1 POSITION DESCRIPTION Organisation: Position: Interplast Australia & New Zealand (Interplast) Rotarian Engagement Coordinator Date PD prepared: 2010 Last updated: November 2018 Employee: Reports to: Deputy Chief Executive Officer ORGANISATION OVERVIEW & PURPOSE Interplast Australia & New Zealand (Interplast) was established in 1983 and is a not-for-profit organisation which provides volunteer plastic and reconstructive services together with capacity building programs to developing countries in the Asia Pacific region. The organisation was initially founded as a joint project between Rotary District 980 and the Royal Australasian College of Surgeons. Both organisations continue to be key supporters of Interplast. Interplast works to improve the quality of life for people with disability who are disabled as a result of congenital or acquired medical conditions such as cleft lip and palate or burn scar contractures. Volunteer plastic and reconstructive surgeons, anaesthetists, nurses and allied health professionals provide free medical treatment for those who would otherwise not be able to afford access to services. Interplast works closely with local health services to build their capacity to deliver surgical and other related healthcare interventions. Interplast is a signatory to the Australian Council for International Development (ACFID) Code of Conduct and is a fully accredited non-government organisation with DFAT. POSITION STATEMENT SUMMARY Reporting to the Deputy Chief Executive Officer, the Rotarian Engagement Coordinator is a key member of the Interplast Fundraising, Marketing & Communications team, and is broadly responsible for the execution of engagement and fundraising initiatives designed to strengthen the lasting relationship with Rotarians across Australia & New Zealand. Overseen by the Deputy Chief Executive Officer, the incumbent will: 1/5

2 1. Develop and support fundraising initiatives designed for implementation amongst Rotarians within Australia & New Zealand; proactively seeking year-on-year funding growth 2. Build awareness of the Interplast brand amongst Rotarians across Australia & New Zealand 3. Facilitate strong relationships with Interplast District Chairs (IDC) as the principle connection to Rotary and Rotarians more broadly 4. Provide administrative and secretariat support to the Interplast Rotarian Committee 5. Ensure all Rotary-related donor content is accurately recorded within Interplast s donor database 6. Assist the Deputy Chief Executive Officer with other fundraising, communications and marketing tasks as appropriate. Ultimately, the Rotarian Engagement Coordinator is responsible for maximising Rotary fundraising through day to day communication and support of Rotary Districts, Rotary Clubs and Rotarians across Australia and New Zealand. The Rotarian Engagement Coordinator will be required to work closely and collaboratively within a small team who have interlinked roles to achieve our fundraising goals/objectives. Maintaining and developing cooperative and collaborative relationships with volunteers is a key responsibility of all positions. KEY RESPONSIBILITIES KPI 1: Develop and support fundraising initiatives designed for implementation amongst Rotarians within Australia & New Zealand; proactively seeking year-on-year funding growth a. Implement all initiatives outlined in the Strategic Fundraising Plan, Communications Strategy and Annual Work Plans relating to Rotary and Rotarian engagement. b. Act as the primary point of management for all Rotary-related fundraising initiatives; responding to all inquiries and liaising with individuals and Clubs/Districts interested in supporting Interplast. c. Engage and work with Interplast District Chairs to maximise fundraising potential from their Districts, and ensure they are supported within agreed parameters. d. In conjunction with the Deputy Chief Executive Officer, establish and implement a system to acknowledge Rotary fundraisers and recognise their contribution e. Support the development of, and execute a strategy to increase the number of annual Rotarian fundraisers, including development of In Celebration and In Memoriam activities targeted to Rotarians f. Update and maintain Rotarian fundraising resources, including a dedicated fundraising kit and work with relevant personnel to develop and produce fundraising collateral. g. Monitor and manage external community fundraising portals, and the Interplast website; including updating content, monitoring fundraising activity on the page, supporting and following 2/5

3 up fundraisers. h. Liaise with appropriate team members to update the website, social media, e-newsletter and newsletter as required to promote Rotary and share their stories of success. KPI 2: Build awareness of the Interplast brand amongst Rotarians across Australia & New Zealand a. Proactively seek to have Interplast speakers deliver presentations to Rotary Club and District events across Australia & New Zealand presentations b. Develop and deliver engaging presentations to Rotary Clubs and Districts across Australia & New Zealand, recognising this will involve hours to be worked outside usual business hours. c. Participate in Rotary activities and public recognition initiatives, including attendance at nominated conferences and assemblies where appropriate d. Work with Interplast District Chairs and other relevant Rotarians to ensure Interplast communications and promotional material is being utilised by Clubs and Districts; including digital and print format media e. In consultation with the Deputy Chief Executive Officer, ensure 100% of Rotary Clubs across Australia & New Zealand receive at least biennial engagement with Interplast by implementing agreed annual plans and strategies. KPI 3: Facilitate strong relationships with Interplast District Chairs (IDC) as the principal connection to Rotary and Rotarians more broadly f. Implement agreed engagement initiatives to ensure all Interplast District Chairs feel empowered to undertake their role; recognising the importance of building the Interplast brand amongst Rotarians, and increasing the income generated from this supporter segment g. In consultation with the Deputy Chief Executive Officer, develop an annual engagement plan that proactively trains and supports all Interplast District Chairs h. As part of a broader strategy of supporter engagement, work in consultation with the Chief Executive Officer and Deputy Chief Executive Officer to engage with District Governors and District Governors Elect i. Develop and implement a regular reporting framework amongst Interplast District Chairs to ensure they are communicating with the Interplast team about their voluntary activities and engagement with Rotary Clubs within their District. KPI 4: Provide administrative and secretariat support to the Interplast Rotarian Committee a. In consultation with the Committee Chair and the Deputy Chief Executive Officer, provide secretariat support to the Rotarian Committee; including the preparation of meeting agendas, papers and minutes b. Ensure Committee action items arising from meetings are monitored and completed within agreed timeframes. c. In consultation with the Programs Team, support the Interplast Rotarian Observer Program; facilitating mutually beneficial opportunities for Rotarians to witness first-hand the work of 3/5

4 Interplast. KPI 5: Ensure all Rotary-related donor content is accurately recorded within Interplast s donor database a. Working with the broader Fundraising, Marketing & Communications Team, ensure all Rotaryrelated campaigns and initiatives are set-up within etapestry, and insights are used to inform future Rotarian engagement. b. Provide regular reports to the Deputy Chief Executive Officer and/or Rotarian Committee, as required c. Ensure 100% of Rotary-related supporters are recorded within etapestry and their contact details are updated regularly KPI 6: Assist the Deputy Chief Executive Officer with other fundraising, communications and marketing tasks as appropriate a. Assume responsibility for special projects and other duties as delegated by the Deputy Chief Executive Officer or Chief Executive Officer b. As a key member of the Fundraising, Marketing and Communications Team, participate in regular team meetings, strategy workshops and staff meetings; accepting responsibility for agreed actions arising from such forums c. Prepare relevant reports, presentations and other key documents as requested by the Deputy Chief Executive Officer d. In consultation with other members of the Fundraising, Marketing and Communications Team, ensure timely reports are provided to inform future decision-making e. As part of the broader Fundraising, Marketing & Communications Team, implement and facilitate a culture of donor-centricity as the primary driver of engagement with supporters. REPORTING RELATIONSHIPS The position reports directly to the Deputy Chief Executive Officer and is required to work closely with other Interplast team members, in particular, the Chief Executive Officer, Fundraising Coordinator, the Communications Coordinator, and the Donor Insights Officer. SELECTION CRITERIA To be successful in this position, the preferred candidate must demonstrate: 1. Successful work history in a fundraising position, or client-facing engagement role 2. A minimum three years experience as an active Rotarian, or strong connections to Rotary Clubs and Districts across Australia and New Zealand 4/5

5 3. Appropriate educational qualifications or training in a relevant field (preferred but not essential) 4. Ability to demonstrate initiative, flexibility and a commitment to donor-centricity during periods of competing priorities and frequent deliverables 5. High attention to detail and accuracy 6. Strong administrative and organisational skills including advanced Microsoft Office skills (essential), together with a working known of client relationship systems (preferred) 7. Excellent interpersonal and written and verbal communications skills 8. Ability to work autonomously and as a team player with a commitment to work collaboratively 9. A current driver s license and a willingness to work regular evening and weekends to engage with Rotary Clubs and Districts EMPLOYMENT TERMS AND CONDITIONS Employment Conditions: This is a permanent ongoing position. The role is subject to a probationary period. The employment contract is for 22.8 hours per week, exclusive of breaks. These hours can be worked across three or four days per week. Location: The position is based in Melbourne at the Interplast office within the Royal Australasian College of Surgeons Building, however consideration will be given to flexible work arrangements on occasion. Travel and Out of Hours Work: Some travel and out of hours work may be necessary in response to requirements of the position within Australia and/or overseas.
