3 ABOUT CHESTER SU Summary of CSU services are outlined below:- Sports and Societies: Within this team we have our Student Activities Manager, who is supported by 2x Sports & Societies Administrator (1x Chester based, 1x Warrington based). This team is here to support our 4,000 members of our 135 Sports and Societies. Advice and Representation Centre: Supporting our advice and representation work is our 3x Advisors and Student Engagement Co-ordinator. We provide advice and individual representation in a number of areas; Academic Malpractice, Academic Appeals, Student Disciplinaries, Professional Suitability, Student Complaints and Private Sector Accommodation. Bar and Retail: Bar and Retail Manager, Assistant Bar Manager, x3 Shop Supervisors (Chester), x2 Shop Supervisors (Warrington), 15x Student staff. We have our commercial services that operate within our Chester Students Union (Shop, Bar and Starbucks) and Warrington Students Union (Shop). Shrewsbury: Union Development Manager (Shrewsbury) supports the Shrewsbury campus. The campus has its own SU office and common room presence on the University Centre Shrewsbury campus with very effective student engagement and representation. Students face financial and social pressures as the cost of education rises and the economic landscape shifts. The increasing need to excel takes its toll and the students unions play a vital role in helping students stay the course and maximise their potential. As our current strategy comes to an end, we want to build on its successes by creating a structure for our continuing evolution. We want Chester SU to be important to all our members, be synonymous with our values and impactful when we influence the University and drive change for the benefit of our students. 3

4 WHO WE ARE Chester Students Union is a charitable organisation that exists to enhance education for 19,000+ students. We are independent of the University but work in partnership to make sure students get the most out of their time here. We are proud of our achievements and we believe that s why students voted us the top students union in the North West for the last three years in the National Student Survey (NSS). Chester SU has four elected student officers, President, VP Activities, VP Education and VP Warrington campus. They lead the Union s campaigns and representation as well as forming half of the Trustee Board that includes other student and elected trustees. We bring a vibrancy to the campus and exciting ways for students to meet likeminded people through our social spaces, events, sports clubs and societies. We operate on 3 campuses, Chester Parkgate, Warrington and Shrewsbury. Each campus has its own identity, sense of community and needs linked to academic discipline, location and demographic. These include over a hundred sports clubs and societies, an expert advice centre, our StARs course rep system, a vibrant bar, a diverse entertainments program, Starbucks Café and retail outlets. 4

It boasts a diverse range of outstanding bars, cafes and restaurants, spectacular shopping outlets, exciting festivals, stunning countryside, two millennia of history all around and, of course, a world class zoo. 6 JOB DESCRIPTION Job Title: Student Activities Administrator (Chester) Pay Scale: Length of Contract: Responsible to: Responsible for: Place of Work: Purpose: 1, per month Initially 5 month fixed term for 35 hours per week Student Activities Manager Student Volunteers] Based primarily on the Chester campus. The post-holder is responsible for providing administrative support and delivering the processes and systems across all facets of the Union s Activities Department (e.g. sports, BUCS, and societies). KEY RESPONSIBILITIES To co-ordinate and administer the successful delivery of the BUCS (British University College Sports) inter-varsity programme. To provide administration support to student groups and the area including development of student training needs, identifying good practice with other institutions, providing support and guidance on student trips and events and provide general and executive meeting administration. To manage student volunteers working within the Activities Department and support the Vice President Activities and Activities Manager with administration actions and project work as and when required. SPECIFIC DUTIES Carry out administrative tasks in connection to events which the student activities staff team are delivering E.g Varsity, Awards, Sports and Societies Fair & Committee Training. To organise the room booking service for student groups, co-ordinating bookings through the established systems, ensuring the appropriate procedures are maintained. To coordinate requests for regular bookings and special events. Assist in the development of procedures and practices to ensure best practice in the provision of safe Student Activities. Highlight activities and events that require further health and safety checks to the Activities Manager. Maintain and review affiliations to National Governing Bodies. Coordinate the operations of the minibus fleet including handling bookings, cleaning, garage bookings, registering of drivers and charges. Website maintenance, including information updates and membership data entry. To ensure relationships are maintained with our transport hire companies, ensuring the best experience for our students. Delivering and administering training to student volunteers. During the academic year administration tasks will vary according to the direction of the student needs and development of the area. To carry out financial duties within the department including cash handling, petty cash and invoicing. 6

7 GENERAL To respect the democratic structure of the Students Union at all times. The post holder will be expected to work closely with Elected Officers of the Students Union. To ensure the delivery of a positive image of the Students Union, both internally and externally by displaying high standards of professionalism, politeness, conduct and service. Shall be responsible for the overall cleanliness and security of their working area. To operate the IT systems and related software used by the Union. The post holder is expected to ensure that Ultra Vires is not committed by any individual or group of members (staff and/or student), ensuring that the Students Union operates within the legislation set out in the Education Act Shall abide by all Policies and Procedures as laid out in the Constitution of Chester Students Union. Shall undertake duties and responsibilities commensurate with this position as may be determined by the needs of the Union via the line manager. It is important to be aware that the Students Union expects all staff to participate in, and take ownership of, their Induction, Personal Development Plan, departmental staff meetings and be responsible for undertaking duties with full regard for others within the conditions of employment detailed in the Staff Handbook. Shall keep accurate records of hours worked, furnishing the line manager with completed time sheets on a monthly basis for authorisation. A condition of employment is that all staff are expected to assist in key events throughout the year e.g. elections and fresher s week. 8 Person Specification EDUCATION & TRAINING ESSENTIAL DESIRABLE Full, clean Driving Licence Educated to a degree level Good general level of education Administrative and office experience Hold a Level 2 qualifications in Emergency First Aid in Work KNOWLEDGE Demonstrable experience of delivering and managing excellent customer service. Good working knowledge of Microsoft office package Knowledge of Students Unions (Societies/Sport/BUCS) Experience of working with websites. (Updating information/uploading documents) Experiences of working with excel databases and financial procedures Experience of planning, promoting and running events. SKILLS Able to interact with a wide variety of internal and external customers Ability to prioritise, problem-solve, manage a heavy workload and take an adaptable, flexible approach to work. 9 Terms and Conditions of Service 1. Holiday 10 days leave over the 5 months, in addition to public and bank holidays. Subject to the operating times of the service area, the post holder may be required to work on a public or bank holiday in which case they will receive another day s holiday in lieu. 2. Hours of Work Hours will vary dependent on activity and workload. The post holder will be required to work at alternative sites as necessary and appropriate meetings, training and conferences as and when required. Chester Students Union operates a flexible working policy. Flexible working arrangements also include time off in lieu; job sharing; annualised hours, part time working, home working and career breaks. 3. Sickness Scheme The Chester Students Union aims to secure the attendance of all employees throughout the working week however, in the event of the absence through ill health The Union operates a generous contractual sick pay scheme. 4. Pension Scheme All employees who meet certain criteria will be auto-enrolled into our workplace pension scheme. 5. Commitment to Training and Development Chester Students Union has staff training and development policy that provides a range of opportunities to undertake training and development while in post. This includes short course, conferences, seminars and other training events. After six months, you may be eligible to apply to undertake a work related part time course of study at the University.
