3 NOTATIONS GENERAL: Baylor University Furniture Standards are the approved guidelines for all new applicable furniture installation projects or requests as documented by Baylor University Operations and Facilities Management and Procurement Services. Issue Two is effective immediately. Furniture selection is based upon a level system that is predetermined by the position held by the Purchaser (user). This level system is comprised of both a furniture mix and finish type which corresponds directly to the University s appropriate standard square footage allotment per workspace. The University highly recommends compliance with the level system and the guidelines contained within. Finish and fabric selections, including laminate, wood veneer, metal, hardware, product colors and stains, fabric type and selection are predetermined by the standards specifications and cannot be altered. Any request for alterations from the predetermined specifications will need to be reviewed and approved by Operations and Facilities Management. Product layout and orientation can be determined by the Purchaser to accommodate existing conditions. The Purchaser can request layouts and 3D line drawings from the Dealer for review and approval. Review or design assistance should not be required by Operations and Facilities Management for any furnishings listed within this standard. Operations and Facilities Management and/ or Procurement Services reserve the right to accept or deny any requested alterations to the Baylor University Furniture Standards.

4 PURCHASING: NOTATIONS All pricing noted within this standards package is available and based upon state contracted TXMAS pricing. Since all furniture is available on TXMAS pricing, it is not a requirement to obtain three bids for each furniture order. Pricing is based on approximate cost from the manufacturer s price listing and Dealers estimates. All pricing is subject to change. Pricing does not include delivery and installation costs. These costs can vary greatly depending on Dealer location. Please review all inclusions and exclusions within each workstation and level description found within the standards. It is the responsibility of the Purchaser to ensure that their order is accurately quoted by the Dealer prior to submitting an order or purchase order. Once an order or purchase order is submitted, requests for changes typically cannot be met or will be made at an additional cost to the original purchase order Agreement. Requisitions and purchase orders are required for any orders at or exceeding $5,000. The Purchaser will prepare an on line requisition within the Baylor TRAX system which must be approved and budget checked before a purchase order is submitted to the Dealer. When preparing a requisition, please ensure that the delivery address and contact information is correctly noted and that all appropriate documentation is forwarded to Purchasing. Once a purchase order has been issued, it will be the Dealer s responsibility to contact the Purchaser to schedule a delivery date and confirm the delivery location. Deliveries are to be made during normal operating hours. It is the Purchaser s responsibility to receive, visually inspect and sign for (accept) the furniture at the scheduled delivery date. Baylor Facility Services (or other departments) will not be responsible for receiving orders being made by a Purchaser. At the time of receipt and inspection, the Purchaser should note any unacceptable or damaged items on the delivery ticket, sign the ticket and then obtain a copy. If there are unacceptable or damaged items, it will be the Purchaser s responsibility to follow up with the Dealer directly. Final payment should only be made once all outstanding issues have been resolved. All furnishings specified in these standards hold a manufacturer s warranty. If any issues arise with any of these furnishings, please contact the Dealer directly to help get the issue resolved.
