2 The Person Qualifications Tertiary qualification in Event or similar discipline is advantageous Skills and Experience Experience coordinating volunteers Significant experience (minimum 6 years) in an Event capacity Excellent time management and project management skills Excellent customer service and people skills Experience in volunteer coordination or people management Excellent written and verbal communication skills Highly organised with strong attention to detail Ability to prioritise and manage multiple tasks simultaneously in a fast-paced operational environment, whilst working to deadlines Advanced knowledge of the Microsoft Office suite - Word, Excel, PowerPoint and some database management experience A hands-on approach ensuring high team morale and guest satisfaction at all times Ability to work effectively with others and independently. Demonstrates initiative and ownership. A flexible and fair team player. Job Purpose purpose of role To provide event planning and delivery expertise in the absence of the Events Manager. The Senior Events Officer is responsible for the planning and delivery of Foundation run events, programs and activities, including the t volunteers to support events. The Senior Events Officer will ensure the provision of quality events, entertainment and support programs that provide much needed distraction and enrich the lives of patients, their families and staff at the Lady Cilento Children s Hospital. The Senior Events Officer will provide event expertise for the Channel Nine Children s Hospital Foundation Telethon and related events and activities. The Senior Events Officer will provide event coordination support to the Partnerships Team to coordinate logistics of internal and external partner related events and campaigns. Key Responsibilities Event Manage aspects of events including development, planning, marketing, operations and logistics Coordinate and deliver the planned calendar of events and assist with developing Senior Events Officer - 12 month contract, August

3 new concepts in consultation with the Director of Patient and Family support. Manage operational and logistical aspects of the Channel Nine Children s Hospital Foundation Telethon and related events and activities under the guidance of the Partnerships team. Coordinate Foundation staff and volunteer involvement in the Channel Nine Telethon Manage the delivery of the Christmas events and activations program. Ensure all events stay within budget and where possible request discounted/pro bono rates from suppliers Coordinate Foundation staff and volunteer involvement for events Develop relationships and negotiate contracts with third party suppliers and entertainers Undertake general administrative tasks including filing, tracking invoices and maintaining resources and registers Support the development and implementation of strategic projects Work with the Marketing Team to coordinate PR, marketing and communications elements for events and activities Provide event advice and support to the Partnerships Team and other Foundation departments when required including Foundation s Signature Events Where required, provide advice and support to Children s Health Queensland s Comms and Engagement team in the management of hospital run events and activities Volunteer Assist in the recruitment of general public volunteers for external events at the request of associated stakeholders and manage expectations Support the business through the management of volunteers at Children s Hospital Foundation events, campaigns and activities Ensure safety of volunteers including writing and enforcing event volunteer briefs outlining policies and procedures Hospital Relations, Tours and Visits Maintain relationships with key hospital contacts (i.e. security, facilities, safety and well-being, Medirest, Honeywell etc.) Maintain procedures in relation to hospital relations, tours and visits including providing training and support for other staff as required Maintain clear communication strategies and process with internal and external stakeholders Manage relationships with senior/high profile individuals with diplomacy and discretion Senior Events Officer - 12 month contract, August

The Commission for Children and Young People Act 2000 (QLD) requires that people who work with children in certain categories of employment undergo the working with children check. All Foundation employees must be eligible for a Blue Suitability Card, issued by the Department of Justice and Attorney-General.
