2 WHAT IS? PepleAdmin is ur Talent Management slutin fr ur schl s recruitment needs. Thrugh PepleAdmin we can streamline the hiring prcess by advertising jb psitins, managing psitin descriptins (fr staff nly), nbard emplyees and cnduct EEO reprting with the analytics reprting capabilities.

4 PEOPLEADMIN MODULES Hire (previusly Applicant Tracking) Thrugh the HIRE mdule yu can: pst psitins r view ld pstings (frm yur department r t psitins yu have been tied t) Yu can generate hiring prpsals If yu have access as an Applicant Reviewer r Search Cmmittee Chair yu have the capabilities t deselect candidates. Psitins (previusly Psitin Management) Thrugh the MANAGEMENT mdule yu can: Update any STAFF psitin descriptin by ging thrugh the psitin mdificatin prcess NOTE: All psitins must g thrugh this prcess if they are recruiting and changes are being made t the psitin If yu are a Hiring Manager r Supervisr yu can see all f yur direct reprts Yu have access t view SHRA Classificatins which are managed by Nrth Carlina Office f State Human Resurces (OSHR) Onbard NEW Thrugh the ONBOARD mdule, we have the capability t: Deliver a new experience t engage emplyees thrugh an autmated prcess We will be cllecting Tax frms, parking infrmatin, I-9, the emplyee data sheet, etc.

5 LOGGING IN Our emplyee prtal url is Our emplyment site t apply fr psitins is

6 LOGIN PAGE Lgging In Lgin with yur accunt username and passwrd. Initial user lgin and passwrd will be yur 96 emplyee number. New Users New Users can request a new user accunt by pressing the Request an accunt link. This will put the user int pending status. The system will send an t the Administratr. The Administratr will have t apprve the user befre they can lg in. Nte: UNCSA emplyees shuld nt request a new accunt because they are already in the system, (even new hires). Frgt yur Passwrd? If yu frgt yur passwrd, click the Request a Passwrd Reset link and the system will the user a link t reset their passwrd.

7 HOME PAGE Inbx The inbx is a ntificatin area where the system will display any items that yu need t act upn (yu will see a number appear beside the heading that is requiring an actin). Watch List The watch list displays any item that yu have flagged t be put n yur watch list. We will see this later n in the dem. (Nte: the tabs that display fr the inbx and Watch List will depend n yur permissins. Yu can always quickly access these ntificatin areas wit the buttn at the tp f the screen)

8 HOME PAGE User Drp Dwn Menu When yu lg in, yu may cme t the HIRE hmepage. Depending n the user grup yu are lgged int, yu will see the menu ptins that crrespnd t yur user permissins. The drp-dwn menu will nly be available if yu are assigned t multiple user grups, therwise, yu will nt have a drp-dwn menu and yu will simply be lgged in as yur user default.

9 HOME PAGE Mdule Sectin In the tp left sectin f the screen, yu will see three blue dts. If yu click here, yu will have the ptin t transitin t the ther mdules.

11 T request a new psitin: Please make sure Human Resurces has delegated authrity f the psitin. If we d nt have delegated authrity fr a psitin, a psitin request packet will have t be submitted t the Human Resurces Advisry Bard (HRAB). Please cntact ur Classificatin and Cmpensatin Analyst fr mre infrmatin. Maggy Sivansay

12 Once the psitin has been apprved: Human Resurces will enter the new psitin int PepleAdmin and send yu an nting the psitin has been finalized and apprved. At this pint in the prcess, the department can begin ruting the apprved psitin t pst.

16 Reclassifying a STAFF psitin: If the department is planning t reclassify a staff psitin, yu will need t fill ut a FORM 201 and attach the required dcuments. If yu have any questins abut this prcess please cntact Maggy Sivansay, When mdifying a psitin, this shuld nly be dne t update the respnsibilities and duties r update the budget infrmatin prir t psting the vacant psitin.

18 POSITIONS Hver ver the mdule selectin drp-dwn menu and select Psitins. Nte: Be sure yu are in the crrect grup status t start a psitin descriptin: Hver ver the Psitin Descriptins Tab and click the SHRA/EHRA Staff. This takes yu int the Psitin Descriptin list screen where yu chse a psitin in yur department t mdify. Mdify Psitin Descriptin: Step 1: Chse the crrect psitin yu need t mdify, by clicking n the psitin number t view the psitin.

19 POSITIONS Mdify Psitin Descriptin: Step 2: In the right-hand crner select Mdify Psitin Descriptin. Step 3: A pp-up bx will ask if yu wuld like t start the mdify psitin request, please select START.

23 POSITIONS Mdify Psitin Descriptin: Step 7: Update the Supervisr Psitin Tab: If yu need t update the Supervisr listed fr the current psitin, please filter results t search fr the apprpriate psitin number/persn. Save then cntinue.

24 POSITIONS Mdify Psitin Descriptin: Yu can skip ver the fllwing tabs: Cmpetencies Respnsibilities and Duties Step 8: Enter any infrmatin frm the Additinal Infrmatin Tab. Is this psitin cnsidered mandatry persnnel? Will yu allw this psitin t wrk ff-campus? Is this psitin a Campus Security Authrity? Will this psitin wrk with r vlunteer in prgrams r activities that invlve minrs? Wrk Lcatin Des this persn have an ffice space, if s what is the building r ffice number. Click Save then hit Next t cntinue.

25 POSITIONS Mdify Psitin Descriptin: Step 9: Enter any infrmatin frm the ADA Checklist Tab Envirnmental Cnditins Mental Functins Sensry Functins Wrking Cnditins and Physical Demands Other Click Save then hit Next t cntinue.

26 POSITIONS Mdify Psitin Descriptin: Step 10: Please submit All Dcument Types listed except fr a Mem. A mem is nt required Nte 1: SHRA STAFF will submit the OSHR Psitin Descriptin Frm. Nte 2: EHRA STAFF will submit the HR Psitin Descriptin Frm. Click Save then hit Next t cntinue.

Create New Psting: Step 1: Create New SHRA/EHRA Staff Psting Frm the Psting screen, click n the range Create Frm Psitin Descriptin buttn. A bx will pp up that asks yu t Chse the psitin request yu wuld like t start. Select New Psting. c

32 HIRE Create New Psting: Step 2: Enter the prpsed Title. If the Department r Divisin Organizatinal are nt preppulated please select the Organizatinal Units fr this psitin. Be sure t click the Supprting Dcuments bx s applicants can attach files t their applicatin.

33 HIRE Create New Psting: Step 3: Fr Psitin Details, review t make sure psitin infrmatin is crrect, and enter the fllwing: Applicant Reviewer Access Prpsed Effective Date (Start Date) Open Date Clse Date r Open until Filled (select Yes) Click Save and Cntinue.

34 HIRE Create New Psting: Step 4: Check Budget Infrmatin (This is tied t the psitin, s if changes need t be made, please let HR/Budget knw befre cntinuing n in the prcess). Click Save then hit Next t cntinue. NOT PICTURED: Budget Summary which shuld include: Fund Cde Accunt Cde Salary Percentage Funded NOTE: Remember fr EHRA psitins yu will nt enter Salary Range r Recruitment range.

35 HIRE Create New Psting: Step 5: Select the Dcuments that are needed t apply fr the psitin. Yu als have the ptin t make dcuments ptinal. Click Save then hit Next t cntinue.

36 HIRE SUPPLEMENTAL QUESTIONS

37 Quick pints Supplemental questins can be used t help answer questins abut minimum qualificatins, preferred qualificatins, where the applicant fund the listing, etc. If yu want t have disqualifying criteria fr a psting, please use supplemental questins t assist. Please nte in an effrt t keep the number f supplemental questins t a minimum, bth the user creating the questin and the Campus HR user apprving it have a respnsibility t search the supplemental questins and make sure a similar ne des nt already exist. The list f supplemental questins will peridically be reviewed and updated.

38 HIRE supplemental questins Create New Psting: Step 6: Select any Supplemental Questins yu wuld like a ptential applicant t answer. Click the range Add a questin buttn and select the questins yu wuld like t use, then hit submit. If a questin yu want t ask is nt available, yu have the ptin t create a new ne (This must be apprved by HR fr it becmes active). c

39 HIRE supplemental questins Create New Psting: Step 6: Supplemental Questins: Once yu add a questin t the psting, yu can click n the blue questin link and specify if yu want the answer chice t be disqualifying r assign pints fr assessment. Be sure t select the radi buttn fr answers yu want t be disqualifying. By making a chice disqualifying, anyne wh answers with that chice will immediately be taken ut f the pl fr the psitin. Click Save then hit Next t cntinue.

40 HIRE Create New Psting: Step 7: Add the fllwing dcuments: Recruitment Plan List f where are yu advertising utside f UNCSA Print Ad Text The verbiage f Recruitment Ad (can be added t the recruitment plan) HR / OSHR Psitin Descriptin Frm Org Chart Justificatin. T add dcuments, g t Actins and yu can Uplad New, Create New, r chse existing (By selecting the chse existing ptin it will allw yu t chse any previusly uplad dcuments) Click Save then hit Next t cntinue.

Click Add Existing Users t add thse already in the PA System Click Create New User Accunt fr smene wh needs access t view applicants and is nt currently in the system (If yu create a new user, HR will have t apprve the member). Click Save then hit Next t cntinue. Nte: All UNCSA emplyees already have an accunt and access t be a Search Cmmittee Member.

42 HIRE Create New Psting: Step 9: Enter the Evaluative Criteria. Click the range Add a Criterin buttn and select the questins yu wuld like t use, then hit submit. If a Criterin yu want t answer is nt available yu have the ptin t create a new ne (This must be apprved by HR fr it t be active). Click Save then hit Next t cntinue. Evaluative criteria are used during the search prcess, t rank applicants. When adding evaluative criteria, yu will have the pprtunity t chse an Applicant wrkflw State. This is imprtant t nte because selecting the state at which the criteria will be available, dentes when the cmmittee members can evaluate the candidate in the search prcess.

If yu create a guest user accunt: this will create a generic username and passwrd. Enter a valid address fr each persn wh will use this accunt. Enter nly ne address n each line. Yu can enter in address and an will be sent ut t thse users. Click Save then hit Next t cntinue.

Fr EHRA Faculty psitins yu will need t be lgged in as the Search Cmmittee Chair Only ne persn can be assigned as the Search Chair. We can change access t a different user, but multiple peple cannt be assigned t have access at ne time.

75 In rder t deselect a candidate: Yu will ntice when yu g back t the list f applicants, different persns are in different wrkflw states. Yu can n lnger d a bulk mve in wrkflw unless yu get alike persns under ne wrkflw state.
