Item & Action Nov 09 Info Scope of Work TB described the Scope-of-Work which consists of the Priority 1 and Priority 2 items listed in the Requirement List Report. The list has been attached to the meeting notes. The following is an outline of the items: A. Smoke vents in stage roof B. Exterior wall repair of damaged EIFS C. Noisy HVAC root top units D. Replace irrigation system controller E. Enlarge cafeteria F. Upgrade playgrounds to meet safety and accessibility requirements
2 Superior Elementary School Addition & Remodel DAT Meeting Notes - 03 Boulder Valley School District 16 December 2009 Item Date Resp. Item & Action Nov 09 Info Schedule KS presented a preliminary schedule for the DAT process, design, bidding and construction. A revised schedule has been attached to the meeting notes. The DAT meetings are schedule to be completed in December, Design to be completed by March 2010 for construction to take place during the summer of Nov 09 TB GOCO Grant TB will be working with the City of Superior to apply for a GOCO grant to upgrade the playground equipment. The school has selected the upgraded equipment through another process which could be used for the grant. 04 Dec 09 The application deadline is 02 March 2010 with decisions made in June % of the project cost is to be provided by the owner. 16 Dec 09 TB has tried contacting them but hasn t heard back yet Nov 09 Info Permit Agency The project will be taken through the state of Colorado for a building permit Nov 09 Info Lunch Sessions The cafeteria will need to accommodate 220 seats since the school has an enrollment of 640 with 3 lunch periods Nov 09 TB / JD Lunch Tables The existing folding lunch tables seat 16 students, 8 on each side. Additional tables will need to be purchased. TB to determine if this is to come out of the construction budget or FFE. 04 Dec 09 It was noted that per the district guidelines the lunch tables need to fit within the new store room. MOA will measure the existing tables and to verify the size of the store room. 16 Dec 09 MOA measured existing tables and are showing the number of tables stacked in the Table Storage area; SF of existing Before & After storage is being matched in new addition Nov 09 Info Cafeteria Size The cafeteria addition was planned to be 2000 square feet. MOA has verified that a typical school cafeteria size can be calculated so 1 student equals 10 square feet. Therefore, the total area of the finished cafeteria needs to be a minimum of 2,200 square feet. 04 Dec 09 per the district guidelines the cafeteria needs to be around 3,600 square feet which includes (2) store rooms. One room is for table storage and the other if for before/after school programs. After layout of the 2 design options the new addition will only have to be around 1,800 square feet which is 200 less than the planned 2,000 square feet. This should be a cost savings Nov 09 JD Cafeteria s Other Uses YMCA (has existing storage room) PE for 23 students from early grades (will use existing gym storage space as well) Community Meeting Space 04 Dec 09 The DAT team walked through the cafeteria and discovered that some shelving is required to store student bins. Currently the bins are laid down on the floor which reduces the usable area. MOA will research some location options for shelving and coat hooks as well. Page 2 of 5

Item & Action Nov 09 JD Cafeteria Details The following list of details or ideas to consider: A. Provide teaching corner, similar to classroom 04 Dec 09 This can be reduced to a marker board and projection screen along the north wall 16 Dec 09 MOA presented a floor plan showing the location of marker board and projection screen (see attached for location); location was approved by the DAT. B. Will need second means of egress directly to the exterior C. Second exit may become an after-hours entry or be for emergency egress only D. Roll-in cart will be used for projection E. Cannot extend the room toward the temporary classrooms F. Provide daylight G. New casework and appliances in the cafeteria 04 Dec 09 - This can be reduced to a counter with a sink, which can be located on the north wall as well H. Review existing mechanical noise from HVAC roof top unit 04 Dec 09 The design team will provide details to improve the mechanical noise but it will be listed as an add alternate in the construction drawings so if the bids come in favorable this repair work can be funded through this construction budget Nov 09 Info Summer Programs Since the construction is planned for the summer of 2010 the summer programs may be disrupted. The school does have a few summer programs planned such as YMCA access and Life Long Learning. The portable classrooms are not utilized during the summer. 04 Dec 09 The temps are used during the summer but will not be scheduled for use if construction is near by Nov 09 Info Noisy HVAC Roof Top Units The mechanical noise is very loud in classrooms 231 through 243. MOA will have its consultants review ideas to lower the vibration and fan noise. 04 Dec 09 MOA s consultants visited the site to review the noisy RTU s. It was determined that there were three options to improve the performance. A. Provide new fans that will runner quieter B. Provide new isolation springs to replace the existing springs which appear to be worn-out C. Review path of ductwork to see if some adjustments can be made to prevent the sound of sound Nov 09 Info Smoke Vents MOA will review the building code and meet with the state to determine if the smoke vents are actually required. 04 Dec 09 The 2006 IBC Section states we need to provide a smoke vents at a stage if the space is over 1000 SF or if the space is over 50 in height. Superior s stage is only 719 SF and well below 50 Page 3 of 5

Therefore, per the building code the vents are not required. This will be a cost savings Nov 09 Info Exterior Wall Repair The exterior EIFS has been damaged by balls being thrown against it. MOA will research some options to repair and strengthen the wall Nov 09 Info Irrigation Controller The irrigation controller needs to be replaced. The unit will be purchased by BVSD but installed by the contractor. The controller will need power and data. It will also need capacity to control future zones Nov 09 JD Playgrounds The play surface material is gravel which needs to be replaced by engineered wood fiber. The play pits need to have accessible ramps and accessible play equipment. There is not enough budgeted for all of this work so priorities will have to be determined. 04 Dec 09 These options are to be priced before the design team researches options for additional play equipment Nov 09 INFO Soils Report A soils report will need to be generated to finalize the design of the structural foundation of the cafeteria addition. There is evidence of expansive soil which will be a concern. 04 Dec 09 MOA received a copy of the report Nov 09 INFO Existing School Drawings TB will forward a copy of the existing school drawings in an electronic format to MOA next week. 04 Dec 09 MOA received a copy of the drawings Nov 09 Info Cost Estimates MOA will provide two cost estimates during the design process Dec 09 Info Cafeteria Plan Options MOA presented two options A and B to the DAT team (attached). Both options expanded the cafeteria to the west away from the temporary classrooms. Both provided about an additional 1800 sf and included the (2) required store rooms as described in item 7 above. Option B was the preferred choice. Following are a list of comments from the DAT: A. Storeroom could be open to the cafeteria to provide more usable area when the tables are open. And it would provide more natural daylight to the space B. The Before/After Storeroom will be increased from 118 to 120 sf to match the existing room area. Power and data are to be added to this room to allow future office space if desired C. Reduce the counter area and provide only one sink. The sink is to have a deep bowl with a goose neck faucet D. Provide a marker board and projection screen on the north wall east of the sink E. Review location options for storage shelving to house the storage bins used by the Before/After students. One option was in the Storeroom if it did not prevent storage of all the tables Page 4 of 5

MOA will review options for the height of the new addition since the existing west section of the cafeteria steps down in height. Additional height will improve noise levels in the room 16 Dec 09 MOA presented 3 building elevation / section and plan options see attached. Option 1 and 2, shows the new space with additional height; Option 3 shows the new space constant with the lower roof. Option #2 was the preferred choice. MOA will begin SD s with Option #2 with a few modifications / improvements: A. Lower windows so that children can see out. B. Show fridge in Before & After storage. C. Provide padding at exposed columns. D. Provide a deep sink at new casework. E. Look at options for sound control in exposed to structure area. F. Look at options for opening up existing low roof Dec 09 Info Site Plan MOA presented a areal site plan of the new cafeteria addition (attached). Following are a list of comments from the DAT: A. MOA will review options to remove the existing light pole close to the addition. It may be removed and replaced by a wall mounted light fixture B. The existing concrete path at the southwest corner of the new addition will need to be revised to allow proper access around the addition END OF MEETING NOTES This record of the meeting is considered complete and accurate unless written notice is received by MOA within 5 days of issuance.
