SEALED ITEM RATE TENDERS ARE INVITED ON BEHALF OF MADHYA PRADESH CRICKET ASSOCIATION, INDORE, (HEREINAFTER REFERRED AS 'CONTRACTING AUTHORITY') FOR THE REPLACEMENT OF THE EXISTING PASSENGER LIFT WITH 10 PERSONS CAPACITY AT HOLKAR STADIUM, INDORE. 1. ELIGIBILITY CRITERA FOR THE TENDERERS : A. The tenderer should be the Original Equipment manufacturer (OEM) or the tenderer should be the authorised channel partner / authorised dealer of the OEM B. The tenderer should have completed jobs of similar nature and capacity of not less than 40 lifts during the period of last three years in Indore and nearby region of 50 kms. C. the tenderer should have its own service centre in Indore under operation for last two years atleast. 2. 3 3. SCOPE OF WORK The scope of work covers Design, Supply, Installation, Testing, Commissioning and handing over of one number 10 persons capacity passenger lift (along with necessary facilities & equipments as prescribed in the annexure 1) at Holkar Stadium, Indore. The scope of work also requires the tenderer to provide 'comprehensive maintenance' of the installed lift for a period of 4 years after the completion of the 'defects liability period' as per the policy of the tenderer. The work required to be covered 'Comprehensive Maintenance' is prescribed in annexure 1. The annual charges for such service are required to be mentioned in the appropriate schedule under the 'Quantities & Prices' annexure. 4. DETAILED TECHNICAL SPECIFICATION OF THE LIFT & SCOPE OF WORK i. TECHNICAL SPECIFICATION AS PER ANNEXURE 1 ii. WORK NOT TO BE INCLUDED a. Construction of lift well. b. Construction of machine room above the building. c. Providing main switch /circuit breaker and suitable power connection at the overhead room. iii. ERECTION The Tenderer shall commence the erection of lift equipment immediately after receipt of the equipment and complete the work to the satisfaction of the authorised Architect / Engineer as prescribed by CONTRACTING AUTHORITY. Necessary scaffolding and safety measures for entire erection shall be done by the tenderer and is to be included in the cost. iv. TESTS Tests shall be carried out as per the relevant IS norms and its latest version to the satisfaction of the authorised Architect / Engineer as prescribed by CONTRACTING AUTHORITY. For the lift installation before handing over Test certificate for the other equipments shall be submitted. v. MANUAL, DRAWING AND GUARANTEE The Tenderer shall supply 3 sets of detailed mechanical and electrical drawings with operation and maintenance manuals along with the equipments before acceptance. The lift shall be guaranteed for a period of 12 months from the date of acceptance and free maintenance shall be done during the guarantee period. TENDER FOR REPLACEMENT OF PASSENGER LIFT Page 3

4 vi. TRAINING If required, the Tenderer shall arrange for training for 2 personnel of CONTRACTING AUTHORITY to enable them to secure normal maintenance / trouble shooting at the time of erection and commissioning of the elevator. vii. APPROVAL OF INSTALLATION AND COMPLETION CERTIFICATE Wherever required under statute, approval / completion certificate from the appropriate Local / State Government authority for installation and commissioning of lift shall be obtained and made available to CONTRACTING AUTHORITY before handing over the lifts at no extra cost. The statutory fees / charges payable to the statutory authorities shall be made by CONTRACTING AUTHORITY. viii. TIME OF COMPLETION The entire works of supply, installation, testing, commissioning and handing over of the Lift including control panels and all accessories shall be completed WITHIN FIVE (5) MONTHS from the date of issue of the Purchase Order by CONTRACTING AUTHORITY. 5. GENERAL TERMS & CONDITION (i) The technical Specification and Schedule of prices and Quantities to re-read in Conjunction to ensure the actual supply and works involved. (ii) The tendering firm shall quote the rates only in the format as prescribed in Schedule B. (iii) The tendering firm shall inspect the site including hoist way, head room and other acquaint themselves the system to be designed and then only shall quote their offer. The costs of visiting the Site shall be at the own expense of the tenderer. (iv) The tendering firm shall engage all the men/materials/tools/plants required for the work at the site till the completion of the work. CONTRACTING AUTHORITY will not supply / arrange any of the same. (v) CONTRACTING AUTHORITY will not be responsible for any loss or damage of the men/materials /tools/ plants engaged by the firm during the work at site or transportation. (vi) The tenderer will be responsible for any loss/damage to the property of CONTRACTING AUTHORITY during the work at site. (vii) Any alteration / modification suggested and materials / works detailed for rectification of defects pointed later after inspection by the Lift Inspector shall be carried out at the Tenderer s cost. 5 (viii) Though CONTRACTING AUTHORITY will provide space to store the material / tools / spares etc, the tenderer shall be responsible for safe storage of all materials, tools and equipments supplied and delivered at site from time to time, till the final handing over of the installation to the Trust. (ix) Any cut openings holes or punching made by the Tenderer at the walls or floor while carrying out the electrification work shall be made good to the original surface immediately on completion of work. (x) In cases, where specific mention has not been made of the brand / make of the materials in the specification considering the reliability / utility aspects and to suit the environmental conditions in the premises, only such materials shall be permitted to be used for the works. In all cases, the materials shall be got approved by authorised Architect / Engineer as prescribed by CONTRACTING AUTHORITY. (xi) The electric power supply for the erection work will be provided free of cost. (xii) The Tenderer shall include regular examinations of the installations during regular working hours by trained employees and shall include all the necessary adjustments, greasing, oiling, cleaning, supplies of genuine standard parts to keep the equipments in proper operation. (xiii) The tenderer, if required, shall contact the CONTRACTING AUTHORITY Office for any technical clarifications. (xiv) Desirous tenderer should keep a track of any corrigendum / addendum that is being subsequently uploaded on the website the last date of the availability of this document on the website of the contracting authority. 6. NEGOTIATION AND OTHER RIGHTS RETAINED BY THE CONTRACTING AUTHORITY: i. If deemed fit, CONTRACTING AUTHORITY may call any or all the tenderer who have participated in the tender for further negotiation of rates or any of the conditions. ii. However, CONTRACTING AUTHORITY reserves the right to reject any or all the tenders with or without any negotiations, without assigning any reasons thereof. iii. Reject or accept any application, cancel the tender process, and reject all applications; iv. Amend the scope and value of any contracts tendered under this project. In such an event, tender will only be invited to submit needful documents / offers for the revised requirements; v. Contracting Authority shall not be liable for any such actions and shall be under no obligation to inform the tenderer of the grounds for such actions. 7. 6 1. THE TENDERER SHALL SUBMIT THE DOCUMENTS IN TWO SEPERATE ENVELOPES MARKED AS ENVELOPE 'A' - TECHNICAL SPECIFICATION ENVELOPE 'A' - TECHNICAL SPECIFICATION SHOULD CONTAIN a. Covering letter on the letterhead of the firm with signature & seal of the authority submitting the tender on behalf of the firm. b. Adequate documents to establish fulfillment of the eligibility criterion. c. Adequate documents, photographs etc. to establish fulfillment of the technical specifications as prescribed in ANNEXURE 1 d. Design brochure / sample products to enable the CONTRACTING AUTHORITY to ascertain the best available option of items like door / ceiling / led display etc. e. Proforma / Specimen of the contract that would be entered into between the CONTRACTING AUTHORITY and the tendering firm is the tender is accepted. AND ENVELOPE 'B' - QUANTITIES & PRICES ENVELOPE 'B'- QUANTITIES & PRICES SHOULD CONTAIN THE PRICES AS PER THE FORMAT. 2. THESE TWO ENVELOPES SHALL BE PACKED IN ONE COVER ENVELOPE ADDRESSED AS UNDER HON. SECRETARY - MADHYA PRADESH CRICKET ASSOCIATION HOLKAR STADIUM, RACE COURSE ROAD, INDORE THE COVER ENVELOPE SHOULD MENTION 'TENDER FOR REPLACEMENT OF PASSENGER LIFT' 3.
