1 Creighton University Panhellenic Council Formal Recruitment Guidelines I. Introduction a. The Formal Recruitment period will begin with the start of chapters practice on January 9 th, b. All NPC member organizations represented at Creighton University believe in strictly adhering to NPC Unanimous Agreements and policies. These valued and non-negotiable policies will be followed by all organizations during the recruitment process. c. The Creighton University Panhellenic Code of Ethics must be signed by all members of the chapters. Any members studying abroad will be excused but must sign it upon return if they wish to participate in recruitment. The Code of Ethics must be filled out on CU Involved. The Code of Ethics will be due by December 7, 2015 and any member that does not sign it will not be allowed to participate in recruitment. Chapters that have a failure to fill out the Code of Ethics will result in loss of privileges to recruit new members. d. Chapters will be held responsible for the actions of their initiated members, alumnae, Recruitment Counselors, staff, and others representing the chapter. e. Recruitment infractions must be filed in accordance with the NPC Manual of Information. f. Harper Center and Skutt Packets are due to by the date specified by the Panhellenic VP of Membership, which will be before the Thanksgiving holiday. Meetings with Harper and Skutt staff needed to be scheduled before the holiday as well. g. All potential new members and new members must have a cumulative grade point average of 2.5 and be enrolled as a full-time student per University policy. This applies to both formal and informal recruitment. II. Positive Panhellenic Contact a. We, the women of Creighton University, will promote Panhellenic-spirited contact with all potential new members (PNMs) throughout the year. b. Strict silence will begin at the conclusion of Preference Night and last until all bids have been given to the new members. No sorority member, including alumnae, may communicate with PNMs during this period. Strict silence is defined as verbal, nonverbal, written, printed, text message and electronic communication or communicating through a third party. If a PNM lives in a residence hall with a sorority member social pleasantries may be exchanged. c. Advertising of your individual chapter during recruitment, unless approved by the VP of Membership, (including social media, clothes, merchandise, posters, etc.) is not allowed. Recruitment is meant to promote the Panhellenic community and not just an individual chapter. d. At any time, sorority women shall not: 1

2 i. Bid Promise: Promising a Potential New Member an invitation to be in your sorority or invited back to a particular party. This can include the phrase See you later or You will look good in letters/colors. ii. Gift Give: An active cannot give any physical objects to a PNM during recruitment. iii. Discuss the B s: Known as boys, booze, Bible, and brands. These topics are not allowed to be talked about at all during parties iv. Hotbox: A PNM must be able to have an escape route whenever they are talking to an active. III. Recruitment Schedule a. The VP of Membership and Greek Advisor will determine the time and place of all Recruitment Events. b. The Panhellenic Council Executive Board shall reserve the right to adjust the recruitment schedule in time or length and/or scheduling of events as needed. c. Formal recruitment parties are to end at the times scheduled by the Panhellenic Council. Chapters end the parties and the potential new members must leave the rooms at these times. d. The rotation of rooms for the next four years will be as follows: Alpha Phi Skutt West Skutt East Ballroom A Ballroom B Delta Zeta Room 3023 Skutt West Skutt East Ballroom A Gamma Phi Beta Ballroom A Ballroom B Ballroom C Room 3028 Kappa Kappa Gamma Ballroom C Room 3028 Room 3023 Skutt West Pi Beta Phi Room 3028 Room 3023 Skutt West Skutt East Theta Phi Alpha Ballroom B Ballroom C Room 3028 Room 3023 Delta Delta Delta Skutt East Ballroom A Ballroom B Ballroom C *** If a change of rooms is needed to accommodate for size, etc. both chapters Recruitment Chairs must agree and be approved by the VP of Membership Selection and Greek Advisor. IV. Days of Recruitment a. Go Greek Day i. Potential New Members go to all seven sororities with their Recruitment Mentors Group ii. Thirty minute parties with fifteen minutes between each party iii. The time for sororities to introduce themselves to the PNMS so that PNMs can learn about their programs ask questions, and learn more about Greek Life. 2

3 iv. A video may be used v. Singing and dancing may be preformed b. Philanthropy Day ii. PNMs can attend up to six parties iii. Thirty minute parties with fifteen minutes between parties iv. Sorority women and the PNMs will complete a service project to benefit their national or local philanthropy v. A video may be used c. Sisterhood Day ii. PNMs can attend up to four parties iii. Forty minute parties with twenty minutes between each party iv. Each sorority will have the opportunity to get to know the PNMs better all the while demonstrating why their sisterhood and values play important role in sorority life. v. A video may be used d. Preference Day ii. PNMs can attend up to two parties iii. Fifty minute parties with twenty minutes between each party iv. The sorority women will share and show with the PNMs what sorority life means to them. V. No Frills Recruitment a. Decorations i. Should be kept to a minimum ii. The Harper Center and Skutt Center does not allow any taping, stapling, or pinning of any kind on the walls. To ensure fairness, no wall decorations will be permitted in any of the rooms used for recruitment. iii. No decorations shall be attached to the doors to each room. iv. No balloons, streamers, or glitter are allowed and nothing may be hung from the ceiling. v. Decorations must be informational, the only exception being decorations used as coverings for windows. vi. One free-standing non-informational decoration is allowed. A freestanding object is one 8 foot table or a prop. The composite is not considered a free-standing object and may be displayed if you so wish each day of recruitment. vii. Tables may be used on philanthropy but no paraphernalia may be on them. viii. Chairs may be utilized on Preference day but not on Go Greek Day or Sisterhood Day. b. Budget 3

4 i. The budget for each sorority is $1,000. This is to include: 1. All attire that is for recruitment purposes (shirts, bows, etc.) 2. All decorations and supplies used for recruitment 3. All food and drink 4. All other expenses incurred from recruitment ii. Donations given by Alumnae are not to exceed half of the budget, $500, and are to be listed and included in chapter budgets. If receipts are not attainable from donations then documentation and estimated cost will be required. Chapter donations are not included in the budget. iii. Any fines issued by Centralized Reservations will be paid by the individual sorority iv. The Recruitment budget and receipts of all purchase and an itemized list of donations to the VP of Membership on Bid Day to receive the list of New Members c. Attire i. Attire is defined as all clothing and accessories that is bought explicitly for recruitment purposes ii. If more than seventy-five percent of the chapter needs to buy an article of clothing or accessory, the item needs to be included in the budget at half of the cost. d. Food and Drink i. May only be served on Preference day ii. May not leave the room with the PNMs e. Singing/Chanting i. Singing and Chanting may begin once the five minute goes warning is given to a chapter ii. Singing may also be done to signify the end of a party iii. Stomping on the ground or pounding on the walls before PNMs enter will not be allowed VI. VII. Chapter Responsibilities a. All Chapters Must: i. Bring fourth four Rho Mu applications ii. Follow the due dates set by the VP of Membership 1. All final copies of recruitment items must be turned into the VP of membership at least 24 hours prior to be shown to the PNM s for final review iii. Stay in the designated room or floor until the end of the specific lockdown that was communicated by the VP of Membership iv. Follow all Unanimous Agreements and resolutions set by NPC Snap Bidding, Continuous Open Bidding: a. Snap Bidding: Snap bidding is an option available to chapters which did not fill formal membership recruitment quota spaces in bid matching. Snap 4

5 bidding shall begin immediately after bid matching and end with the distribution of bids, at which time Continuous Open Recruitment (COR) to quota shall begin. b. Chapter total will be set 72 hours after Bid Acceptance according to Average Chapter Size (ACS). Bid acceptance night will officially end at 12:00 am on the following day. *** Time may change depending upon when Bid Day is scheduled. It is up to the VP of Membership s digression. VIII. Recruitment Mentors (Rho Mus): a. Applicants for Recruitment Mentors must have gone through formal recruitment as a member of their chapter at least once, with the exception going to any newly installed Greek organization on campus that is going through formal recruitment for the first time. b. There will be mandatory workshops for all Recruitment Mentors and Panhellenic Executives regularly in the fall semester and the days prior to the Recruitment period. c. Panhellenic Executives and Recruitment Mentors may not attend membership selection sessions and the preparation process. Panhellenic Executives and Recruitment Mentors may not discuss Recruitment information with chapters at any time. d. Panhellenic Executives and Recruitment Mentors Are to follow the disassociation guidelines as set by the Panhellenic Executive Council. 5
