Box 837 Reno, NV USA t: Subject: RFP Title: Request for Proposal Response to Questions submitted Reno-Sparks Convention Center Carpet Design/Procurement Date Of RFP Release: January 17, 2018 Opening Date: February 13, 2018 Opening Time: 2:00 PM Contact: Robert Chisel, Director of Finance The Reno-Sparks Convention and Visitors Authority received the following questions in regards to RFP Below are the questions received and the Authority s responses. 1. Would you like for us to provide pricing for material only, or material and installation? Please provide complete pricing, inclusive of Materials, Shipping, and Installation Costs. Also provide pricing for Removal & Disposal of existing carpet tiles. Provide complete pricing, but itemize the cost for materials and the amount of square yards, shipping, installation and include the cost to remove and depose of existing carpet. Following the questions is a sample Bid Proposal Worksheet 2. How do you intend to purchase carpet: through the manufacturer, an installer or a general contractor? At the discretion of the bidder, it can be through the Installer and the Installer includes the Manufacturers carpet costs numbers. Or the Authority is also open to the Carpet Manufacture being prime contract person and contracting out installation as subcontractor. 3. Do you intend to purchase carpet and installation through one entity? The manufacturer? The installer? The general contractor?

2 Same as above. 4. If we do not meet a part of your required specification, would you like for us to complete a Product Substitution Form? Yes. A proposer deviating from specifications must specify any and all deviation(s). 5. Would you provide a deadline for carpet installation so that we can estimate production? A construction timeline would be helpful. All Carpet Installation is required to be completed by 1 August The Authority will work with the installer on a final schedule, but there will be times where the installation will need to be done in phases. On-site storage is available. In general, the Center will not be available for installation until June 1, 2018, for the months of June and July the events occurring will allow for installation to continue, with some work arounds required. Attached is the scheduled bookings for June and July. 6. You have a tight schedule. In order to meet your deadline with the exact specifications you are requiring, would you be willing to pay overtime for labor? If overtime is required by the installers, then this cost/factor is to be included in Installers Pricing at the time of Bid Submittal. 7. On page 5, you state Proposer will sign and return the ENTIRE RFP DOCUMENT marked as ORIGINAL with 5 duplicate copies. What pages do you consider to be the entire RFP? Pages 1-218? Please provide the document pages Do you have a preferred format for presenting products and pricing? Where in the document would you like for us to place the products and pricing? Please see attached bid form to be completed and signed with each bid. 9. On page 6, you list all of the things we are to complete. What is there to complete in the Project Manual? For the Project Manual, please complete the attached fee cost sheet. 10. May we use your yardage estimates or would you like for us to complete a walk through for final yardage? Or would you prefer a unit cost per square yard? CAD file was provided to Bidders for use in confirming yardage requirements. No estimates. We expect to have the final cost for the installation. The proposers should include the required attic stock listed in the specifications, and waste factor in their pricing. The CAD drawings should allow seaming diagrams from which they can do takeoffs.
