2 The following Booth Standards and Regulations have been developed to provide exhibitors with all necessary information to design and build exhibits, plan their booth s layout and content, as well as to create a professional environment in which to conduct business. These regulations include all booth types with definitions, dimensions and requirements as well as important considerations, including federal and provincial government requirements. It is important that you are aware of these standards and comply with them to have a successful show experience! 3 In-Line Booth In-line Booths are arranged in a straight line and have neighbouring exhibitors on their immediate right and left, leaving only one side exposed to the aisle. In-line Booths are 10ft (3.04m) wide and 10ft (3.04m) deep. The maximum backwall height is 8ft (2.43m). Sidewalls are discouraged to preserve sightlines. If you still plan to bring sidewalls, the maximum height of 8ft (2.43m) must be limited to 5ft (1.52m) out from the rear of the booth, allowing 50% visibility at the sides of the exhibit. The remaining 5ft (1.52m) must be at a height no greater than 4ft (1.21m) in the remaining space forward to the aisle. All display materials with a height greater than 4ft (1.21m) must be placed in the back half of the booth space and must not obstruct sight lines of neighbouring exhibitors. If more than one In-line Booth is occupied, i.e. 10ft by 20ft (3.04m by 6.09m), 10ft by 30ft (3.04m by 9.14m), etc. exhibit materials must not obstruct sight lines of neighbouring exhibitors.

4 Corner Booth A Corner Booth is an In-line Booth at the end of a series of In-line Booths with exposure to intersecting aisles on two sides. All In-line Booth guidelines apply to Corner Booths. Double Corner Booth A Double Corner Booth has exposure to the aisles on three sides. Two sides are open to the cross aisles and one side is open to the main aisle. Double Corner Booths are 30ft (9.14m) wide or larger and 10ft (3.04m) deep. The maximum backwall height is 8ft (2.43m). The entire cubic content of the space may be used up to the maximum height of 8ft (2.43m).

5 Perimeter Booth A Perimeter Booth is an In-line Booth that backs onto an outside wall of the exhibit hall instead of another exhibit. All guidelines for In-line Booths apply to Perimeter Booths except that the maximum backwall height is 10ft (3.04m).

6 Peninsula Booth A Peninsula Booth is exposed to aisles on three sides. There are two types of Peninsula Booths: (a) one that backs onto In-line Booths, and (b) one that backs onto another Peninsula Booth and is referred to as a Split-Island Booth. A Peninsula Booth is 10ft by 20ft (3.04m by 6.09m) or larger. When a Peninsula Booth backs onto two In-line Booths, the backwall is restricted to a height of 4ft (1.21m) within 5ft (1.52m) of each aisle, allowing sufficient line of sight for the adjoining In-line Booths. The maximum backwall height is 8ft (2.43m), including signage on the backwall. All display materials must be arranged in such a way to not obstruct the sight lines of neighbouring exhibitors. Any display materials or side walls placed within 5ft (1.52m) on either side of the backwall display must be at a height no greater than 4ft (1.21m).

7 Split-Island Booth A Split-Island Booth is a Peninsula Booth which shares a common back wall with another Peninsula Booth. Split-Island Booths are 10ft by 20ft (3.04m by 6.09m) or larger on either side. The entire cubic content of the space may be used up to the maximum height of 8ft (2.43m).

8 Island Booth An Island Booth is any size booth exposed to aisles on all four sides. An Island Booth is 10ft by 20ft (3.04m by 6.09m) or larger. The entire cubic content of the space may be used up to the maximum height of 12ft (3.65m), including signage.

9 Canopies and Ceilings Canopies for In-line or Perimeter Booths should comply with line of sight requirements. All requests for canopies and ceilings must receive written approval from Show Management and the Metro Toronto Convention Centre by October 5, The bottom of the canopy should not be lower than 7ft (2.13m) from the floor within 5ft (1.52m) of any aisle. Canopy supports should be no wider than three inches (0.08m). Fire Regulations sq.ft. requires an ABC Fire Extinguisher sq.ft requires a Smoke Alarm & an ABC Fire Extinguisher and a potential Fire Watch. 800sq.ft. plus requires a Sprinkler System and a potential Fire Watch. Note: 600sq.ft. plus requires Toronto Fire Department approval and may be required to have a Fire Watch.

10 Towers A Tower is a free-standing display separate from the main exhibit backwall. The height restriction is the same as the exhibit space configuration being used. Towers built higher than 8ft (2.43m) must have booth designs/ schematics submitted to Show Management for approval by October 5, 2018.

11 Demonstrations Exhibitors who wish to conduct in-booth demonstrations must submit a request to Show Management prior to October 5, Exhibitors must conduct in-booth demonstrations in such a way to ensure all exhibitor staff and attendees are within the contracted exhibit space and not encroaching on the aisle or neighbouring exhibits. It is the responsibility of each exhibitor to arrange displays, product presentation, audio visual presentations, and demonstration areas to ensure compliance. Safety Precautions Any demonstrations that will include machinery or equipment that has moving parts, or is otherwise potentially hazardous, should install hazard/safety barriers as necessary to prevent accidental injury to attendees, or provide personal protective equipment, if required. Demonstrations should only be conducted by qualified personnel.

12 Hanging Signs & Graphics NEW FOR Booths smaller than 400sq.ft. are NOT permitted to hang signs above their booth. Flags and balloons of any kind will NOT be permitted on the show floor. Electric flashers or signs involving the use of Neon or similar cases are prohibited. All signage copy and graphics including company name and logos must only be visible from within the exhibitor s booth space and cannot be displayed on the sides or back of the booth. Hanging Signs and Graphics must be placed over the contracted booth space only and must be suspended at a maximum height of 16ft (4.87m) from the bottom of the sign to the show floor. Exhibitors 400sq.ft. and larger wishing to hang signage from the ceiling must first obtain approval from Show Management and hanging must be contracted through ShowTech Power & Lighting.

13 Positioning of Heavy Machinery All machinery must be arranged to fit within the contracted booth space allowing sufficient room for staff to work within the booth and attendees to enter the booth. All machinery must be placed 2ft (0.61m) back from the aisle.

14 Other Important Considerations Accessibility for Ontarians with Disabilities Act (AODA) All exhibiting companies are required to comply with the Accessibility for Ontarians with Disabilities Act (AODA), and are encouraged to be sensitive, and as reasonably accommodating as possible, to attendees with disabilities. Information regarding AODA compliance is available on the Ontario Government website. Exhibits are not exempt from AODA compliance. Some examples of how to design an exhibit for AODA compliance: Make exhibits wheelchair accessible by ramping raised exhibit flooring without extending a ramp into the aisle. Note: see Avoid Trip Hazards for required dimensions for ramps. Ramp the entry or use hydraulic lifts for two-story exhibits; Avoid double-padded plush carpet to ease mobility device navigation; Provide the same attendee experience on both levels of a two-story exhibit; Offer a sign language interpreter or other auxiliary hearing-impaired device for sound presentations or have a printed copy of the presentation available; Run an audio presentation for people with sight problems; Arrange touch screen displays at a height to accommodate a person sitting in a wheelchair. Floor Covering Exhibitors must carpet the entire floor space of their booth. Use of other materials for floor covering (wood flooring, tile, etc.) must receive approval from Show Management by October 5, If you do not have your own carpet, it can be rented from GES rented from GES Canada. Refer to the Online Exhibitor Manual for order forms. Painting, nailing or drilling into the building floor is not permitted. Floor covering other than carpet, or any built structures, must not be adhered directly to the building floor. It is required that building paper, plastic sheeting, or some other suitable protection be laid on the building floor, prior to laying the floor covering. If double-sided tape is used, it must be completely removed by the exhibitor during move-out. Exhibitors must not use masking tape, clear packaging tape or duct tape to adhere the covering to the show floor. The recommended tape is Scapa Tape #174, which is available from: Pillar Tapes Ltd. (163 Jardin Dr, Concord, ON, L4K 1X5, Tel ) National Hardware Sales Ltd. (500 Alden Road, Unit 5, Markham, ON L3R 5H5, Tel ). Avoid Trip Hazards Exhibitors should ensure they build any raised floors with these requirements in mind: Exhibitors with raised floors must remember they are limited to a maximum height of 6 (0.16m). All concealed wiring must be quickly accessible for emergency service. If you plan on installing raised floors in your booth, they must be non-hazardous and wheelchair accessible. Wheelchair ramps must be at least 3ft (0.92m) wide, with a maximum slope of 1:12 (i.e. a 6 (0.16m) rise would require a 6ft (1.83m) run). Landings must be provided at tops and bottoms of ramps and must be at least 30 (0.92m) wide by 60 (1.53m) in length and be free of obstructions. Ramps must be curbed or guarded at their edges and surfaces must be firm and slip-resistant. There must also be a ramp at every 100ft (30.48m). Please note: the full extent of any ramp must fall within your assigned booth space and cannot extend into the aisles.

15 Structural Integrity All exhibit displays should be designed and installed in a manner that will be structurally sound to withstand normal contact caused by neighbouring exhibitors, hall labourers, or installation/dismantling equipment, such as fork lifts. All 400sq.ft. and larger exhibits are required to submit booth designs/schematics including dimensions and weights to Show Management by October 5, Notice of Project An exhibitor who will spend more than $50,000 on material and labour to construct their booth must file a Notice of Project with the Ministry of Labour before move-in. Visit the Ontario Ministry of Labour website to complete the online form. The completed Notice of Project must be posted in the exhibitor s booth during move-in and move-out. In addition to the Notice of Project form, a Registration of Constructors and Employers Engaged in Construction form must be completed. This form does not have to be submitted ahead of time to the Ministry of Labour but must be posted in the booth along with the Notice of Project. Flammable and Toxic Materials All display and construction materials used must be made of fire retardant materials and be certified as flame retardant. Materials that cannot be treated to meet the requirements should not be used. Any exhibitors who plan to bring products onsite that require MSDS must submit copies to Show Management prior to move-in. Copies must also be available in the booth, should proof be requested onsite. Lighting No lighting, fixtures, lighting trusses, or overhead lighting are allowed outside the boundaries of the exhibit space. Exhibitors intending to use hanging light systems should submit drawings to Show Management for approval by October 5, Lighting should be directed to the inner confines of the booth space. Lighting should not project onto other exhibits or exhibition aisles. Lighting that is potentially harmful, such as lasers, ultraviolet lights or flashing or strobe lights that can trigger photosensitive epilepsy are not permitted. Lighting that spins, rotates, pulsates, and other specialized lighting effects should be in good taste and not interfere with neighbouring exhibitors or otherwise detract from the general atmosphere of the event. Requests to use specialized lighting must be submitted to Show Management for approval by October 5, Sound/Music Exhibitors may use sound equipment in their booths as long as the noise level does not disrupt the activities of neighbouring exhibitors. Requests to use sound/ music must be submitted to Show Management for approval by October 5, Exhibitors may be asked to turn off sound equipment if attendees or other exhibitors complain.

16 Electrical All electrical services are provided exclusively by ShowTech Power & Lighting. See online exhibitor manual for order forms. Exhibitors are not permitted to install electrical wiring devices onsite. Extension cords must be of the three-prong type (i.e. grounded) and must contain wires of the proper size to carry the electrical load. Wiring and electrical must follow the latest edition of the Ontario Electrical Safety Code (OESC), be up to the Electrical Safety Authority s (ESA) standards and MUST BE APPROVED. The OESC and ESA will not accept: Open joints; Taped joints; Ungrounded wiring; Improper box connectors. All wiring and lighting inspections and corrections should be taken care of before being brought onsite. Any lighting or wiring that is not factory assembled must be approved by an accredited approval agency prior to move-in. Display Vehicles Exhibitors wishing to display a vehicle in-booth must secure written approval from Show Management by October 5, Please note: the vehicle must fit within your contracted booth space allowing for staff to work within the booth and attendees to enter the booth. All display vehicles must have drip pans underneath them and pads under all tires. Exhibitors will be charged with cleaning costs for staining solutions not removed. No motorized vehicle may be operated on carpeted areas under any circumstances unless approved by Show Management and the Metro Toronto Convention Centre. When motorized vehicles have been approved for use on carpeted areas, a protective sheet of visqueen, tarpaulin or comparable material is to be used to eliminate damages from leaks, oil, etc. Fuel tanks containing fuel shall be maintained less than half full. Caps for fuel tank fill pipes shall be of the locking type and be maintained locked to prevent viewer inspection. If they cannot be locked, they shall be taped shut. The electrical system shall be de-energized by either: a) removing the battery or b) disconnecting both battery cables and covering them with electrical tape or other similar insulating material. Tanks containing propane shall be maintained less than half full.
