1 ESM CHEAT SHEET Loading a Referral 1. HBCIS Patient Registration Search 2. Update something within the registration screen and File off a. If there is nothing to change place a full stop in Field 26 b. If there is already a full stop remove it and File off 3. Conduct an Appointment Inquiry searches a. Request List Tab = ESM Request Person This is to ensure the referral is not a duplicate b. Person Tab = ESM Person This is to check if they have or had an appointment for this clinic 4. Enter Referral Details in the Appointment tab next to your books 5. Make sure you add Pre-Arrival Encounter in Person a. Treating Clinician b. Medical Service c. Chargeable Status d. Payment Class 6. Complete all required fields 7. Move to the WIP 8. Check your Details and select OK 9. Add to Request List 10. 2 Categorising or Modifying a Request 1. Search Request List for list 2. Request List Tab = ESM Request Person 3. Select correct patient and select Find 4. Right click Modify 5. Details tab to make changes and Schedule comments if required 6. Notification Tab Reports 7. Select Letter OUTPT - WL Receipt and Placement move with blue arrow 8. Select OK Changing the Appointment Type and/or location 1. Search Request List for list 2. Request List Tab = ESM Request Person 3. Select correct patient 4. Select Find 5. Ok through the attributes screen 6. Select Next 7. Change the Appointment Type and/or location 8. Change the Category if required 9. Scroll down and update the scheduling comments with your changes and who authorised them 10. Move your request back to the WIP 11. Right click on the incorrect appointment type and select cancel 12. Select the appropriate reason and any comments 13. Select the remaining Primary Resource and select Request 14. The correct appointment type and/or location is on the request list Printing a WL Receipt and Placement letter 1. Conduct a Request List search a. Request List Tab = ESM Request Person 2. Select Find 3. Right click on the appropriate Request and select Contact - Notification Reports 4. Select Letter OUTPT - WL Receipt and Placement move with blue arrow 5. 3 ESM CHEAT SHEET Booking New Appointment 1. Search Request List for list 2. Request List Tab = ESM Request Standard 3. Select appropriate List 4. Select Days Waiting twice and Category once to get the correct order 5. Select the correct patient 6. Right Click Complete Request 7. Patient appears in WIP 8. Select Primary Resource Date in calendar 9. Book Appointment by either a. Drag and Drop drag the primary resource into the available slot b. Schedule button select your primary resource and appointment time 10. Confirm and Print Letter OUTPT Appt Confirm Booking Review Appointment 1. Drag the previous appointment to the WIP Or search patient s appointments right click and select Reschedule 2. You must say No to retain the association with the encounter (if you use community encounter say Yes) 3. The appointment will appear in the WIP 4. Select Next 5. Change or enter through appointment type 6. Updated appropriate fields (expiry date if required) a. Indefinite = 01 JAN 2100 b. Referral unused = 02 FEB Complete the scheduling comments 8. Move to the WIP 9. Remove Reschedule appointment from WIP 10. Select Primary Resource Date in calendar 11. Book Appointment by either a. 4 Schedule an Overbooking Appointment Conduct the same steps as the other side until you have the correct appointment in the WIP 1. Select the Primary Resource and Date in Calendar 2. Select Schedule button 3. Select the correct Resource 4. Select <none> in Time 5. Enter the time of the overbooking 6. Change the duration and select OK 7. Confirm and Print Letter OUTPT Appt Confirm Reschedule an Appointment 1. Drag the appointment to the WIP or search patient s appointments right click and select Reschedule 2. You must say Yes to retain the association with the encounter 3. The appointment will appear in the WIP 4. Select Primary Resource Date in calendar 5. Book Appointment by either a. Drag and Drop drag the primary resource into the available slot b. Schedule button select your primary resource and appointment time 6. Confirm and Print Letter OUTPT Appt Confirm or OUTPT - Reschedule Appt Hosp Init Confirmed Appt Confirmation Cancel an Appointment 1. Search patient s appointments right click and select Cancel a. If you are in the Grid right click > Actions > Cancel 2. Select the appropriate Cancel Reason and any comments 3. Note down the FIN number 4. Open the PMLaunch 5. Select Discharge Encounter 6. Enter your FIN Number 7. OK through the Encounter window 8. Right click on the appointment Action Contact Notification - Reports 9. 6 Print Clinic List 1. Select the Explorer menu icon from the AppBar 2. Double click Main Menu Scheduling Specialist OPD ESM Users 3. Find Daily Appointment List 4. On the right: a. Select From Date and To Date b. Facility c. Location 5. Scroll down to State Group: a. Select all appointments b. It is recommended that cancelled and rescheduled are unchecked 6. Select Execute 7. Print Report if required Print Batch Letters 1. Select the Explorer menu icon from the AppBar 2. Double click Main Menu Scheduling Specialist OPD ESM Users 3. Find ESM letter batch printing 4. On the right: a. Select From Date and To Date b. Facility 5. Scroll down and complete all sections of the report you wish to run 6. Select Execute 7. 7 No Show Appointments ESM CHEAT SHEET Status a No Show (clinician outcome known) 1. Locate the No Showed appointment in the grid or Conduct an Appointment Inquiry search a. Person Tab = ESM Person b. Select correct patient c. T for Today in start date 2. Select Find 3. Right click on the appointment Action No Show 4. Select outcome a. rebook or remove b. Add comments 5. Select OK (Go to Action a No Show) Request a No Show (pending clinician outcome) 1. Locate the No Showed appointment in the grid or Conduct an Appointment Inquiry search a. Person Tab = ESM Person b. Select correct patient c. T for Today in start date 2. Select Find 3. Right click on the appointment Actions Request No Show 4. Place request on corresponding request list 5. 8 Complete No Show Request (once clinician outcome known) 1. Search Request List for list 2. Request List Tab = ESM Request Standard 3. Select appropriate List 4. Right click on request and select complete request 5. Select outcome a. rebook or remove b. Add comments 6. Select OK (Go to Action a No Show) Action a No Show Action of Rebook 1. Locate the no showed appointment in the grid and drag to the WIP If in the appointment inquiry screen right click appointment and select reschedule. 2. Once in the WIP select Next and Enter through the Appointment Type 3. Add NRFC dates and a scheduling comment and Move back to WIP 4. Remove Reschedule appointment from WIP 5. Select Primary Resource Date in calendar 6. Book Appointment by either a. Drag and Drop drag the primary resource into the available slot b. Schedule button select your primary resource and appointment time 7. Confirm and Print Letter OUTPT Appt Confirm if required Action of Remove 1. Note down FIN number 2. Open the PMLaunch 3. Select Discharge Encounter 4. Enter your FIN Number 5. OK through Encounter Window 6. Right click on the appointment Action Contact Notification - Reports 7. 9 ESM CHEAT SHEET Unavailable slot Used if a clinician has asked to close a small number of slots 1. Locate the relevant book 2. Go to the Appointment Tab a. Appointment Type = Unavailable b. Location = TTH c. Reason = free text will display on grid d. Schedule comments = why and who authorised 3. Select Move 4. Book Appointment by dragging the Resource into the appropriate slot 5. Repeat these steps for all slots required. Resource Comments Add 1. Right click on the Resource 6. Select Resources > Add Resources Comments. 2. In the Comment Description add comment 3. You can set date ranges or time ranges if required. 4. Resource Comment box enter any additional information 5. Select Add, select Apply and then Close to add the comment. Modify 1. Select the Speech Bubble next to the Resource name. 2. Select on the Resource Comment Description name in the left-hand pane 3. Select Modify. 4. Make the modifications 5. Select Ok and Close. Remove 1. Select on the Speech Bubble next to the Resource name. 2. Select on the Resource Comment Description name in the left-hand pane, to highlight the entry. 3. Select Remove. 4. Enter a comment with the reason you are removing the comment. 5. Select OK and Close

10 Closing a Clinic Removing Slots 1. Locate the template you wish to close 2. Highlight the relevant slots to close a. If you are closing the whole day click on the resource name to select everything in the template b. If you are closing part of a day select the first appointment slot hold down the shift key and select the last appointment slot c. If the appointments are not in order use the Ctrl key to select the appointment slots individually. 3. Right click Slots Remove Slots 4. Yes, through the warning box 5. You must add a Message in the grid to advise why the slots have been removed. Adding a Message 1. Right click in the appropriate resource 2. Select Slots Add Slots 3. Change: a. Day begin the start time of the clinic b. Day end the time after the clinic has finished c. Time Intervals stays as 5 minutes d. Tick the Display slot properties when adding a new slot 4. Expand the all slot types heading 5. Type TTH Message 6. Drag the appointment type to the beginning of the removed slots 7. Change: a. Mnemonic free text will display on grid b.
