Clients are asking fr access t this data as part f ur turnver package in electrnic frmat. Traditinally, ur prjects have nt been set up at the beginning t facilitate this transfer f data. Simple things like Lcatins and Asset IDs are nt in the cntract dcuments until the end f the prject. Als, wners dn t knw what they want r need. This class will fllw a case-study frmat f a cmpleted prject started befre the client had purchased Building Ops sftware. It will fllw the prcess t set up BIM 360 Field sftware t build and utilize the Equipment matrix, and we ll cver hw the initial assumptins and decisins that were made affected the turnver prcess. We will discuss ur lessns learned and give time t fcus attentin n early t limit rewrk and rerganizatin f data t meet the turnver needs. This discussin will fcus n the transitin frm BIM 360 Field sftware t Building Ops sftware, but it culd be applied t mst FAMS sftware. This sessin features BIM 360 Field and Building Ops. AIA Apprved Abut the Speaker Jsh Lannen's current psitin with BOND Brthers is a quality assurance / quality cntrl (QA/QC) manager, and he versees BIM 360 sftware deplyment. Jsh started his career in 2000 with Turner Cnstructin wrking n prjects fr clients such as Amgen, Millennium Pharmaceutical, Liberty Mutual, Blue Crss Blue Shield Assciatin, and Harvard Business Schl. Over the last 16 years, he has held the psitins f field engineer, assistant superintendent, superintendent, and prject manager. Jsh was a key team member n the Tata Hall prject fr Harvard Business Schl, where he prvided supprt and technical assistance in additin t the utilizatin f BIM 360 sftware t its full capabilities. In his current rle as QA/QC manager fr BOND, he versees the cmpany s quality prgram and BIM 360 sftware database. He is cntinually imprving best practices and keeping the cmpany current n industry advances and trends. 2 Abut BOND BOND is a furth generatin, privately held, full service cnstructin management and civil & utility general cntracting firm, we are driven frward by listening t the needs f ur clients. Our fcus is n building a bnd f trust that fuels each cnstructin prject we undertake. Intrductin: Fur years ag, ne f ur university clients cntracted with us t set up a cmplex and detailed FAM matrix fr all the mechanical equipment n ur prject. Each piece f equipment was entered int the matrix, barcded, and tracked during cnstructin. The matrix we were asked t set up had ver 250 tracking elements per piece f equipment. It tk a significant amunt f time and labr t set-up and ppulate. Once cmpleted, we exprted the raw data in csv frmat t ur client fr imprt t their FAMS system. This exercise taught us the pwer and functinality f the Equipment Mdule within BIM 360 Field as a cnstructin tracking tl. After ding a series f tests n a smaller scale, with smaller prjects we were ready t scale the prcess up and nce again try it ut again n a large prject. As we began ur set-up, we did nt knw ur new client was in discussin with Autdesk abut adpting Building Ops, s we prceeded with entering infrmatin frm the drawings as it made sense t us and did nt have any engagement with the design team r ur client. Our gal was t prvide a mre efficient methd fr rganizing and tracking the installatin f the MEP equipment and set urselves up fr cmmissining. It wasn t until nly a few mnths befre the prject was cmplete that we were apprached by the client t investigate setting up BIM 360 Field with enugh infrmatin t ppulate their Building Ops database. This presentatin will prvide infrmatin abut ur challenges t merge the tw databases late in the prject. Page 2

3 Initial Equipment Matrix Set-up Equipment names, barcdes, types, and descriptins were drawn frm the design dcuments and very basic. 4 Cnstructin Tracking and Owner Request Ppulatin and use f the equipment matrix was uneventful until the client apprached us abut the pssibility f setting up Field t transfer int Building Ops. At this time we cnvened a meeting t discuss their ideal infrmatin and what we currently had in the system. At this mment we realized that many f ur categries and ur naming cnventin was nt aligned/cnsistent with the client s standard categries. This meeting als led the client t the cnclusin that their wn internal cnventins were nt as cnsistent with what their needs were and spurred a very prductive internal cnversatin abut their wn prcesses. Trial Data Dump With the help f Autdesk, we set up a test envirnment t find ut what infrmatin wuld be sent ver t ABO and what frmatting changes needed t be made. We quickly nticed that we had several cnstructin fields that were nt needed by the client and needed t develp a means fr fine tuning the data. (See Bx Belw) Page 4

5 This prcess did have sme very psitive benefits thugh. The mst imprtant discvery was hw many and hw much turnver data in the frm f O&M and Submittals we culd send directly int the client s database with little t n effrt. This data was then immediately accessible n a smart phne r tablet by scanning the QR cdes we placed n equipment. Page 5

6 Ntes frm ur Client Learn Hw T Ask The Right Questin Abut Turnver T D A Prper Jb Setup Sme imprtant questins that an Owner shuld be asked when it cmes t turnver data and prper jb setup are the fllwing: What assets will the Owner s FM team perfrm regular preventative maintenance n? Because the FM Team used the implementatin prcess as an pprtunity t standardize turnver data (including asset data), a grup f prfessinals identified key pieces f equipment that need t have a scheduled preventative maintenance assciated t it in rder fr buildings t perate efficiently. They are knwn Preventative Maintenance (PM) Assets. An example f PM Assets at include Air Handling Units, Bilers, Fan Cil Units, Pumps, and mre. What assets will the Owner s FM team NOT PERFORM regular preventative maintenance n, but wuld like t track in a cmputerized maintenance management system (CMMS), like Building Ops, fr lcatinal purpses? The FM team nt nly includes PM Assets in their new CMMS, but they als include Tracking Assets. Tracking Assets are MEP equipment that d nt have a regularly scheduled maintenance sessin, but are imprtant t knw the lcatin and identity data f in case f failure r ther peratinal reasns. An example f Tracking Assets include: Cndensers, Mtr Cntrl Centers, Switchbards, Tanks, Water Heaters, and mre. Besides standard data that Building Ops asks fr abut each asset (i.e. Asset ID, Descriptin, Manufacturer, Mdel, Serial Number, Warranty Data), is there any additinal infrmatin the Owner wuld like t keep track f fr each asset? The FM team had a lt f cnversatins ver what we wuld like t track in ur new CMMS. The amunt f infrmatin had t be bth reasnable and usable. Lading t much infrmatin culd becme useless and bg the system dwn. Because f that, the FM Team has agreed t track three additinal fields in Building Ops relating twards each asset. They include Asset Type (preventative maintenance r tracking), Serves (what the equipment serves), and Field Cmments (additinal data). Des the Owner have any space standards that the CM Firm must adhere t? Our client has an internal department that deals specifically with space management data. The data includes names f spaces, departmental uses, square ftage, rentable square ftage, and mre. Page 6

7 During New Cnstructin and Majr Renvatin prjects, the space management department infrms the CM Firm f all required space management standards, which are then cnveyed int BIM 360 Field, and are eventually turned ver prperly t Building Ops. Will the Owner like t Barcde/QR Cde any rms r assets? If s, is there a specific way they shuld be treated? The FM Team has recently began QR Cding all assets and rms n campus. Standards are still being develped, but there are specific characteristics the QR Cde must have. Des the Owner have specific naming cnventins fr data that the CM Firm t adhere t when tracking and lading data? Like previusly mentined, the FM Team has recently develped an advanced set f data standards fr turnver and inventry purpses. There are nw naming cnventins fr asset data, spatial data, and even QR Cdes. The CM Firm shuld adhere t all, especially when lading data int BIM 360 Field. When turnver data is transferred frm BIM 360 Field t Building Ops, it will take all naming cnventins laded in Field. Besides O&M s, Submittals, and ther standard asset dcumentatin, des the Owner want any additinal dcumentatin being tracked in the CMMS? The FM Team is happy with just O&M s and Submittals, but images f each piece f equipment are required, alng with an image f the name plate. These are questins Facilities Management has learned must be asked by the CM Firm at the beginning f the prject, especially if the CM Firm is using BIM 360 Field. If the questins aren t asked, then the Owner must cmmunicate his/her respnses, even if BIM 360 Field is nt being used by the CM Firm. Understand Hw The Equipment Matrix Transfers Frm BIM 360 Field t Building Ops If the Owner is using Building Ops as their CMMS and the CM Firm is using BIM 360 Field, it s especially imprtant t understand the attribute matrix between bth systems. In simplest terms, an equipment field in BIM 360 Field des nt line up ne-t-ne in Buildings Ops. The table belw identifies the prper setup. Whether it be during the planning and design phase r cnstructin and executin, an Owner always wants t be in the lp abut his/her prject. Fr Owners in the Higher Educatin Industry, there can be multiple internal departments invlved n a New Cnstructin r Majr Renvatin prject. With new technlgies emerging, cmmunicatins between different parties f prject are becming easier than ever, making it mre appealing fr peple t participate in a cnstructin prject. Frm a FM perspective, the ease f transferring the majrity f turnver data frm BIM 360 Field int Building Ops encurages strng participatin frm the Owner's side. Facility Managers will want t begin prviding input t CM Firms, such as making sure naming cnventins are crrect, assets are rganized prperly and all required identity data is included, dcumentatin f each asset is laded prperly, lcatins and spaces line up ne-t-ne with what was given, and much mre. If standards and participatin are exchanged at the beginning f a prject, turnver data frm the CM Firm is as simple as a click f a buttn, remving the painful prcess f FM persnnel dissecting data, rganizing it in a cmpletely different way, and lading it int their CMMS. Understand Basic Key Elements Needed By Mst Clients Fr Facilities Management The simplest way fr CM Firms, and ther parties f a cnstructin prject, t understand basic key elements needed by the FM department t perate a building is by speaking with FM persnnel at the beginning f a prject. The questins listed at the beginning f this dcument can be a great way t find basic needs f the FM department, as well as lead int additinal findings that can help the FM department perate mre efficiently. The FM Team at has learned t cmmunicate their basic needs at the beginning f a cnstructin prject s all parties are n the same page regarding deliverables. Page 8
