected radio button and do not select those monthly deductions. Page 15 of 26

Payroll Classes are your friends Payroll Module Page TOOLS-SETUP-PAYROLL-EMPLOYEE CLASSES Many employees categorize their employees for reporting or if they pay their employees in specific groups, Payroll has a lot of reporting capability by class, including period end reports. You can also process a payroll by employee classes, by restricting the build process to a specific class Some of the other powerful uses class ID is to default setup values such as the following: a. SUTA State and Workers Comp Codes are automatically assigned to the employee so the proper tax reporting or post workers comp liabilities. b. Accrue Vacation and Accrue Sick check boxes to avoid errors with not accruing vacation and sick time. c. Employee Class Code Setup allows for automatically assignment of default Pay Codes, Benefits, Deductions, State Taxes, and Local Taxes to the class. d. If switch Class IDs on an Employee, the active codes are inactivated for Pay Codes, Benefits and Deductions. 23. Reprint Check or Earnings Statement 2 for 1 Payroll Module Page INQUIRY-PAYROLL-CHECK HISTORY Re-print a pay stub or earnings statement at any time. In U.S. Payroll Check Inquiry, when you view the checks for an employee, there is a checkbox that will let you print a duplicate report for the employee. You can mark one or more checks to print. 17 There is also a new option in GP2015 R2 that allows you to change the sort order on the Payroll Check inquiry window. No more scrolling to the bottom of the window! Page 17 of 26

In addition, deduction and benefits can be setup to apply maximum limits based on the fiscal year amounts. Users will be able to switch between calendar and fiscal year information in payroll inquiry windows. 25.
