Include job grades) Dean of EBE Chair: EBE IT Committee Unix/Linux Systems Manager PC10 Oversight over ICTS: IT Lab Manager x 2 IT Assistant Lab Manager x 2 Onsite IT Engineers x 2 PC11 GIS Consultant PC10 GIS Manager PC9 PURPOSE The main purpose of this position is to manage the provision of a comprehensive, professional, pro-active and integrated Information, Communication and Technology and Facilities service to the Faculty of Engineering & the Built Environment. This entails strategic leadership and representation on university and faculty committees. The incumbent will monitor and manage the physical and infrastructural support and services necessary for the optimal running of the facilities required for academic teaching and research, and to manage relationships with relevant stakeholders in a manner that supports the achievement of this purpose. 13 October 2015 Page 1 of 5 HR191

Review of policies as appropriate. Develop and implement faculty ICTS Policy. Developing annual plans and budgets to give effect to faculty priorities as set out in faculty policy Communication of relevant policies to staff and students in the faculty Assessment of the appropriateness of technological infrastructure in terms of faculty priorities and making recommendations when appropriate for improvement Consider and implement ICTS innovations in teaching, research and service delivery in consultation with management of the Faculty Keeping abreast of new developments in academic computing to inform policy and planning Oversight and advice on the purchase of specialised teaching and research equipment Plan, direct and co-ordinate activities of designated IT and Facilities projects to ensure that the goals and objectives of the project are accomplished within the prescribed time frame and funding parameters. 3 2 Operations Management Ongoing renegotiation of the SLA between EBE and ICTS. Monitor the SLA Reports Daily monitoring of call log status for ICTS and Maintenance (IT & General delivery of services to staff and students as well as the Undergrad Computer labs Responding to all requests/calls from staff and students, sub-contractors and other departments within UCT. (IT & Management of the Staff mailing list Meetings with staff and students on new business plans or solutions to problems they may encounter. (IT & Manage Faculty Funded Classroom and Teaching Facilities in all of the EBE buildings (IT & Manage Lab booking process Manage all crises or emergencies on Projects within EBE relating to IT & Maintenance. (IT & Oversee the annual replacement and upgrade of staff computers as appropriate Oversee the management of the roll down of obsolete and retired equipment according to agreed policies and procedures SLA renegotiate annually SLA terms adhered to by both parties Queries attended to in a timely manner Teaching facilities managed in line with SLA Maintenance issues resolved Project-related issues resolved EBE owned equipment running smoothly for optimal teaching and learning Lab bookings confirmed and arranged Software renewals completed as and when required Consult and Advise the Space Management Committee on matters relating to IT, maintenance and Building Facilities 3 People Management Regular reviewing of staffing levels and capacity and making recommendations for improvement Develop and manage annual performance objectives for GIS staff. 4 4 Budget Development of annual budget for IT & Facilities needs in the faculty (IT & Controlling expenditure against budget and maintaining efficiency in operations to ensure maximum savings (IT & Monitoring the purchase of hardware, software and materials Maintenance of a database of IT assets within the faculty and verification of information on the asset database Submission of annual budget Budget spent in line with planned activities Make input into the Faculty budget and ensure that the EBE ICTS operation is managed within budget. 5 Stakeholder relations management and partnerships Liaise with software vendors and manage software licensing process for Faculty funded software Member of and represent the Faculty on all PIC Committees in the capacity of Facilities Manager Servicing officer to all projects within EBE Manage the day to day needs of the contractors / project managers for the duration of the projects (IT & Decision making on Facilities/service provision where clarity is needed Monitor and manage the provision of services by internal service providers (ICTS and to agreed levels, and liaison with such providers to ensure high quality provision (IT & Member of all related IT Committees, Task Groups and Working Groups Manage IT needs of EBE Faculty staff and students i.t.o. hardware/software solutions. Manage requests from staff/students on technical advice for new business/teaching models (IT & Contractor requirements attended to EBE IT concerns and needs effectively communicated at all relevant platforms Staff IT needs considered and assisted where necessary 6 Risk Management Work with the Chair of the H&S Committee (the Dean) and assist in managing the Risk Profile and all Risk documentation for the Faculty (documents on Vula) Monitor and escalate all risks on a daily basis and respond by logging calls or alerting the appropriate service provider(s) on campus (IT & Risk documentation uploaded to Vula Risks reported to relevant service providers 13 October 2015 Page 4 of 5 HR191
