Approximate quantity of the Air conditioners and stabilizers likely to be purchased is 6 (1.5 Ton) and 7 (2 Ton) i.e., total 13(Thirteen). Price quoted per unit should be inclusive of all taxes, packing, forwarding & installation charges etc. No extra cartage/freight charges/ installation charges shall be paid. The tender must be sent in sealed cover prominently marked as Tender for supply and installation of Split Air conditioners in Regional Labour Institute, Kolkata to the undersigned latest by 3.00 P.M. on 7 th August, Bids will be opened on the same day at P.M. in the presence of the available Tenderers or their representatives. The tenderer must attach following documents with signed tender document: i) Quotation form as per Annexure I completely filled and signed by the tenderer. ii) Copy of VAT and Service Tax registration. iii) Authorization letter of the original manufacturer of the ACs/ Voltage stabilizers (in case of distributors /dealers). iv) Details of the Air conditioner to be supplied v) Rates for supply and installation of Air conditioners and stabilizers as per Annexure II. 3. Technical Specifications of the Air conditioners and stabilizers are as under: a. Type of Air conditioner - SPLIT AC b. Capacity of SPLIT AC ton / 2 Ton c. Star Rating of SPLIT AC - Five Star (*****) d. Stabilizer - 4/5 KVA (must be ISI marked) 4. 2 SCOPE OF WORK The details of the Split Air- Conditioners required are as below:- S. No. Capacity Qty. Type Star Rating Ton/2Ton 13 Five Star (*****) 1. The Air Conditioners are required to be installed in the Institute as well as in the Hostel Building of the Institute situated within the campus. 2. The Air Conditioners should be heavy duty type with ratings as specified above. 3. The stabilizers should be with capacity of 5/4 KVA (ISI mark only). 4. The Bidder is advised to visit the site and access the requirement of materials for installation of ACs. All expenses towards fabrication work, civil work, and electrical work including material required for installation shall be borne by the Bidder. 5. The Bidder will be required to ensure trouble free operations of the Air conditioners at the rated performance with minimum break down during warranty period. 6. The Bidder will be required to provide two complete services in a year for: i). Complete checkup of Air conditioners for performance with oiling and tuning of all mechanical and Electrical parts. ii). Temperature Regulation & Power consumption checking. iii). Cleaning of condenser & cooling coils, filters & body etc. iv). Any other problem faced by users from time to time. v). One wet service 7. The bidder shall provide comprehensive warranty of one year for the complete machine and 4 additional years for the compressor from the original equipment manufacturers. 8 In case of non-functioning of ACs or stabilizer during the warranty period, the bidder shall have to replace the defective Compressor or any other parts within 48 hours of the complaint. TERMS & CONDITIONS: 1. Bids shall be valid for a period of 60 days from the date of opening of bids. 2. Bids will be opened in the presence of bidders or their representatives, who choose to be present on the specified date and time. 3. Bidders will be responsible for covering all risk for his employees/machinery on site for installation & commissioning of job. The Institute will not be responsible for any damages whatsoever on this account. 4. Payment Terms: Payment will be made only after successful installation, commissioning and satisfactory report of the users. No advance payment will be made. 5. The Institute reserves the right to reject or to accept any tender as whole or in part without assigning any reason thereof. It will also not be obligatory on the Institute to accept the lowest quotation and no explanation shall be given with regard to reason for rejection of quotation of any tenderer. 6. The Institute is free to change the quantity of ACs & stabilizers for which the bid is called and the payment will be made for actual quantity installed. 7. All the documents submitted (whether original or photocopy) with the bid must be legible and signed by the bidders, otherwise the bid is likely to be rejected. 8. Prices indicated on the Price Schedule shall be entered in the following manner: (i) The price of the goods shall be quoted total price (inclusive of all taxes and levies, freight) of item each.

3 3 (ii) The bidder shall quote only one price for each item and if more than one price is quoted under different options the rate quoted by him in the first option will be valid only and will be taken for evaluation for all the items given in schedule of requirement. 10. The successful bidder has to supply and install ACs and voltage stabilizers within 15 days from the date of supply order. 11. Any bid received after the deadline for submission of bids shall be rejected and returned unopened to the bidder. 12. Delivery of the Goods shall be made by the Supplier in accordance with the time schedule specified in the purchase order. In case the supply is not completed within the stipulated delivery period, as indicated in the Purchase Order, the Institute reserves the right to cancel the purchase order.
