2 EXPERIENCE MIMOSA Eventi e Fiere Events & Fairs Department We have been taking care of fair stand-fitting and events since the 1990s: we have acquired highly specialised competence in this sector, which demands a significant level of skill and the capacity to diversify and react and offer a personal touch. Building on this consolidated basis of competence and learning from our experience, we have developed a new approach which enables us to integrate our sustainability mission with a product and service offering that is geared towards stand-fitting and events for which sustainability is a determining and decisive factor. With Mimosa Living, the experience of moving towards sustainability and the creation of a code of practice for sustainable events and stand-fitting has resulted in the opportunity to integrally re-process and encompass investment in the company, people, economic backdrop and commercial context. Our mission is to direct the ways of grasping the meaning of sustainability as a strategic tool for innovation and economic development and to point clients from the public and private sectors in the right direction, through the best possible standards of quality and performance. 2

3 TOPICS Mimosa s idea is to bring together topics linked to a management style and the use of in-house personnel, to create a recognised supply chain, predominantly local, and to have the capacity to see the entire process through from concept phase to event management and conclusion. Mimosa s principles of sustainability, values, good practice and sustainable objectives form an integral part, together with planning, of our development methods and our stand-fitting services, with an overall vision of fairs and events in their entirety, including their environmental performance objectives, coherence of content and pursuit of the target to reduce and improve environmental impact. We have given ourselves the task of providing a culture based on values ours, and those of our clients in an achievable and measurable manner. In this business context, Mimosa has devised a code of practice for sustainable production, stand-fitting and events, bringing its ideas to the marketplace for products and services that comply with the principles of sustainability: Mimosa Living. Mimosa Living is aimed at those operating in this sector for whom observing the topics of social, economic and environmental sustainability are a priority and who, in this field, seek objectives that comply with their own mission. We have developed our Mimosa Living code of practice so that it can be tailored to our clients needs, based on sustainability objectives and a shared language. The topics that are affected cover environmental indicators, economic factors and social indicators. We know that the world of stand-fitting for sustainable events is a vast and diverse sector, with a huge number of factors that need to be considered and respected. Our overall aim is to highlight MIMOSA s contribution as a partner of choice for this sector. 3

4 SERVICES Mimosa s services for sustainable events start from the analysis of sustainability objectives to planning the job and the stands, including management and right up to completion and dismantling. Depending upon the client s requirements, we can offer a partial service or a total ready to go solution for sustainable events. Mimosa s ability to respond involves the entire supply chain and key players, to manage the task, guaranteeing a range of key factors: - Creating a dialogue with the client that takes into consideration the principles and indicators of environmental performance; - Internal adherence to the sustainability code of practice; - Maximising knowledge gained in the sector; - Risk reduction, global management; - Integrated process management: concept development, communication management between those involved, technical and administrative documentation, planning, event management and dismantling. ANALYSIS AND DEVELOPMENT OF THE PRINCIPLES, INDICATORS AND SUSTAINABILITY TOOLS OF THE CLIENT We work together with the client, right from the initial analysis of his/her sustainability requirements or the sustainability objectives of the organising and/or hosting body. We develop a solution to the situation together, or we help the client to put together his own. STAND-FITTING PLANNING In planning stand-fitting, we pay careful attention to every single detail. We have developed Mimosa s very own green code of practice. If required, we are willing to develop the project based on specific indications provided by the client. MANAGEMENT OF THE RAPPORT WITH THE KEY PROCESS PLAYERS Mimosa benefits from the experience it has acquired and its staff s integrated skills to manage, depending upon the requirements, the technical and administrative procedures linked to event stand-fitting. 4

5 SERVICES STAND FITTING AND BUILDING Mimosa organises and oversees all phases of stand fitting and building. In the code of practice, the various phases are expressly linked to sustainability indicators, covering both environmental indicators (such as impact, for example) to economic indicators (the supply chain) and social indicators (employees). SUSTAINABLE MANAGEMENT DURING THE EVENT Mimosa takes care of the client during the event, making sure to monitor the state of the stand and observe required procedures. Special attention is paid to specific actions that might impact on the environment and to looking out for those criteria identified by the client or the host (for example, refuse, energy transport and staff). DEVELOPMENT OF IMPROVEMENT MEASURES The aim of this activity is to monitor the sustainability and environmental performance indicators developed together with the client or stipulated by the host. The objective is to focus on current or planned performance, and in doing so, to highlight the corporate mission for sustainability and providing concrete evidence of the same DISMANTLING BREAK-DOWN MAINTENANCE RE-USE ln 2015, a new plan was devised a specific action to maximise the principles of MIMOSA in terms of environmental sensitivity and contribution. In the interests of a circular economy, we launched a planning system aimed at re-using or recycling and we observe the fittings during the dismantling phase to be able, where possible, to reintroduce materials into the cycle. 5

6 ACTIONS THE SUSTAINABILITY CODE OF PRACTICE FOR STAND-FITTING AND SUSTAINABLE EVENTS We have compiled our Mimosa Living code of practice by integrating the different stages in the activity and types of indicators economic, social and environmental - and areas of environmental impact. The various indicators can, in fact, impact on different areas, and likewise, the impacts may be the result of different actions on the same indicator: they are therefore inseparable, but nevertheless clearly identifiable and quantifiable for the performance elements that may be imposed by the client or by the hosting organisation. We assist the key players involved in the process to develop a plan of objectives, we contribute to the culture of environmental awareness and can also help to achieve specific objectives. The Mimosa Living Code of Practice covers these specific areas: - Assignment - Economic and social values - Environmental indicators - Activity and impacts - Carpets and specific materials Assignment Taking responsibility for the development and creation of a construction for sustainable events involves taking a stance and considering the various elements that impact upon different sectors dictated by a variety of indicators for the planet s resources. Impacts upon the indicators are the result of the actions taken throughout the entire life cycle of the stand construction, starting well before the event itself and continuing to impact well after it has finished. Our actions are geared mainly, but not exclusively, towards: - Needs analysis: the client s sustainability policy, the host s sustainability policy and the community s sustainability expectations. - Concept development and planning. - Set up methods. - Checking of all related aspects: transport, food and communication. - Impact on the life cycle: involvement of suppliers, choice of materials, transport, installation, dismantling, storage and re-use. - Management and monitoring during the event: reduction of impacts on electrical and water consumption indicators, waste management, cleaning, food. 6

7 ACTIONS Economic and social values In the overall scheme of actions for sustainability, certain elements impact upon indicators that involve aspects of society and correlate elements of impact on the environmental and economic elements: we are referring to the network of suppliers and the way in which they are involved in the job. Suppliers: we believe in a short supply chain, relying on a high percentage of suppliers based in the area immediately surrounding the cooperative the Upper Garda and Trento area. In doing so, we promote an added value spin-off to the local community and reduce the impact of emissions generated by moving goods and people. Mimosa employs its own staff, building and installing stands directly. In this way, best working and management practice is guaranteed. Staff are trained for their specific field of work and all relative information can be constantly checked by having one single point of reference

8 ACTIONS Environmental indicators MIMOSA is committed to its own corporate objectives for continued improvement by: - Adopting practices that promote a reduction in demand, a better use of natural resources and reduced emissions. - Promoting actions of its own as well as involving the supply chain to sustain these objectives. - Paying attention to the values of health, safety and productivity by means of sustainable planning and management of buildings and production. These objectives, an integration of attitude, approach, specific qualities and numbers are an integral component that also affect our activities and the specifics of the Code of Practice. The range of indicators is open to suggestions and implementations that may contribute to the continued improvement of our objectives, from the viewpoint of ongoing advancement. At the same time, we have laid down a code of practice model that represents a defined capacity in a determined moment. The areas of impact are linked to the environment, to society and to the economy and comprise various specific strategies: - TRANSPORT AND AIR QUALITY to contribute towards the improvement of air quality indicators by reducing emissions - THE LAND to contribute towards the local area my minimising the impact upon land derived from the usage cycle of materials adopted - WATER to contribute to a reduction in the consumption of this prime resource and improve water quality - ENERGY to contribute towards a reduction in consumption and to reduce emissions caused by the production and use of energy resources, contributing to the reduction in fossil consumption - MATERIALS, SUPPLY AND PRODUCTION to contribute towards the responsible use of raw materials and production processes, procurement, divestiture and re-emission in the related productive cycle - HEALTHINESS for the promotion of health and the quality of the working and exhibiting environment. An important outcome of these choices is the creation of spaces where personal comfort has been improved. - ACOUSTIC, THERMAL AND VISUAL COMFORT to contribute towards improved quality for the installers, the occupants and the visitors, using sound-proofed panels, lighting fixtures that have better visual adaptability and lower heat emissions and the use of low or zero emission materials. 8

9 ACTIONS The indicators include social-economic impacts: - PERSONAL to promote a corporate culture based on the principles of involvement and the value of cooperation - CULTURAL to attract attention to the promotion of a sustainable and healthy culture - SPREADING THE WORD to promote the culture of sustainability and the value of Mimosa as a qualified partner able to meet these needs through our interlocutors.
