2 THINKING ABOUT HIRING A STUDENT WORKER? Student workers can be an excellent source of support for you and your office. Perhaps you ve got an upcoming project with a lot of administrative details Maybe you d like a welcoming face or information touch point for the office You may need consistent help on additional work but do not have the resources to hire a full-time, regular employee What next?

3 GO TO THE STUDENT EMPLOYMENT WEBSITE Human Resources has created a Student Employment portal on the Inside Luther website: Student Employment Website This is a good place to start! Here you will find general information about the student employment program as well as resources specifically designed to assist you in hiring and managing student workers. You can also refer students interested in work to this site for information that will assist them through the process also.

4 STEP ONE: NOTIFY HUMAN RESOURCES Visit the FOR SUPERVISORS tab in the Student Employment section under the Employment tab Scroll down to IMPORTANT FORMS Select PCRF/JOB DESCRIPTION This form is the first step! The Position & Computer Requisition Form and job description allow you to formally file a request for employment with human resources. With this form authorized, the hiring process can start. Fill out the form and send electronic copy to Human Resources

5 STEP TWO: MEET WITH HUMAN RESOURCES After receiving the PCRF/Job Description, Human Resources will schedule a hiring meeting with you. These meetings are about 20 minutes Come prepared to discuss your ideal candidates and staffing expectations The HR representative will outline the staffing process for you and will remain your contact throughout the hiring process

7 STEP THREE: THE JOB IS POSTED Once HR has approved your PCRF/Job Description, they will post an ad for the job on the student employment website The posting will be live for 60 days unless otherwise stipulated At this point students may apply to your position. Any students who contact you directly, kindly refer to the student employment website or Human Resources Office

8 STEP FOUR: REVIEW RESUMES & SCREEN CANDIDATES Once the position goes live, students will apply! Human Resources will send you resumes and application materials for review By phone or in-person, interview your candidates to determine the best person for the job. Resources for interview are available on the website Offer the job to your chosen candidate!

9 HOW TO MAKE A JOB OFFER The following are topics you must be sure to cover: Pay Rate: This will have been previously established with your HR Contact and can also be discussed with the student in the screening process. Scheduling Expectations: Be sure you ve discussed how many hours and/or shifts they ll be expected to work in a week. This is key if the student holds more than one position in light of the 20 hour weekly maximum Potential Start Date & HR Appointment: Inform them that they will be contacted by HR to set up an appointment on their first day of employment. Discuss a start date that would suit your and the student s schedule

11 STEP FIVE: THE PAY AUTHORIZATION FORM The next steps to the process are key: Print and complete the PAY AUTHORUZATION FORM found on the Supervisor page under Important Forms. Please note: this form must also be signed by the student Deliver the completed form to Human Resources a minimum of three (3) business days prior to the student s start date This allows time to schedule an appointment with the student to fill out their hiring paperwork in the HR office Human Resources to remove the job posting

12 STEP SIX: THE WRAP-UP Send an to your HR contact once you ve filled your position(s) to request the posting be removed the job board Notify unselected candidates you ve interviewed, thanking them for their application Prepare for your new student worker! Prepare a workspace and provide important supplies and materials for them to do the work Set up a training/orientation process
