3 Navigation How do I Sign in to Workday? Before you can access your data and use the Workday system, you must first sign into Workday. The system will require a personal sign in and password, which will be assigned to you by your system administrator. You will also be asked to set up security questions the first time you log in. To access Workday, enter your security information on the Workday sign in screen: Keep in mind that all company security policies are strictly enforced. If you have an issue with your sign in name, password, or any other security matter, contact IT. 1. If you are accessing from the Bristow system, you can click on the following link to send a helpdesk ticket: User Name & Password are Required. 2. If you do not have the ability to enter a Bristow Help Desk ticket, please use the following address to log an issue with the Bristow IT Department: helpdesk@bristowgroup.com 1

4 My Account How do I Manage my Account? Select the Change Preferences link to change user interface defaults such as alerts, the look of your inbox and your tasks Select the Change Password link from the My Account worklet on the All About Me page. Select the Manage Password Challenge Questions link. Select new questions and answers which will be used to send you a new password. 2

5 How Do I Navigate in the Workday System? The All About Me Landing Page is Workday s one stop shop for all worker self service and informational needs. A circle of worklets is displayed, from which you can access all relevant information about yourself, such as name and address, emergency contacts, paid time off balances, payroll payslips, and much more. Not all of this information is available for everyone, because it depends on which products have been implemented and which self service configurations have been enabled. How do I use the Search Window? Expanded Worklet What do I use the Related icon for? The Related Actions icon that is next to employee name is used to indicate that there are actions related to the object which can be taken. Worklet Icon 3

6 Configuring Workday How do I Configure the My Team page? The My Team page provides an expanded view of all required and optional worklets. Links and tasks within the worklets are easily accessible, and you can configure which worklets to display on the page. Worklet icon Expanded Worklet URLs or links Worklet configuration 4

7 What are My Team Page worklets The My Team page is composed of worklets that gather all information about your direct reports on one page. Worklets available for managers on the My Team page and their description are presented in the following table: My Team From this worklet managers can view their direct reports and access information about them from their related actions icon. Managers can take specific actions on or view information about their team. Employee Changes This worklet summarizes recent activity within your team, such as hires, promotions and transfer. Managers can promote, move or transfer workers, view open positions, and details related employee change activity. Time Off Manage worker time off requests by entering or correcting time off, or place employees on leave. All time off balances can be view, or just the approved balances. Inbox This is a worklet version of your Workday Inbox accessible from your my Team page. My Reports This worklet contains all reports that are available. My Headcount With this worklet view your organizations available headcount, as well as access organization information and navigate the organization hierchy. My Processes This worklet provides a summary of all processes initiated by you, and their current status. 5

8 How do I configure the My Team page? From the My Team page, click the Configure This Page link. Worklets are groupings of related task links, with titles such as Personal Information and Time Off. Some worklets are required, and may not be removable, depending on your organization s policies. Click Close to complete and return to the My Team page. Additional Worklets can be added if allowed by your organization. Use the Up or Down arrows to change the order the worklets display on the page. 6

9 Inbox What is my Inbox used for and how can I access it? Your Inbox shows notifications of tasks, reviews, items etc. that are routed to you by your organization s business processes. Click on the View Entire Inbox hyperlink to get more detail. To see the messages that have been routed to you as a manager Click on the Notifications tab 7

10 How do I delegate my Inbox? Click on the Delegate My Inbox tab Click on the Request Delegation Change tab Enter the date range and person selected for the delegation. If the Retain Access to Delegated Tasks box isn t checked you will not see anything in your inbox. If it is checked you will see what s in your inbox as well as the person that you delegated to. 8

11 What types of tasks will appear in my Inbox? From the Inbox, click View Entire Inbox to see a more detailed view of your inbox. The inbox is usually delegated to someone in the management chain, like your manager or a peer. Search for the user you would like to make your delegate. Click Submit to save. Your inbox detail contains 4 tabs: My Tasks: Here you can view all tasks that are assigned to you. My Requests: Here you can view all business processes initiated by you. Process Status: You can view the current status of all business processes you are part of Notifications: Some business processes are configured to send a notification to the manager. This is where they are found. 9

12 Time Off How do I approve time off? How do I enter Time Off for my direct reports? From the Time Off worklet, click the Enter Time Off task. From the Inbox worklet, click the Review task. Choose an employee. Review all of the information and Approve, Deny, or Send Back. If you Deny, you must add comments. Click the Plus + icon to add more rows Click the Submit button. 10

13 How do I place an employee on leave? H How do I Return an employee from leave? From the Time Off worklet, click the Place on Leave task to initiate the leave process for an employee. From the Time Off worklet, click the Return Leave task to remove the leave status. Select an employee, and then click OK. Select an employee, and then click OK. Enter Last Day of Work, First Day of Leave, Estimated Last Day of Leave and Leave Type. Click Submit to save. Change the Actual Last Day of Leave. Remember it defaults from the Estimated Last Day of Leave. Click Submit to save. This will require HR Approval. 11

14 What time off oriented reports are available? All Employee Time Off summarizes all time off of direct reports approved by the manager, as of a range of dates. There are a number of different Time Off oriented reports available to you as a manager. Click on the report you are looking for. Examples. Select an organization and start and end dates that you would like the report to include. Employees on Leave summarizes all employees on leave as of a range of dates. 12

15 My Processes How can I see the status of the business processes that I started and locate business processes that I initiated in the past? From the My Process worklet, click on a process hyperlink to see the status and details of that business process. You can also click on View More Processes to see ALL of your business process requests. From the My Processes worklet, click on View More Processes to see ALL of your business process requests. Enter a date range to search for your business process events. Click on the Process tab to see the status. From the Process History you will also see all workers who touched this business process. 13

16 Reports How do I View/Schedule/Print a Report? A list of reports will be displayed to choose from. Select the report that you are looking for. Type reports in the Search Window. By clicking the icon, the report will appear in a PDF format. You can also select the button to export the report into excel. Once the report is in PDF you will have the option to print 14
