1 JOB DESCRIPTION Compliance Co-ordinator ESF Bucks 2228 & Berks BBO Building Futures ADVIZA PARTNERSHIP GRADE: E JOB TITLE: ESF Compliance Co-ordinator HOURS: 37 hours per week REPORTS TO: Adviza Compliance Manager LOCATION: Flexible Adviza is committed to safeguarding and promoting the welfare of all customers and expects all staff and volunteers to share this commitment. JOB PURPOSE: To lead the compliance function for the Adviza ESF funded activities (contract numbers SFA ESF 2208 and BBO Building Futures). To ensure that the evidence supplied to Adviza by directly employed staff and subcontractors, meets the requirements for ESF funding. To ensure evidence is collected and stored in accordance with all contractual obligations and requirements of the Data Commissioner. Work with the Adviza MI Team to compliment efficient collection, processing and storage of data. To work in partnership with the Berkshire Gearing up for STEM AND the Buckinghamshire Skills Brokerage ESF Project Managers, including providing them with training and support in their role for compliance monitoring in their area. MAIN DUTIES AND RESPONSIBILITIES: To develop, evaluate and implement solutions which support effective project compliance, reporting to commissioners and maximises the efficiency of administrative procedures between projects to avoid duplication of effort. To ensure all evidence and material collected relates directly to the outcomes and evidence requirements of SFA/ESF/BBO and any other specified requirements. To ensure that any additional requirements as desired by the Project Manager(s) are worthwhile, consistent and recorded effectively. To devise and implement a training and awareness programme to ensure that ESF Project Managers are equipped to act as a first line for evidence checking. To devise materials and proformas for the use in training staff and sub-contractors to effectively record the evidence to meet KPI and contractual requirements

2 To work with the Adviza MI team to help decision making, support continuous improvement in the delivery of ESF projects and to ensure resources are deployed where they are most needed. To maintain records which ensure any changes and adjustments to evidence requirements are confirmed with the appropriate commissioners To take the lead where commissioners/stakeholders need to respond to questions and issues which ensure the suitability of evidence. To provide information for the Project Managers required for presenting at Adviza SLT, Board and other stakeholder groups as necessary. To attend meetings with commissioners and other partners when discussing issues relating to evidence and/or compliance for ESF requirements. To be proactive in keeping abreast of, developing and using technology and processes for evidence collection (from all stakeholders) to improve efficiency of reporting, methods and compliance checking procedures. To support all audit requirements (eg. SFA, ESF, BBO) wherever appropriate and to provide support with reports as necessary and as (reasonably) requested. To seek innovative ways to expand the services we offer to commissioners and stakeholders to enhance our reputation as a provider of choice and actively pursue opportunities to develop our compliance expertise and services. To work closely with Adviza MI team and the wider Adviza compliance team to ensure that best practice is developed and shared. To implement and actively keep up to date with all Data Protection policies throughout Adviza and the above named projects. 3 PERSON SPECIFICATION ESF Compliance Co-Ordinator Key Criteria Essential Desirable Knowledge/ Qualifications Awareness of the importance of evidence and systems compliance to meet funders requirements Educated to degree level or equivalent Holds a professional qualification in a careers/employment related discipline Knowledge of a relevant database such as IYSS, YETI, IO, Profile, PICS and any other government/local authority database Competence Summary (knowledge, abilities, skills, experience) IT Literate. Proficient user of software packages including Microsoft Office, and Excel Experience of preparation or inspection for audits. Proven track record of working with and effectively engaging stakeholders including the public and voluntary sectors. Ability to win partner s support and commitment to adhere to required systems and processes Experience of successfully dealing with non-compliance from a colleague or partner agency Knowledge and understanding of the careers/employment sector strategies both at local and national level Experience of delivery or management of ESF funding programmes Advanced numeracy and literacy skills Experience of setting and/ or monitoring the work of more junior staff, especially young people

4 Proven ability of training groups and communicating complex ideas Excellent inter-personal & communication skills, both written & verbal, including negotiation, and influencing skills Be able to make effective presentations with engage and motivate the participants Excellent organisational skills, including ability to prioritise and meet agreed deadlines Proven ability working with and communicating issues surrounding data protection Ability to focus on work demands and encourage this in colleagues Work-related Personal Requirements A drive to ensure that processes and systems are implemented accurately. 5 Be prepared to present to and influence commissioners regarding the importance of compliance and its role in delivering outcomes for customers. Other Work Requirements Be prepared to travel locally across the Thames Valley when required. Willingness to work in different locations and being constantly on the move in a consultancy capacity Represent Adviza at local and sometimes regional or national events/meetings Share with Adviza, the commitment to safeguarding, data protection and promoting the welfare of all customers.
