1 Date: : January 2015 Job Title : ARDS Mobile Fleet Coordinator Department : Auckland Regional Dental Service (ARDS) Location : Based at Waitakere hospital but required to work across all WDHB / CMDHB / ADHB / ARDS sites Reporting To : Dental Manager Implementation, Quality and Risk Direct Reports : Nil Functional Relationships with : Internal Ops manager Dental Managers Team Leaders ARDS Admin team Dental Therapists Dental Assistants External Motor Vehicle / Transportable: Service Agents Insurer Repairers Transportable Relocation Contractor CMH and ADHB Fleet Managers Purpose : To coordinate ARDS fleet of Transportable, Mobile Dental Units and vehicles (including all CMH and ADHB owned) making sure that all servicing and repairs requirements are carried out and that required WOF/Certifications are in place. Planning and coordinating the movements of all mobile / transportable units to meet clinical need. KEY TASKS EXPECTED OUTCOMES Transportable Dental Units (TDUs), all other fleet vehicles including cars and diagnostic vans Ensure the efficient movement of TDU according to agreed plan in negotiation with Team Leaders Liaise with relocation contractor Arrange all servicing and maintenance as required. Manage waste recovery Problem solve any issues that may arise eg organize removal of graffiti, liaise with school Waitemata District Health Board Fleet CoordJune 1 st 2010 Page 1

2 KEY TASKS EXPECTED OUTCOMES and dental manager on access issues at school sites Arrange all servicing and maintenance as required Coordinate access for equipment servicing, replacement or installation Manage secure storage when TDUs are not in use on school or community sites Endorse any associated invoices ready for sign off Mobile Dental vans and other Dental Vehicles Fuel Cards Make applications for new fuel cards. Notify provider of stolen or lost cards. Maintain fuel cards information Process Monthly fuel card invoicing. Mobile Dental vans and other Dental Vehicles Motor Vehicle Usage Manage approved secure storage when not in use on school or community sites Check and file all motor vehicle running sheet returns, provide information from these sheets as required for traffic infringement notices. Distribute motor registration and RUC labels as required. Endorse any associated invoices ready for sign off by dental manager Motor Vehicle Accident insurance claims Check incoming accident forms, record details. Lodge claims with respective WDHB / CMDHB / ADHB fleet managers. Arrange recovery (as applicable) Arrange appropriate repairs (as applicable) To recognize Individual Responsibility for Workplace Health and Safety under the Health and Safety in Employment Act 1992 Company health and safety policies are read and understood and relevant procedures applied to their own work activities Workplace hazards are identified and reported, including self management of hazards where appropriate Provide/arrange appropriate training for staff in regards to using the mobile facilities e.g. organize driver training, provide up to date manuals etc Can identify health and safety representative for area Waitemata District Health Board Fleet CoordJune 1 st 2010 Page 2

4 PERSON SPECIFICATION POSITION TITLE: Minimum Preferred Qualification Secondary School NCEA Level 1 or equivalent Working knowledge of Microsoft applications Intermediate training in Microsoft Office including Word, Excel, Access Experience Has worked previously in a team environment Proven ability to prioritise tasks Proven ability to work to a deadline Experience in planning and scheduling Understanding of the Treaty of Waitangi Skills/Knowledge/Behaviour Committed to supporting staff to provide a quality regional service Qualities Excellent interpersonal skills Excellent communicator both verbal and written Effective problem solver, able to make rational and considered decisions or escalate when required appropriately Flexible approach Able to prioritise demands Waitemata District Health Board Fleet CoordJune 1 st 2010 Page 4
