SUSTAINABILITY ACTION PLAN Rock in Rio lisbon 2014
WHAT MOVES US We have to shoulder, not only our individual responsibilities, but also a collective commitment, as citizens and professionals, so that in each and every one of our daily activities, we strive to build a more sustainable world. The challenge is really to keep our interest levels high, to stay committed and to persevere in the choices we make and in the alternatives available to us, so that even when it seems like we are talking to ourselves, we do not give up. Roberta Medina
OUR COMMITMENT A change in behaviour of the team, sponsors and suppliers and of every one who takes part in, or who has contact with, the event, through engagement, and setting an example and communicating social, environmental and economical best practices, encouraging the choice of the best solutions and sustainable alternatives. Reduction and offsetting CO 2 Emissions as a result of all the planned actions. Improve in every edition starting from the practices of previous edition and improve. Maintain certification in ISO in any edition and country.
GOALS FOR 2014
GOALs FOR 2014 At least 50% of our suppliers have or adopt sustainability criteria, formal and informal How? Opt for materials which are certified. Renewable or recyclable material. Without toxic chemicals to the environment. Opt for suppliers whose products and services are certified and labelled. Disseminate support information in our site, such as our sustainability plan, promote clarification sessions and initiatives to reward best practice. Create a specific platform for suppliers. Compromising our suppliers to sustainability leading them to sign a letter of commitment and introduce sustainability clauses to contracts.
goals for 2014 Engagement of all departments How? Identify team needs and expectations through meetings and surveys. Provide information and training to each department. Create a specific platform for team and other appropriate channels of communication. Create blow whistle system for suggestions, opinions and criticisms (without identifying the person). Create a hosting manual.
goals for 2014 Implement at least 2 of the following measures for Rock in Rio communication campaigns more sustainable How? No cost measures Opt for suppliers whose products and services are certified and labelled. Opt for local or national suppliers. Reduce the quantity of disposable materials. Opt for recycled /recyclable materials. Donate leftover food. Opt for sustainable/ biodegradable products such as plates and cutlery. Encourage healthy eating habits. Choose venues with energetic eficiency and water consumption reduction measures.
goals for 2014 Implement at least 2 of the following measures for Rock in Rio communication campaigns more sustainable How? No cost measures Promote public transportation, give information on how to arrive using public transportation. Encourage digital supports of communication; Create low carbon advertisements; Communicating environmental criteria being considered when producing campaigns;
goals for 2014 Improve the energy efficiency, improve in 20% the energy consumption savings. How? Involve stakeholders, provide information about the goals of reduction, rational and efficient use of energy. Review the functioning of equipment and power saving modes. Install efficient lighting systems (energetic class A or A +, energy saving lamps, LED technology). Favor renewable energy sources. Plan generators park and use alternative fuels in supply.
GLOBAL ACTION AREAS Suppliers of consumables/products Energy sources Stands and other exhibition areas Lighting and electronic equipment Catering Accomodation Solid waste Mobility Communication, merchandising, giveaways
GLOBAL ACTION AREAS SUPPLIERS OF CONSUMABLES /PRODUCTS Opt for social and environmentally certified suppliers Social and environmental labels and certifications on products or services and suppliers, national or international (e.g., ISO 14000). Carefully evaluate the composition of consumables/products Opt for materials which are certified. Renewable or recyclable material. Without toxic chemicals to the environment ecolabel. e.g., opt for water or mineral-based paints, paper from forests with sustainable management (FSC label) Reduce the quantity of disposable materials Bulk purchasing Avoid using plastic bags, as well as individual packaging or excessive packaging. Also avoid one-use materials, such as disposable tableware.
GLOBAL ACTION AREAS ENERGY SOURCES Opt for suppliers of electricity from renewable sources Favouring renewable energy sources Consider a permanent connection to the electricity grid Set up a detailed plan for the generators layout using alternative fuels in the supply of generators Acquiring green electric energy, i.e. from 100% renewable energy sources, ensures that the event s electrical needs are met, with no carbon emissions. Explore the possibility of partnering with renewable energy companies and installing equipments within the enclosure, optimizing the communication value as regards the event s public. This solution could be especially interesting for Rock in Rio in Brazil, as the electricity emissions factor in Brazil is 14 times less than the emissions factor in Portugal. Analyse these aspects when taking a decision, as well as the technical and economical feasibility aspects.
GLOBAL ACTION AREAS STANDS AND OTHER EXHIBITION AREAS Including bioclimatic construction criteria An example of these techniques is opting for southfacing windows, making the most of natural lighting and thus reducing the number of hours during which artificial lighting is necessary. Natural ventilation systems can reduce the need for air conditioning to cool the atmosphere. Opt for reused and or reusable decorative elements and structures Whenever possible, reuse decorative elements and structures (e.g. signage) from previous versions of the event. When this is not possible, invite artists and artisans to create objects or structures from the reuse of these materials. Check whether there are companies that can rent out these structures. Other criteria to consider: Valuation of suppliers with environmental and social certification Careful evaluation of materials to be acquired Incorporation of recycled and or recyclable materials Selection of local products and suppliers
GLOBAL ACTION AREAS ACCOMMODATION Favour hotels close by Opt for hotels with energy efficient measures, water consumption strategies and other resources. Check if the hotel is involved in: A recycling programme Programmes for reusing of bath towels and sheets Check whether the selected hotel has an Environmental Management System in place (such as ISO or EMAS), or whether it implements energy consumption control measures (efficient lighting, Class A or A+ appliances, amongst others). Verify if there is water saving programmes in place thus encouraging the selection of hotels amongst those with water recycling systems, flow reducers, or the use of sensors, amongst other measures or paper-reducing measures, preferring hotels that do not use paper forms during check in and check out, amongst other resources. Prefer hotels that use renewable energy sources
GLOBAL ACTION AREAS MOBILITY Driving in high gear whenever possible; CARGO TRANSPORT Encourage full load factor transport Encourage defensive/efficient driving Avoid air freight transport TRANSPORTING PEOPLE Encourage the use of public transport Car-pool whenever possible with colleagues/employees Opt for conference calls and meetings Keeping a steady and moderate speed (reducing cruising speed from 120 km/h to 100 km/h reduces car fuel consumption by, at least, 15%); Using air conditioning with moderation (it increases fuel consumption); The importance of routine maintenance of the vehicle (a finely tuned engine usually results in fuel consumption savings); Maintaining proper tyre pressure and aligning the direction; Switching off the engine whenever appropriate (keeping the car s motor switched on for more than 30 seconds consumes more fuel than starting it up again).
GLOBAL ACTION AREAS MOBILITY PUBLIC Encourage an adjustment of public transport (PT) supply in order to cater for the event s needs Offer an emissions calculator which enables comparisons of carbon emissions, associated with the various forms of transport Optimize private transport load factor Facilitate intermodal coordination through the creation of tickets which apply to all forms of transport, or which offer special rates; Adapt public transport supply and timetable to the needs of people making their way to Rock in Rio; Create a pedestrian safety corridor around the festival enclosure, especially in the public transport terminals; Ensure a special area for taxi parking; Communicate actions which involve managing mobility during the event.
GLOBAL ACTION AREAS COMMUNICATION, MERCHANDISING AND GIVEAWAYS COMMUNICATION Encourage digital supports of communication Create low carbon advertisements Communicating environmental criteria being considered when producing campaigns Nearby location shots, thus reducing emissions due to the transport of production crew, actors and extras; Places with electricity grids connected to the mains, thus avoiding using generators; Digital recording formats instead of feature films, thereby avoiding the use of chemicals to develop films, and also producing waste in general; Reducing or mitigating the impact associated with special effects. MERCHANDISING AND GIVEAWAYS Consider the use of giveaways you intend to distribute When choosing giveaways, analyse their value for money Align merchandising with the environmental policies of the event Try to design and develop Rock in Rio merchandising, in line with the sustainability policies that were followed throughout the event s development. The production of (alternative) T-shirts in bio-cotton, or recycled PET bottles, or reusing and transformation of materials from previous editions to produce merchandising, are all examples of specific actions in this area of business. Other criteria to consider: Local suppliers Suppliers with environmental certification and programmes Low carbon emission materials
OTHER COMMITMENTS As well as environmental and social issues as laid out above, we shall continue to... roll out awareness campaigns for the community in general, on social and/or environmental questions; involve our partners (sponsors, clients, suppliers, artists) in our promise to change behaviour; effectively help our suppliers to improve conditions for a greater implementation of best practices in sustainability; motivate our team to improve each and every day! involve the local community, by engaging local residents directly in terms of professional activities that they can develop during the event, or as informal scouts to control work in progress and any unforeseen situation which could possibly happen.
We will always be far from perfect, we are ephemeral, and subject to change, but we definitely want to be, and can be, more sustainable. Roberta Medina
