1 JOB DESCRIPTION Job Title: Co-ordinator: Erasmus and Study Abroad Programmes Grade: This post has been evaluated at Grade 4. Responsible to: Head of International Office Date: August 2013 Job Purpose To implement and monitor the Erasmus and Study Abroad Programmes as part of the International Strategy for Falmouth University. The University takes Health and Safety matters very seriously. All staff have a responsibility to take reasonable care for the health and safety of themselves and others who may be affected by their actions and omissions. They also have a duty to comply with the University s arrangements for Health and Safety. Staff with responsibility for others must ensure the proper enactment of University policy within their areas in line with levels of responsibility set out in the University s Health and Safety Policy. Main Duties and Responsibilities 1. To manage the University s Erasmus Lifelong Learning Programme in liaision with the Head of the International Office. This will include: Annual application for Erasmus Funding to the National Agency. Submission to the National Agency of all documentation required by the Erasmus Operational Handbook. This will involve working with students and staff to create contracts; implementation and accountability for mobility grants; and the collection and submission of reports from grant beneficiaries. Promotion of Lifelong Learning Programme to students and staff within the Institution, through group presentations; individual tutorials, and the monitoring, developing and providing content for relevant web pages. Processing all applications for outgoing and incoming Erasmus mobility. Maintaining and evaluating established Erasmus partnerships. Building relationships by developing new Erasmus partnerships, where agreed, by promoting and organising Preparatory Visits, ensuring quality of outgoing promotional, and curriculum material and the dissemination of incoming promotional and curriculum material. 2 Maintaining and evaluating established Erasmus Work Placements. Developing new Erasmus Work Placements, where agreed. Supporting the university s International Strategy by building relationships and strengthening links with international employers through the student placement and staff training visits. Providing induction, support, and monitoring of all incoming Erasmus Mobility students and staff Providing induction support and monitoring of all outgoing Erasmus Mobility students and staff. Work collaboratively by liaising closely with relevant staff working in Registry, Student support and student accommodation, to ensure compliance with the Quality Commitment document and the Extended Charter awarded to Falmouth University. Help to solve routine problems where required. Working towards the implementation of the Bologna Agreement. Ensuring that activities comply with relevant legislation by liaising with relevant staff responsible for the Institution s disability, safety, health, equality and diversity commitments. 2. To develop and manage the Study Abroad Programme in close co-operation with the Head of the International Office. This will include: Promotion of the Study Abroad opportunities to students and staff within the Institution through group presentations; individual tutorials, and the monitoring and development of relevant web pages. Processing all applications for outgoing and incoming Study Abroad students. Evaluating established Study Abroad Partnerships. Developing new Study Abroad partnerships, where agreed, by ensuring quality of outgoing promotional, and curriculum material and the dissemination of incoming promotional and curriculum material. Provide regular and structured feedback on EU mobility and Study Abroad activity and partnerships through effective report writing to management and board of governors. To assist in the provision of open days, campus tours, orientation and induction for international students and visitors. To assist in the representation of the University at selected high profile international events and specific education institutions in the UK as required. Page 2 of 6

3 To manage a budget; work with Agresso and with relevant staff in the Financial Office. To manage the maintenance of exchange student records through the SITS software. Work flexibility to travel both domestically and internationally to meet the requirements of the role. Including staying away from home overnight or for several nights at a time. Working outside of normal working hours as required. General Duties and Responsibilities 1. To work within and actively support the equality and diversity policies and practices of Falmouth University. 2. To notify a more senior member of staff of any errors or concerns at the earliest opportunity. 3. To participate in the Annual Performance Development Review Process. 4. To ensure that the universities cross-cutting themes of partnership, equality and diversity and sustainability inform all activity related to the role. 5. To ensure communications systems and practices support effective management arrangements and promote good relations with staff and students. 6. To work within a framework of effective governance, ensuring compliance with relevant Regulations, Legislation/Policies and Procedures. 7. To be responsible for your own continuing self-development. 8. To undertake other duties not specifically stated above, which from time to time are necessary for the effective performance of the Universities business without altering the nature or level of responsibility involved. Health & Safety Requirements In relation to Health and Safety, you are responsible for ensuring that: You comply with safe systems of work in operation within your work area. You work co-operatively with other staff who have responsibility for Health and Safety Requirements. 5 PERSON SPECIFICATION Job Title: Co-ordinator: Erasmus and Study Abroad Programmes Attributes Essential Requirements Desirable Requirements Education and Qualifications Educated to degree level or equivalent. Postgraduate qualification. Experience and Knowledge Skills and Personal Requirements Recent and relevant proven experience in a Higher Education institution. Knowledge of International Higher Education market and student exchange and Study abroad programmes. Experience of preparing reports and case files accurately and to deadlines. Good knowledge of software databases and systems including Microsoft Office. Excellent verbal and written communication skills. Ability to clearly and confidently speak to large groups of people. Self-motivated, proactive and flexible to manage a busy and varied workload. Excellent planning and organising skills. Committed to promoting International understanding through education. Strong team player who will work well as part of a team and independently with minimal supervision. Experience in an Arts Higher Education institution. Basic foreign language skills. Living/studying outside of the UK. Proficiency in software skills such as SITS, Agresso. Understanding of cross-cultural sensitivity. Page 5 of 6
