2 Further Details About the Role Title: Position Reports to: Status Remuneration Unit Location Reason for vacancy Executive Assistant to the CEO CEO Permanent Role Base salary $70k to $80k plus superannuation Office of the CEO 150 Albert Road, South Melbourne The current incumbent is leaving the organisation in December. A handover period will be available for the successful candidate to ensure that they can get up and running quickly and to leverage the expertise of the departing Executive Assistant.

3 Key Result Areas 1. Effective management of the operations for the Office of the CEO: You have effectively managed all aspects of running the CEO s or senior government executive s office including diary coordination, correspondence, drafting documents and engaging key stakeholders in relation to commitments for the CEO. 2. Support and Secretariat duties to the Board: You have coordinated, drafted and recorded documentation for Director and Board activities or senior governance and advisory committees. In addition, you have communicated and effectively supported Board meetings and other Committee meetings such as the Audit and Risk Committee. 3. Lead internal quality assurance program: You have led or contributed to the quality assurance or organisation policy program for the organisation. This has included maintenance, audit, identification of improvements and revisions to PrimeSafe s Quality Management System including operational policies and procedures. 4. Broader office support: You have contributed to supporting the broader office and teams and worked in a cohesive and collaborative manner. You have assisted with business and corporate services, including community enquiries when required and have built a reputation as a team player with a high level of responsiveness. 5. Licensing processing and support: You have supported the broader functions within the office and have built strong relationships with the other teams, including support and compliance activities. These relationship have allowed you to liaise effectively in regard to the management of licensees and responding to enquiries. Additionally, you have coordinated special projects as requested which includes generating reports from PrimeSafe s licensing management database system and prepared briefs and correspondence for the team.

4 Key Competencies EXPERIENCE You have extensive experience working within a government/public sector organisation as an Executive Assistant or within an Administration function You have experience working with high level stakeholders including Ministers, Heads of Departments and other senior stakeholders Proven ability to coordinate and manage the running of Boards and Sub-Committees Demonstrated experience to analyse issues and determine priorities in an environment of tight and conflicting deadlines and political acumen. Strong understanding of governmental systems and processes
