2 Receptionist and Clerical Assistant UK Mathematics Trust, School of Mathematics, Faculty of Mathematics and Physical Sciences Do you have excellent communication skills, with the ability to handle telephone and written enquiries and provide good customer service? Are you well organised, with good attention to detail even when performing routine tasks? Do you work well as part of a small team, within a busy environment? Working for the UK Mathematics Trust (UKMT), you will be a member of small team undertaking clerical tasks to support the smooth running of our charity, whose aim is to advance the education of children and young people in Mathematics. You will act as the first point of contact for our customers, volunteers and the public, dealing with queries via telephone, and other media and providing an excellent customer service. You will also provide general clerical support within our office, including data input, booking meetings, filing and photocopying. You will have excellent verbal and written communication skills, including a good telephone manner and the ability to deal professionally with challenging queries. You will have effective organisational skills with the ability to manage your own workload, alongside the ability to work with a high level of accuracy and attention to detail. What does the role entail? As a Receptionist and Clerical Assistant your main duties will include: Acting as the first point of contact for UKMT customers, volunteers, and the general public, via telephone, post, , social media and in person; Dealing with a high volume of varied customer queries via in a timely and professional manner, and providing an excellent customer service; Responding to incoming telephone enquiries from the general public, including those which are challenging, in a clear, professional and courteous manner, while communicating information which can be complex; Inputting and checking a high volume of data on UKMT databases; Updating existing written information and sending this out to schools; Maintaining the professional appearance of UKMT offices, including tidying and filing;

3 Providing general office support to all staff, including booking meetings, filing, photocopying, scanning, mail packing and manual handling, and ensuring office equipment is working correctly. These duties provide a framework for the role and should not be regarded as a definitive list. Other reasonable duties may be required consistent with the grade of the post. What will you bring to the role? As a Receptionist and Clerical Assistant you will have: Excellent verbal and written communication skills, with a pleasant and clear telephone manner; Experience in dealing with challenging telephone calls in a professional and calm manner; A commitment to delivering excellent customer service; Experience of working in a busy working environment, where the ability to meet tight deadlines is crucial; The ability to retain information and communicate procedures to customers in a clear and confident manner; Competence in using Microsoft Office software and a willingness to develop new IT skills; Excellent accuracy and attention to detail, even when performing routine tasks; Experience of working effectively as part of a small team; Effective organisational skills, and an ability to manage own workload on a day to day basis, and meet deadlines with little supervision; GCSE or equivalent in Maths and English at Grade C or above You may also have: Experience of working in a varied office environment; An interest in education and mathematics.
