1 Planning Process for Supervisor and Employee Appraisal and Development Process (ADP) Online Form Guide Supervisor Steps: Step 1: The supervisor will be notified via that they have a 3 month, 6 month, or annual Planning document awaiting their action. The will be sent by HRPerformance@MissouriState.edu and the document(s) will be located in the Supervisor ADP Dashboard located in the Performance Management Channel under the Work Resources Tab in the My Missouri State portal. New documents will be located under the Current Tab on the dashboard. Supervisor can click on document link or icon to access document. Note: Note: Supervisors will receive their next year Planning Document(s) at the same time they receive their current year Appraisal Document(s). i.e. Supervisors will receive both the 2018 Appraisal Document and the 2019 Planning Document for an employee at the same time to complete. The same process will be available for Probationary ADP Cycles starting on January 1, New documents will be located under the Current Tab on the dashboard. Supervisor can click on the document link or icon to access document. Page 1 of 6

2 Step 2: Review the employee information to ensure that the employee is in your department and that there have been no organizational changes to your area. Note: If the employee is no longer under your supervision, please click the Not my Employee button to notify Human Resources of the issue so they can assist you with the process. Step 3: Section 1 of the Planning Document - Populate the following fields for the employee s Planning Document: Objectives/Job Duties (required), Measurable Outcomes (required), and Supporting Resources (optional). Supervisors have additional features available to them in completing their Planning Documents for their employees. Supervisor can copy previous years goals to the new Planning Document by clicking the Copy Previous Goals button. Note: This option must be selected prior to adding any new goals. Supervisors can update the Planning document to reflect changes in supervision, in job positions, responsibilities, or goals. o Supervisors can notify employee of updates via by clicking on the Notify Employee button. They are able to view the changes online in their Performance Management channel. o The updates are date stamped for when the changes were made. o Items deleted will be grayed out with the date stamp. o Supervisor can select to hide or display deleted goals with the Hide deleted goals checkbox. 3 Click on the Add New Goal button to add a new set of Objectives/Job Duties fields: Note: Section 1 of the form can support up to a total of ten (10) Objectives/Job Duties fields. Click the Pencil icon information. under the Function column to open the fields and to enter or edit your You can either type or paste your information into the fields. Step 4: After successfully entering your information into the fields click on the Save icon your entry: to save Page 3 of 6

4 Note: Please make sure that you save your individual goals in Section 1 as you are working with the online document. Step 5: Click the Notify Employee button after completing or updating the goals to notify your employee of the changes: Your employee will receive an notification informing them that updates have been made to their ADP Planning Document. They will be able to view the document online through their Performance Management Channel under the My ADP Documents link. Note: Communications about the Planning Document will be accomplished between the supervisor and employee in face to face meetings outside of the online process. Section 2 of the Planning Document - Organizational Values, Behaviors, and Competencies of the Planning Document has no individual entries. The supervisor can review this area with their employees for discussion and guidance. Employee Steps: Step 1: The employee will be notified via that they have a 3 month, 6 month, or annual Planning document available to view online. The will be sent by HRPerformance@MissouriState.edu and the document will be located under the My ADP Documents link in the Performance Management Channel under the Work Resources Tab in the My Missouri State portal. The employee will be able to view the Planning Document online under the My ADP Documents in the Current Documents section. Any updates will be reflected in Section 1 of the Planning Document with the corresponding date stamp for the changes. Page 4 of 6

5 Step 2: The employee will review the entries in Section 1 under the Objectives/Job Duties (required), Measurable Outcomes (required), and Supporting Resources (optional). Note: The dates for when the Planning Dcouemnt was last updated and for when the employee last viewed the document will be display under the Acknowledgement secton at the end of the document. Both the supervsor and employee will have access to view the Planning document under the Performance Management Channel. Page 5 of 6

6 Additional Information About the ADP Planning Process and Online Functions Viewing of Planning and Appraisal Documents: Both the supervisor and employee can view their Planning and Appraisal documents during the ADP process and at completion under the Performance Management Channel in the My Missouri State portal: Supervisor: Documents are available to access and view under their Supervisor ADP Dashboard. (For details see online Help Guide for dashboard.) Employee: Documents are available under the My ADP Documents link in the Current or Historical list to access and view. Planning Document Action Buttons: Supervisor: - Not my Employee. After logging into the system and the supervisors recognizes that the employee listed in their workflow is no longer their employee, they can click on this button to notify Human Resources so they can assist with redirecting the workflow. - Copy Previous Goals. Click to copy previous years goals to the new Planning Document. Note: This option must be selected prior to adding any new goals. - Add a New Goal. Located in Section 1 of the Planning document. Used to add additional rows for goals and objectives to the Planning Document. There are a total of 10 rows available for Section 1 of the form. - Notify Employee. Click to generate an communication to your employee notifying them of any entries or updates to their Planning Document. They will be able to view the document online through their Performance Management Channel under the My ADP Documents link. Page 6 of 6
