1 Canadian Council on Rehabilitation and Work (CCRW) Position: Full-Time Director, Finance & Administration National Office Location: CCRW National Office 477 Mount Pleasant Road, Suite 105 Toronto, ON Reports to: Posting closure: President & CEO Thursday September 14 th, 2017 at 4:00 EST Pay Scale: Pay Scale 6 Executive 1 General Information The Canadian Council on Rehabilitation and Work (CCRW) is a National organization promoting and supporting the meaningful and equitable employment of people with disabilities. We accomplish this by working one on one and in group settings with people with disabilities to support their employment search; and with employers to educate and support them on the hiring of people with disabilities. We are currently seeking to add to our vibrant and enthusiastic Management team by filling the position of Director, Finance and Administration with an experienced person with a strong background in finance, leadership and management who is committed and passionate with strong inter-personal skills. The successful candidate has a desire to contribute in a collaborative atmosphere, working as a critical part of a small, dedicated team. This is a permanent position situated at the National Office. Responsibilities: As a key member of the Senior Management Team, The Director of Finance and Administration provides strategic financial control, advice, guidance, insight and analysis to the Board of Directors, CEO and management team, including monthly and annual financial statements and reports with analysis and recommendations, human resources management and ongoing job coaching, development of financial and administrative policy and procedures, internal control implementation, and IT coordination and procurement. CCRW is registered Canadian charitable organization managing program delivery in multiple locations across the country with budget responsibility of $8 million annually. Overseeing a small team, he or she will manage the annual budget, projections and audit process while providing day to day operational financial

2 management and financial support to program managers. Leadership, attention to detail, problem-solving skills and decisiveness are critical for success in this role. The Director, Finance and Administration will be responsible for all areas of the organization s operations including staff benefits, on line management of payroll processes and procedures and IT including standardization of the computer system across the country using Office 365, SharePoint, and VoIP technologies. Working with the CEO for HR related functions is also pivotal to this position. This is a highly responsible position which requests an innovative and resourceful person equipped with the ability to deal with a wide range of issues and tasks proactively and simultaneously. The Director, Finance and Administration, as the second in command is responsible for working collaboratively with the Management team in the creation and maintenance of a positive and productive workplace environment that is transparent, free of harassment and discrimination and where the worth of all employees is acknowledged, their contributions valued and their dignity respected. The successful candidate will have comprehensive knowledge of barriers encountered by persons with disabilities in achieving opportunities to employment and employment is conditional upon the satisfactory outcome of a Criminal Background Check that includes a Vulnerable Sector Screening. Qualifications: Energized, dynamic, empathetic leader and team player who inspires and motivates those around them. Motivated to achieve results independently and meet strict deadlines. Professional Accounting designation (CPA-CA/CMA/CGA) Minimum of 5 years of senior management experience, preferably, but not necessarily in the not for profit sector Record of achieving results in a changing environment, and ability to lead, encourage and enable change. Experience managing complex finance and administrative systems, preferably in a not for profit, service oriented environment Extensive budget and cash flow management experience with the ability to analyze and use financial information and statements to identify issues, opportunities and help manage the organization Detailed knowledge of IT including procurement, suite of Office programs, AccPac, Office 365 and SharePoint, as well as online submission, reporting and knowledge of VoIP systems Previous experience working with Boards of Directors and Board Committees

3 Experience managing multiple stakeholder relationships Proven analytical, decision-making and planning abilities A proactive and entrepreneurial mindset with the ability to identify and investigate potential issues and opportunities and provide solutions and ideas in a timely and efficient manner Good organizational, time management, and prioritizing skills Strong written and verbal communications skills to communicate concisely and confidently with stakeholders at all level of the organization; public speaking experiences an asset. Duties: Financial - Budgeting and Financial Reporting Lead in the development of annual budgets and multi-year forecasts. Prepare the annual budget for the CCRW Board on a consolidated and a program area basis and report the actual results versus budget each monthly period. Report and interpret results against plans with valueadded analysis and recommendations. Provide financial reports and information to managers and board members, which include narrative analysis for Board reports Oversee the process of negotiation, managing and tracking of program contracts with funders Review & improve operational and financial controls at all levels of the organization. Streamline the monthly cash forecasting process including assessing existing accounting processes to improve communications from program managers to National Office re: expense management and cash flow implications. Review and research potential cost saving opportunities and efficiencies within the organization. In collaboration with Senior Management, establish performance indicators and dashboards for the ongoing reporting and monitoring against budget performance, for both operational and governance (Board) review Provide strategic guidance to the Board, President & CEO and management team on financial matters working to integrate overall financial and operational outcomes. Financial General Accounting As a key member of the Senior Management Team, lead the evaluation of financial reporting systems, accounting procedures and investment activities, including identifying gaps and opportunities for improvement in systems or practices and recommend changes to procedures, operating systems, budget and other financial control functions. Prepare financial management reports (balance sheets, P&L consolidated and by program/location; cash flow; amortization

4 schedules etc.) each month. Prepare and present monthly financial statements to the President & CEO as well as to the Board of Directors Direct the day to day bookkeeping & accounting including cash management, banking and investments, accounts receivable and payables, revenue deferrals, expense accruals, account reconciliation, general ledger and accounts receivable and all standard balance sheet reconciliations. Monitor and manage cash flow. Manage all banking relations and activities (cash flow management; bank reconciliations; monitor restricted cash covenants). Ensure ongoing compliance with all government and charitable reports and filings, specific to CRA regulations. Prepare and manage all filing requirements (including multi-jurisdictional HST, employer health tax, workers compensation, and all corporate and charitable filings and reporting, etc.). Monitor and report on investments. Manage the annual external audit process. Primary relationship with outside auditors. Prepare and present annual financial statements to Finance Committee and annual budget to the Board. Responsible for supervision of payroll including the administration of employee benefits and management of employee records. Manage/oversee payroll staff. Provide support and advice to the CEO by identifying efficiencies and recommending improvements to processes, systems and controls via accurate financial analyses. Develop, recommend, monitor, review and revise financial policies, procedures and internal controls and ensure compliance. Provide financial support to resource development and program staff including the development of grant/program proposals and tracking annual revenue targets Develop and document systems to monitor restricted cash flows from contracts of contributions and grants. Corporate Development Working closely with the President & CEO, provide financial analysis of strategic and operational initiatives. Analyze impact of initiative on annual budget and multi-year forecasts, reviewing income, cash flow and balance sheet variances. Develop, maintain, revise, analyze and report on risk management plans. Ensure contracts are in line with CCRW vision; are upheld and executed Provide support to program management for operational decisionmaking such as program profitability, program pricing, new program proposals, etc.

5 Provide support with a financial lens on vision, mission, values, strategies and plans, as well as the day-to-day operations of the organization. Assist in furthering strategic and operational initiatives. Administration Is the second-in-command at CCRW. Hire, manage, motivate, coach, train, develop and evaluate the performance of finance staff (currently a team of 3) Work closely with the CEO on matter of Human Resources and development. Create and implement policies and procedures for efficient and positive outcomes Streamline current administrative processes of the organization and improve efficiencies Sit on internal and external committees and task forces as required Provide advice to the President & CEO of matters requiring risk management Manage office equipment needs including phone system and I.T.
