1 Our online timekeeping portal is a tool to allow employees to enter and track time and expense data. All employees must complete the online timecard each week to ensure weekly payment. Timecard and Expense Deadlines Employee deadline for submitting Timecards/Expenses: 10 A.M PST on Monday Manager deadline for approving Timecards/Expenses: 2 P.M PST on Monday Upwork deadline for submitting Timecards/Expenses: Midnight on Sunday Pay Day is weekly on Thursday s Note: For weeks with a Monday holiday (e.g., Labor Day, Memorial Day, etc.), pay day shifts from Thursday to Friday Enter Timecard on Timekeeping Portal 1. Visit a. Click here to visit the Timekeeping Portal b. Enter username ( address) and password 2. Enter Timecard a. From the Dashboard, select the assignment with correct week end date you are submitting time for b. Select Add Time on the day you worked c. Enter hours worked (arrival to lunch break), select Add Note: To enter a specific time, you can type in the time 1

2 d. The details will populate. Select Add Time to enter the remainder of your hours e. Continue these steps for the remaining days worked f. If you have expenses to submit, please skip to Step 3 (do not submit your timesheet yet) g. Once you have completed entering all your hours for the week and expenses, select Submit 3. Adding Expenses a. Select the Expense tab b. Select the day you want to add expenses to c. Select Add Expense d. In the Rate drop down, select Expense Type a. Enter expense total and write the expense details in the comment section. Select Add, expense detail will appear 2

3 b. Upload receipts by clicking on the + Icon, under the Related Header on the right-hand side i. A pop-up winder will appear. Select the following: Type = Expense Report/Receipt + Icon = Upload a file Select Add Attachment Note: Please make sure to upload the with your Manager s approval of the expenses c. If you are finished entering expenses and have already entered your time, then select Submit. Otherwise, don t click on submit until after you have your time and expenses entered. ENTER TIMECARD IN MOBILE SITE 1. Type in URL 2. Enter Username and Password provided from Opsnotifications@nelsonhr.com a. Select Log in 3. Select the Timecard with the correct week end date you are submitting time for 3

4 4. Select the day you worked, by selecting the Green Plus Icon 5. Enter hours worked (arrival to lunch break), select Save 6. Repeat this process. Select the day you worked. Enter remainder of hours worked (lunch break to end time) 7. Continue these steps for the remaining days worked 8. Once you have completed all of your timesheet, select Submit 4

5 VIEW PAYSTUBS & YEAR END STATEMENTS 1. After you receive your first pay check/direct deposit, please visit: 2. You will need to register with ADP myaline during your first visit 3. The registration code is NHR1-ONLINE 4. Once registered, you will be able to view/print your paystubs and/or W-2 statement REQUEST SICK TIME (FOR CITIES/STATES WITH PAID SICK LEAVE LAWS) 1. Hours available give you a quick shot of how many sick hours you currently have available to use To Request Sick Time, select Request Sick Time 2. Add the following information: a. Start Date (what day you will be using your sick time) b. Expected number of hours you will be out c. Add a note with as much detail as you see fit d. Select Request e. Contact your local branch representative for a Paid Sick Leave request form. This needs to be completed in order for you to be paid for your sick time hours. 5
