4 Identifying Application from Redeployees All vacancies will be advertised internally for two days to allow redeployees to submit an application. Whilst it will be clear that the adverts are in the initial redeployment stage, there will not be any technical restrictions in place that would prevent a non-redeployee or ineligible redeployee from applying. Recruiter Action: You must identify which candidates are eligible to be considered under the redeployment phase and provide your panel with the required information, as per a normal advertisement. Those who have applied but are ineligible can be considered if the position is advertised externally, i.e. internal staff that are applying for the post who are not eligible for redeployment The following information will take you through how to identify applications from eligible redeployees: 1. Click the erec Recruiter tab, search for your requisition, highlight the row and select Display Candidates. 2. In the Display Candidates view, click on the All tab and you will notice two columns; Redeployment and Grade 3. To find all redeployees, look for a Y in the Redeployment column. You can easily do this by entering Y into the filter cell, or sorting the column by clicking on the column heading. In the example below Margaret Thatcher and Edwina Currie are redeployees. All those that are blank or listed as N are not eligible for consideration in the redeployment phase. If no eligible redeployees are found and the vacancy is advertised externally, then these applicants can be considered in the pool of candidates following the external closing date. 4

5 4. Once you have found the redeployees you will need to check who is eligible; eligibility is determined by grade. Examine the grade column and identify the redeployees who are at the same grade or at the grade above the vacancy to determine eligibility. Applications from candidates who currently hold a lower grade role can be considered if no eligible redeployees are found and the vacancy is advertised externally. In the example above, the vacancy is a G7, so Edwina Currie is the only eligible redeployee; ineligible redeployees can be considered in the pool should redeployment be unsuccessful and the post is advertised externally. Shortlisting Redeployees Once you have identified the eligible redeployees, you will need to shortlist and interview them if appropriate, ie if they meet the essential criteria for the post. For ease, this process and the Activities used is almost identical to the ones followed when advertising externally e.g. if interviewing you will still record this via the Invite to Interview activity. You must inform your panel of the eligible redeployees and provide them with the appropriate material to shortlist. You will need to provide your panel with a Bulk Download (and Bulk Attachments file for vacancies at G6 and above), the Shortlisting Report and remind them that they need to only shortlist against the Essential criteria in this redeployment phase. For a more efficient process, your panel should be encouraged to shortlist online. Shortlisting via the erec Panel Member tab allows your panel to shortlist ahead of the closing date and will keep an online record of assessment for each candidate. If your panel choose not to use this functionality, then you will need to record the assessments through Activities > Preselection > Assignment Ranking: Enter the Assignment Ranking and add a Note detailing the panel member s feedback. It s important to specify in the notes which panel member you are entering the feedback on behalf of. Once complete select OK. 5

6 Hiring a redeployee / Advertising externally Hiring a redeployee gives the added benefits of: Retaining talent at the University; Faster recruitment process Redeployees are likely to be able to start sooner; Financial savings No need to advertise externally; Resource savings - Staff will not need to process a lengthier external recruitment campaign; Shorter induction Redeployees are likely to already have good knowledge into the workings of the University. When hiring a redeployee, simply follow the normal process of completing the Request to Appoint questionnaire and sending them the necessary Work Health Assessment. If there are no suitable redeployee(s), you need to inform your HR Team via and instruct them to advertise the position externally. You must also notify eligible redeployees that they have been unsuccessful. To notify eligible redeployees that they have been unsuccessful, send the Reject Redeployee correspondence, via Activities > Rejection > Correspondence: Reject Redeployee. Once you have updated the correspondence letter, click Send and then OK. Finally, you need to set the unsuccessful eligible redeployees to rejected. This will ensure that they will not be included in the Bulk Download following external advertisement. To set them to rejected, go to Activities > Rejection > Set Candidate to Rejected. In the Reason drop-down box, select Redeployee does not meet essential criteria. There is the option to add notes and upload attachments should you deem it suitable. Once complete select OK. 6

7 Appendix A: Displaying hidden Redeployment / Grade columns Should you find that the Redeployment and/or Grade column is not visible when displaying candidates, you will need to unhide them. To do this, right click on a column heading in the Display Candidates table and then select User Settings Ensure that the Column Selection tab is selected in the dialog box that appears. On the left of this dialog box you will see a list of Hidden Columns and on the right, a list of Displayed Columns. You need to move the Redeployment and Grade options over to the right. To do this, highlight the row(s) and click Add. When both options appear in the Displayed Columns list, click Save and Close. You will now see them displayed in the Displayed Candidates table. 7
