1 Job Title: Directorate: Reporting to: Location: HR Administrator Business Services HR Adviser Lion Court, London Grade: 6 Hours: Full time, 35 hours per week Overall Purpose The HR team supports the Federation to achieve its people and cultural aspirations, and to deliver positive employee engagement initiatives. The HR department is integrated within the business and works collaboratively with all teams, including coaching managers on best practice and what good management at the Federation looks like. Our aim is to consistently provide an outstanding HR service to our staff, and to support the Federation to achieve its strategic aims. This means having an understanding about the Federation s mission, demonstrating its values throughout our work activities, and most of all, having a commitment to continuously improving the level of service that we provide. Reporting to the HR Adviser, the HR Administrator is responsible for supporting the HR team to provide efficient and effect administrative support across the HR function covering; recruitment and on boarding, learning and development, HR reporting, and HR administration. The HR administrator is also responsible for supporting the HR Adviser to process contractual changes for payroll via our HR system, action HR queries and keep our HR system up-to-date. Responsibilities Whilst not an exhaustive list, the HR Administrator is responsible for: Responding to HR queries via telephone and the Hradmin mailbox, escalating more complex queries when necessary Updating our HR system (Carval) to administer new starter, leaver and contractual change processes, including liaison with payroll whilst preparing all supporting paperwork and documentation Supporting the onboarding process including, preparing offer packs, carrying out pre-employment checks and inducting new employees on the HR system and processes

2 Maintaining and administering employee benefits, including the flexitime system Preparing and maintaining standard and ad-hoc HR reports Supporting the recruitment process including organising interviews Assisting the HR Adviser to plan and organise various staff training events including booking meeting rooms and organising refreshments for delegates Carrying out exit interviews if required Providing assistance with the day-to-day efficient operation of the HR office Maintaining all electronic and paper records within the HR service Timely and accurate processing of purchase orders and invoices Assisting with the continued development of our electronic systems and processes Minute-taking at meetings as necessary Supporting the HR Team to deliver their strategic objectives To support with HR projects as required Key Attributes You will need to be an experienced administrator, preferably with demonstrable experience within an HR setting. Our HR team are very visible within the business, so you must have great interpersonal and communication skills along with a commitment to providing the best possible level of customer service to our staff. The role is varied and often your day will not go as planned, so you will need to be highly organised but also flexible to respond to the unexpected. The demands and pace of the role can be high, so the ability to prioritise a changing workload with a high level of attention to detail is vital. The role relies heavily on the use of electronic systems and platforms, so you will need to be comfortable using technology.

Administration experience ideally within a HR department or similar. Excellent verbal, written and numeracy skills Excellent organisational skills including ability to manage time and prioritise effectively Strong IT skills, skilled in using Microsoft Word and Excel packages and able to work with HRIS packages /databases.

7 TERMS AND CONDITIONS Salary 23,050-25,625 per annum All new staff to the Federation will be appointed on a spot salary within the salary scale for their grade. The normal expectation is that this will be at the bottom of the scale. This may be varied where the successful candidate is already earning above the minimum of the scale. Contract Permanent Hours of Work This role is a 35 hour week Probationary Period This post is subject to a 6-month probationary period. Annual Leave The holiday entitlement is 27 days, plus three days paid holiday leave to only be taken between Christmas Day and New Year's Day inclusive, public holidays are in addition. Annual leave for part time staff will be pro rata. Occupational Sick Pay The entitlement to sick pay is service-related, starting with one month's full pay during the first year of service and rising to six months full pay after 5 years service. Pension Scheme We offer a membership of a defined contribution pension scheme with the Social Housing Pension Scheme (SHPS). The minimum employee contribution rate is currently 2%.
