2 Introduction The needs of the workforce are changing. And they re changing fast. In the early 2000s, employers were most interested in employee satisfaction. Then around 2010, the focus shifted to employee engagement. But now, employers are beginning to see satisfaction and engagement are just smaller components of what their workforce cares about: the employee experience. The employee experience is the sum of all interactions an employee has with their employer. It is the structure and culture of the organization and how the employee perceives the company overall and their role in the company. One of the primary goals of those attending the 2017 ioffice User Conference was elevating the employee experience. But there are always difficulties to overcome in the pursuit of any objective, business or otherwise. Let s take a look at some of the most common employee experience challenges coming out of the conference. More specifically, the employee experience is influenced by three things: 1. The physical environment in which an employee works 2. The tools and technologies an employer provides 3. How an employer demonstrates its commitment to the health and success of employees

3 Challenge 1: How Can I Show Employees They re Appreciated? Your employees are your first (and most important) customers. This means the time, budget and resources you invest in making your employees happy actually should be more than what you invest in delighting your clients. Prove to your employees you value them just as much as you value your customer base: Ask them for feedback, reward their loyalty and include them in decision-making processes to promote a sense of ownership.

4 Challenge 2: How Can I Ensure Employees Have What They Need to Succeed? Your employees require two things to complete a task:1) appropriate tools, and 2) a suitable workspace. Don t make assumptions about what kinds of tools or spaces your staff members want or need. Ask them what types of resources, technologies and spaces they believe are critical for success and then make sure they have them. Be confident that your organization is helping, not hindering, productivity.

5 Take a page from the B2C playbook. Challenge 3: How Do I Choose Workplace Technology Employees Will Use? Consumer technology is empowering. It allows us to connect with people around the world and share information instantly. It s designed with users in mind and built to make our lives easier. The technology in your workplace must have these same qualities. It should solve the challenges of your workforce and be something your employees can t live without.

6 Challenge 4: How Do I Build a Modern Digital Workplace? A modern digital workplace is agile and adapts to the needs of the workforce. It supports employee freedom and autonomy by guaranteeing on-demand access to the information employees need, regardless of their location. It offers the proper balance between connectivity and flexibility. A true digital workplace is an environment where technology helps provide a better employee experience. It s a place where employees genuinely enjoy spending time.

7 The average person spends nearly a third of their week at work. Shouldn t they be comfortable while they work? Challenge 5: How Can I Use Smart Technology to Improve the Employee Experience? Smart technology makes designing pleasant workspaces easier: An intelligent thermostat changes the temperature depending on weather and season. Smart blinds adjust how much of a window is covered based on its location. on the building and the time of day. IoT sensors allow employees to see available spaces for scheduled meetings or impromptu powwows.

8 Challenge 6: How Can I Use the Internet of Things (IoT) to Improve Space Use? Devices connected to the Internet of Things (IoT) are the extra set of eyes and ears you wish you had. IoT sensors record occupancy data, such as how often a space is used and for how long. This data allows you to accurately identify which types of spaces the workforce prefers and which are underutilized (or not used at all). You can eliminate unnecessary real estate and design better spaces ones where employees feel motivated and engaged.

9 Business Intelligence (BI) and reporting are the lighthouses guiding you as you steer through a sea of data. Challenge 7: How Do I Make Workforce and Workplace Data Actionable? The most comprehensive and accurate data means nothing if you don t have the tools to organize it, analyze it and make it actionable. In other words, BI and reporting are what you need to actually accomplish anything. With BI and reporting you can leverage historical and current data to better meet the needs of both the business and the workforce.
