4 INTRODUCTION 1.1 How to use this guide The goal of this user guide is to facilitate the use of the learning platform for Bombardier employees who have a "supervisor" access. To limit the proliferation of available versions and environmental concerns, the latest version will always be available on the learning platform. According to their preferences, a user can therefore choose between printing the complete guide or see on the screen. The guide is pedagogically structured into 6 blocks: Introduction "My team" Management of Users Management of workstations Training Management Frequently Asked Questions It is recommended to print the guide in color to facilitate its use. 8 1.4 Accessing Strategia The Learning Platform is accessible via BA Intranet (Bnet) or through the following address: Username: Bombardier Identification Number without the «B» Password: If you never changed your Password, the default one is bombardier 8

9 1.5 Retrieving your Password Click on «Forgot your user name or password?». Fill out the three fields "Name", "First Name" and " " Click on the button 9

10 1.6 Modify your Password Since «bombardier» is a default password, it is important to change it. In the left menu, Click on «User Name and Password» Enter your «Mot de passe/password:» Confirm your Password Click on the button 10

11 2. MY TEAM The "My Team" page is visible only to users with supervisor access. This section allows you to manage the registration approvals, view employees on a waiting list to view employees whose certifications will expire and view employees who are enrolled in training. The "My Team" page also allows you to generate reports. 2.1 «My Team» Page Description It is available in two formats: 1- Dashboard format situated within the «My Team» menu 2- Detailed and printable format available within the «Administration» menu (previous version) 11

12 2.2 My Team Dashboard *****NEW ***** You can see in graph form the following information: The number of registrations pending for approval Scheduled Training The number of users on the waiting list Certification that will expire Access to reports By default, you get the information related to your direct employees but it is also possible to view the information for indirect employees (Only available for graphics marked with three asterisks). All charts are clickable and allow supervisors to view a detailed version. If an action is required, you will be able to achieve it (see next page). 12

14 2.3 Registration Pending for Approval Click on the chart «Registration Pending for Approval» Select the employee or employees to approve Insert a comment if necessary A. To approve the registration, click on B. To refuse the registration, click on 14

15 2.4 Scheduled Training In the calendar «Scheduled Training», click on the desired date: A calendar will appear with the names of those who are scheduled for training. A Click to see the course information B Select the desired format ( Daily, Monthly and/ or Weekly) 15

16 2.5 Users in Training Waiting List Click on the chart «Users in Training Waiting List» To remove a pending request, select the employee or employees Click on the «Remove from the Training Waiting List» button A Click on the course name to view the training details 16

17 2.6 Certification Expirations Click on the chart «Certification Expirations» The list of employees appear 17

18 2.7 My Report Click on the section «My Reports» Select a language Enter your filter criteria Click on the button * A more detailed guide will be available soon 18

19 2.8 «My Team» Detailed and Printable Format (PREVIOUS VERSION) Sections such as the following are included on this page: Approbation Reports Users in Training Waiting List Certifications due for renewal in the next 60 days Users in training in the next 60 days Via this page you will be possible to: Accept or refuse employee registration Register employees whose certifications expire in the next 60 days View upcoming training for your employees (60 days) Unregister an employee registered to training Verify training availability of employees on the waiting list When you access other pages via the «My Team» page and want to return to the «My Team» page, you must click on «My Team» in the left side menu. It is also possible to print this page, by clicking the button at the bottom left. A "print preview" and "print" dialog window opens. Only users in Waiting Training List, Certifications due for renewal in the next 60 days and Users in training in the next 60 days sections will be printed. 19

20 2.9 Registering an Employee with Expiring Certification An employee with an expired certification no longer appears in the list. To know which employees have expired certifications, view them via your Workstation Profile or in the Competencies user profile. Click on the «Administration» menu Click on «My Team» In the «certifications due for renewal in the next 60 days» section, click on the name of the employee Click on the certification name to access the available training schedules 20

22 3. USERS 3.1 View an Employee Profile Option 1 Select an Employee in your organizational structure In the left menu, Click on «Users» Click on «Users list» A By default, the filter is set to «My Direct Report» Click on the name of the employee to access their profile. This page opens: 22

23 Option 2 Search with an Employee Number In the left menu, Click on «Users» Click on «Users list» In the filter drop down menu, Select «User in All Organizations» Enter an Employee Number, last name or first name as a keyword. Press «Entrer» or click on the icon to start the search Click on the name of the employee to access their profile. This page opens: 23

24 3.2 Viewing Employee Competencies and Certifications From the «User Profile» page Click on «Competencies» A Acquired Competencies B Recognized Certification 24

25 3.3 Viewing an Employee Training Summary Click on «Training Summary» A Training which the employee is registered to B Training received by the employee 25

26 4. WORKSTATION PROFILE The «Workstation Profile» section of the learning platform acts to inform supervisors of required competencies, SSE requirements and certifications required for job positions that are part of their team. It is in this section that a supervisor can identify the training needed for different employees. 4.1 Accessing a Workstation Profile In the left menu, click on «Users» Click on «Workstations». The workstation profiles associated to the supervisor will appear. Click on Workstation name Click on the «Workstation profile» tab 26

27 4.2 Viewing Basic Competencies and Certifications for a Job In the workstation profile tab, the basic competencies can be found in the trade roles (TR). The TR is the blue tabs in the workstation profile. Click on the Trade Role. The following page appears: A Basic competencies of the trade B Level of competency required of employee C Employees belonging to the selected trade D Level of competency of employee 27

28 4.3 Viewing Competencies and Specific Certifications In the workstation profile the specific competencies are found in the Specific Role Name (SRN). The SRNs are the pink tabs found in the workstation profile. Click on the Specific Role Name A Specific Competencies and Certifications B Quotas of employees that are required to possess the competency or certification (see legend for more details) C Required Competency Level for this role D All employees associated to the workstation profile E Level of competency of employee F Percentage of employee competencies developed at the required level for all competencies and certifications identified in the specific role 28

29 4.4 Sorting Employees in a Specific Role Click on the button. The Search Engine User window appears In the right menu, click on «Role» Click on the button. The Search Engine Role (from User) window appears (see next page). 29

33 4.6 Registering an Employee to Training from Workstation Profile Where the employee and desired competency meet, click on the competency level of the employee. The «Employee Registered to a Schedule» icon will appear in the box next to the competency level 24 to 48 hours after registration. 33

34 4.7 Associating an Employee to a Workstation Profile. Click on «Users Association». Enter an Employee Number, last name or first name as a keyword. Press «Enter» or click on the icon to start the search Select the employee in the left column. Click on the button When the selected employee is already associated with another job profile, this window appears (see next page). 34

35 To dissociate an employee from another workstation, select the option "remove" for each workstation profile box. For example, it would be appropriate to remove an employee from their previous workstation. To ensure that an employee remains in other workstations, leave the remove box empty. Click on the button 35

36 4.8 Associating Numerous Employees in a Workstation Using their Employee Number Click on the button. The Search Engine User window appears (see next page). Click on the drop down menu Select «Search by employee #». This window appears: 36

37 Enter employee s number. Up to 25 employee numbers can be entered. Click on the button. All employees whose number has been entered will appear in the left column (see next page). In the left column, select the employees Click on the button. When the selected employee is already associated with another job profile, this window appears (below): 37

38 To dissociate an employee from another workstation, select the option "remove" for each workstation profile box. For example, it would be appropriate to remove an employee from their previous workstation. To ensure that an employee remains in other workstations, leave the remove box empty. Click on the button Employee association is completed. 38

39 4.9 Dissociate an employee from a Workstation Profile To access the workstation : In the left menu, click on «Users» Click on «Workstations». The workstation profiles associated to the supervisor will appear. Click on a Workstation Profile Name. The "Information" page of the workstation appears. Click on the «Users Association» tab. This page appears: In the right column, select the employees Click on the button. The selected employees will be transfer in the left column. The dissociation of the employee(s) is completed 39

40 4.10 Adjusting a Quota Click on «Roles/Skills Requirements». Select the specific role in which the quotas should be adjusted. The following page appears: Click the icon of the competency for which the quota needs be adjusted. Enter the minimum number of employees that must possess the competency level for the position. Click on once the adjustment is completed. Repeat steps 2-4 for each competency and certification 40

41 4.11 Printing a Job Profile in Excel Click on the button. This window appears. Click on the button. This window appears. Select the location where the job profile should be saved. Enter a file name. By default the file is called Dashboard Click on the button. This window appears. 41

42 Click on the button. This window appears. Click on the «Enable Macros» button. An Excel page will open with the job profile. Since it is an Excel file, it works like a regular PivotTable. 42

43 5. TRAINING The learning platform allows supervisors to view training offered in all plants. Certain schedules are reserved for employees in a specific plant. Before registering an employee to training offered in another plant, verify with a Learning Business Partner or a Technical Learning Advisor. 5.1 Access Training Schedule Type de formation Online Training Classroom Program Status Approbation Training Published Self-Registration Training Coordinator Enrollment Waiting List Unavailable A Allows to search by course language (French, English and Spanish) B Allows to search by Activity Type (Program, Classroom, Online Training and Virtual Classroom) 43

44 In the left menu, click on «Training» Click on «Schedules and registration» Enter the name or code of the training and press on «Entrer» or click on the icon Click on the desired training. One of the following two options is displayed. Possibility 1 No records found Possibility 2 Available schedules 44

45 5.2 Registering Employees from my Organizational Structure Click on «Assignation» or «Self» in the Registration column A By default, the filter will be «My Direct Reports» Select the employee to be registered from the left side column. If the employee does not appear in «My Organizational Structure», move on to the section 5.3 Click on the column. button. The employee will be transferred to the right side Registration is complete. 45

46 5.3 Registering Employees that are Not Part of my Organizational Structure Click on the drop down menu Select «Users in All Organizations» Enter the name or code of the training and press on «Enter» or click on the icon Select the employee to register Click on the column. button. The employee will be transferred to the right side Registration is completed. Registration can also be carried out via the job profile. 46

47 5.4 Registering to a Waiting List It is also possible to put an employee on a waiting list so as to be informed by of opening schedules. The waiting list allows the supervisor to be notified by that a schedule is open An employee on a waiting list is not automatically registered to a course once there is an opening. You must register them yourself. For technical training, Health and Safety and the Leadership Excellence program, the number of people on the waiting list does not have any implications on schedule openings or registration. Click on «Waiting List» Select the employee to register Click on the button. The employee transfers to the right side column. The employee is now on the waiting list. 47

48 5.5 Cancel a Registration Note that the free cancellation period varies from 5 to 10 days, depending on the supplier. In the left menu, click on «Training» Click on «Schedules and registration» Enter the name or code of the training and press on «Enter» or click on the icon Click on the desired Training Click on «Assignation» or «Self» in the Register column 48

49 In the right column, select the employee to unregister. A Click on the B Click on the button to unregister the employee button to place the employee on a Waiting list. The cancellation is complete. 49
