1 WSI Ecodesk Wood Supplier Landing Page Williams-Sonoma, Inc. is committed to the legal, ethical, and sustainable procurement of the wood used in our products. WSI vendors are expected to share and uphold the same principles as defined in our Wood Procurement Policy. The WSI Corporate Social Responsibility team will assess vendors on compliance to the Wood Procurement Policy through the Wood Tracking Questionnaire, and, if needed, third party audits. We expect our vendors to progressively improve their abilities to track wood in their supply chain, increase the amount of certified sustainable wood, and improve their operational sustainability performance. Vendors that sell products to WSI with solid wood, veneer, and composite wood materials (plywood, MDF, particle board, etc.) are required to complete our Wood Tracking Questionnaire for the appropriate reporting period (Q1-Q4). The time range will be pre-selected for you. This is an online survey and will require your procurement department to provide detailed information about your company s own wood procurement policy, management systems, your wood suppliers, and your wood usage for WSI products that shipped within the reporting period. All information is used to develop sustainability and risk analysis of our supply chain. Overall sustainability and risk metrics are used only within WSI. Detailed information about individual vendors and suppliers is NOT shared outside of WSI. Items that vendors will need in order to complete the survey include: WSI Wood Purchasing Policy Environmental Policy (vendor s own company policy) Certifications (if applicable) Wood suppliers' names and locations Chain of custody documentation for wood Quantity of wood used in WSI products The sections below follow the same outline as the online questionnaire and provide additional background information to help you complete the questionnaire as accurately as possible. These questions are based on WSI s Wood Procurement Policy and help us understand how well your company is complying with this policy. WSI would like to understand your perspective on corruption in your suppliers countries. WSI requires you to provide chain of custody documentation for all wood species used in our products. More information on chain of custody documentation is found below. Proof of wood legality is a basic requirement for all wood used in WSI products. If you cannot provide documentation for used in our products you must provide an explanation for this exception to the WSI Wood Procurement Policy. Wood Usage This section only becomes available once you have entered at least one wood supplier. Here vendors enter details about the wood used in WSI products for the specified time period. Only provide data
6 associated with the production of WSI products. Choose New Entry button to add a new wood. To ensure accurate data, we request vendors to use a uniform calculation method. In all circumstances we would like wood usage data to be reported as the quantity of wood used from inventory to make our products (in cubic meters or board feet). There should be an individual entry for every wood type from every supplier. If possible, identify the source of the wood, such as National Forest (State Owned), Private Forest, Plantation Forest, etc. If you need help to convert wood volumes into cubic meters or board feet, use this worksheet to calculate the volume in the appropriate unit of measure then enter the converted volume into the quantity field for each wood entry. Vendors are responsible for entering accurate wood type, trade name and scientific name for each wood entry. A library of trade names and scientific names of wood have been loaded to this survey in pull-down menus for your convenience. Select or begin typing the wood trade name from the pull-down menu and the scientific name for that species will appear in the box below. Or if the scientific name is known, you can select or begin typing that option from the pull down menu and the wood trade name will appear in the box above. If you don t see the trade name or scientific name for a wood entry, use the Use Other Species text field (question 4a) to manually enter the wood trade name and scientific name. Composite wood materials may contain multiple wood species. If the wood inputs used in the composite material is known, use the scientific name pull-down menu to select all the wood names that apply. For each certified wood entry, select the appropriate certification type from the pull-down menu. Chainof-custody documentation must include certification details. Example: On April 22, 2012 Pottery Barn makes a purchase order to the Wood Manufacture Company for 50 units of Item A. To fulfill this order, Wood Manufacture Company uses a total of 100m 3 wood from its inventory. Of the 100m 3, 25m 3 was FSCcertified Pinus Radiata from Supplier M located in New Zealand; 15m 3 was PEFCcertified Pinus Radiata from Supplier N in New Zealand; 20m 3 was MDF from Supplier X from Thailand; 20m3 was Dogwood, Cornus sanguinea from Supplier Z in the USA (wood name not available in pull-down menu); 10m3 was Tectona grandis from Supplier Y in Indonesia; and, 10m3 was Hevea brasiliensis from Indonesia, also supplied by Supplier Y. 9 Upload This section allows you to upload chain-of-custody (CoC) and other documents directly to Ecodesk to complete all survey requirements in one place. Choose the Upload button to upload a new file. A menu will appear and allow you to select the wood species, the supplier, and the document type for each file. These selections will add a description tag to your upload to make document verification easier. You can upload a file that covers multiple species, suppliers, and document types by selecting the appropriate species, suppliers and then choose multiple document types in the File Type pull-down menu. Notes about Chain-of-Custody Documentation WSI requires its vendors to provide chain-of-custody (CoC) documentation for every wood type/species used in WSI products from each supplier. CoC documentation of the wood demonstrates the full sequence of legal ownership of the wood from country of origin to finished product. In other words, WSI would like to see the entire chronological paper trail of the wood in our products. CoC documentation should correspond to the actual wood used in our products. Appropriate legal documentation will depend on the source of the wood and whether the wood species is considered high-risk. High-risk wood may require a higher level of documentation, third party verification, and/or certification. The below list of documents is offered as general guidance of the documentation required. Remember that submitted documents should show the complete chain of ownership of the wood from the source of origin to the finished product. Legal right of harvest Legal right of transport Proof of payment of taxes and royalties Approved forest management plan Commercial Invoice Timber processing license Operating license Packing list Sales contract Phytosanitary certificate Country of origin certificate (foreign shipments) Bill of lading (foreign shipments) Customs declaration form (foreign shipments) Manufactures and traders that purchase components or finished goods must request chain-of-custody documentation from their suppliers for the raw materials used in the manufacture of components or finished products. 10 High-Risk Wood Wood species that are listed in the Convention on International Trade in Endangered Species (CITES) and those listed on the International Union for Conservation of Nature s Red List as vulnerable or endangered (IUCN Red List) are considered HIGH-RISK by WSI and require documentation of legal harvest or FSC-certification from the forest management unit. Forest Stewardship Council (FSC) Certified Wood Forest Stewardship Council (FSC)-certified finished products must be accompanied by a commercial invoice for the finished goods with the WSI SKU number and the FSC claim (wood species, FSC pure or percentage FSC certified, country of origin of the wood, and vendor s FSC code). FSC Scope Certificates alone from vendors or their suppliers will not be accepted as adequate chain of custody documentation.
