Driving for work involves risk This risk can be minimised by implementing a comprehensive fleet risk management programme that is tailored to the driver, the vehicles they use whether company, leased or privately-owned and the culture of the organisation. It s well known that employers have a duty of care to their employees in general and those who drive for work whether professionally or as part of their job. By understanding the potential risks and acting on them, not only can the risk of death or injury while driving be reduced but cost savings in fuel consumption, damage costs, time off work and insurance premiums can be made. Additionally, an organisation can clearly demonstrate their commitment to health and safety legislation, reduce the risk of being prosecuted under Corporate Manslaughter legislation and ensure the reputation of their brand is maintained. At AA DriveTech, we have developed a holistic approach, supported by an online platform FleetRiskManager, that we ve called the Journey. recognises that different companies have different approaches and may be further down this risk reduction process than others. Our programmes are designed to be appropriate and cost effective to the customer and backed by the strength of one of the UK s most prestigious names, the AA.

Audit You need to know where you are before you can decide where you are going. Our Solution We audit your current fleet risk exposure by examining your existing management practices and procedures. This identifies appropriate systems and solutions to mitigate the risks associated with work-related driving. The audit encompasses all legal, financial and operational issues. It culminates in a detailed report, identifying key risk areas together with best practice recommendations for remedial action where necessary.

Fleet Risk Audit 7 Under the Health and Safety at Work Act 1974, employers have a statutory duty of care - that is, they are required - to carry out an assessment of the risks to the health and safety of their employees and that includes any driving activity on the road. In addition, many companies want to ensure that they reduce the risk of prosecution under UK Corporate Manslaughter legislation. A formal risk audit for all driving for work activities will help identify areas of risk exposure and non-compliance. Fleet Risk Audit Our audit provides you with an evaluation of your current fleet risk exposure. By examining your existing management practices and procedures, it identifies appropriate systems and solutions to mitigate the risks associated with work-related driving. The audit encompasses all legal, financial and operational issues. It culminates in a detailed report, identifying key risk areas together with best practice recommendations for remedial action where necessary. An audit is carried out face-to-face on your premises, dealing directly with the people responsible for your fleet operations. Depending on your fleet size, mix and complexity, an audit is typically half a day* at your premises interviewing key personnel involved in the day to day running of the fleet. The data and information gathered at the audit are summarised and compared with key performance indicators to assess the effectiveness of your operations and the degree of risk involved. On completion of the audit, we submit a full report with a list of recommended actions, together with information about other AA DriveTech services that are available to help you implement any necessary changes. * Time on site may vary due to fleet size and vehicle mix Benefits for you Our audit helps you to Reduce your legal and financial exposure - by identifying the risks your fleet faces Manage your fleet risk - via a bespoke action plan Meet your legal requirements - by acting on our recommendations Achieves optimum cost efficiency - by applying best practice in fleet management. 8 Validate If you re responsible for managing employees in your organisation while they drive for work, you must ensure that they have a valid driving licence. Our experience shows 1 in 650 drivers checked are driving while disqualified and 1 in 300 with a revoked or expiring licence. In addition, as many as one in 16 drivers will have an expired, or expiring, photo-card! Our Solution We provide secure electronic DVLA validation of driving licences. This provides assurance that the licence is valid, which categories of entitlement are current and details of any endorsements. Completion of data protection mandates can be performed online or by hand.

Driving Licence Validation 9 It s important that all employees that drive for work have legal and valid driving licences not only for an employer to meet its duty of care obligations but also to ensure that, in the event of a crash, the employee and employer are fully insured. Validating that your drivers hold a current and valid driving licence, directly with the DVLA, will demonstrate that your business is a responsible employer and enable you to manage and control the risks associated with work-related driving. What is it? Driving licence validation is a service that captures a person s driver number and validates it against the DVLA database. The validation process identifies vital areas of risk such as; Non-licence holders Provisional entitlements Expired entitlements Number of points Disqualified drivers Drink driving offences Expired photo-card Why act? Our experience shows 1 in 650 drivers checked are driving while disqualified and 1 in 300 have a revoked or expiring licence, so there s a significant risk that some of your staff are driving illegally. In addition, as many as 1 in 16 drivers will have an expired, or expiring, photo-card. The driver is asked to complete a data protection mandate either by hand or online. The Driver Number is then validated against the DVLA database. Following validation, results can be viewed by the driver and company manager via our online portal. This includes a dashboard for managers highlighting key fleet information including endorsements, mandate status, age distribution and licence status. A driver s exposure to risk is calculated and displayed via the LiveView profile tool. Driving licence validation LiveView Benefits for you Validates eligibility to drive Accurate Identifies at risk drivers Reduces fleet administration Fulfils your duty of care obligations Upload or Freepost facility Regulated & structured Real-time status dashboard Company definable recheck periods Quick to complete System alerts and reminders AA DriveTech 2011 DTR32 / Issue 3 / January All trademarks are acknowledged and recognised.

Assess Every driver needs to be assessed and our driver assessments are designed to help you go beyond just making reasonable attempts to assess your employees exposure to risk while driving. We believe that the method of assessment is dependent on each customer s needs. That s why we offer market-leading assessments both online and on-road. Our Solution Online - Our online assessments enable a driver s exposure to risk to be identified at the desktop as well as making recommendations on future training interventions based on the results. By accessing the assessment via a website, no formal booking or driving is required as the site is accessible 24 hours a day, 7 days a week. On-road - Through a combination of predriving checks and typically a one hour on-road practical driving assessment with a fully trained driving assessor, this approach provides human interaction and discussion. It is particularly suitable for drivers where web access is impractical.

Driver Assessment 11 Driver Assessments are a key component of a comprehensive road risk strategy as well as helping an organisation meet its duty of care responsibilities. They also identify drivers who, due to their driving activities, history, attitude and knowledge, may be exposed to higher risks while driving. By identifying their risk status, targeted training can be introduced that increases their safety on the road. Driver Assessment Driver Assessments are designed to help you meet duty of care obligations under HSE legislation. They help you to make reasonable attempts to assess your employees exposure to risk while driving typically high, medium or low - and therefore identify which of your drivers are at risk. We believe that the method of assessment is dependent on each customer s needs. That s why we offer market-leading assessments online, on-road and on paper. Indeed, some customers may benefit from a mixeddelivery driver assessment programme. Online our online assessments enable a driver s exposure to risk to be identified at the desktop. By accessing the assessment via a website, no formal booking or driving is required as the site is accessible 24 hours a day, 7 days a week. This online capability may also be useful to remotely-based drivers. On-road Through a combination of pre-driving checks and a one hour onroad practical driving assessment with a fully trained driving assessor, this approach can provide more human interaction and discussion. It is particularly suitable for drivers where web access is impractical. On paper Sometimes access to the internet or on-road assessments is not a practical solution for the customer. That s why we offer a paper-based assessment that is hand marked and can enable many assessments to be conducted simultaneously without the need for computer skills. Benefits for you Our assessments help you to Meet your duty of care obligations Target at risk drivers - via bespoke training opportunities to improve driving competence Reduce the collision rates/vehicle abuse - by improving driving techniques and awareness Reduce fleet operating costs - through improved driving skills Save time - by minimising manual intervention Provide results - by reporting on driver s activities Ensure a continual improvement plan - giving a sustainable improvement in road safety AA DriveTech 2011 DTR47 / Issue 1 / January All trademarks are acknowledged and recognised.

12 Driver assessment Online: Car Our online driver risk assessment combines driving history, anticipation, observation, behaviour and knowledge to provide a credible risk exposure profile. It includes fully interactive video clips to ensure the most realistic risk assessment without the need to drive a vehicle. Providing an online assessment proves more cost effective than on-road assessments, enables a business to roll out to a wider audience in a short amount of time and provides a consistent assessment for the entire business. The assessment covers Driver History - captures background profile information on the driver Driver Anticipation - consists of three short video clips that require a driver to observe a scenario and identify hazards as they appear Driver Observation - consists of three short video clips that require a driver to observe a scenario and answer a question at the end, based on it Driver Behaviour - consists of ten multiple-choice attitudinal questions Assessment LiveView Driver Knowledge - consists of fourteen randomly selected multiple-choice general knowledge and Highway Code-based questions. These are split into seven categories; speed awareness, concentration, parking & loading, breakdowns and collisions, ecological and economic driving, motorways and junctions, signs and markings Every answer to every question within the assessment is scored and the results provide an overview of a driver s exposure to risk. The frequency of assessments can be set at a company level and trigger for future assessments based on the outcome of the completed assessment. All the results can be viewed online at any time by both drivers and managers and are used to generate an exposure to risk profile for each driver. From the answers provided, all drivers will be offered appropriate training interventions based on their specific identified needs. 13 DriverRiskProfiler 13 As a responsible employer, you have a duty of care to assess any risk to your employees; this includes all employees who drive for work, whether they drive a company car, a commercial vehicle or their own car. By understanding the profile of your drivers you can manage their risk more effectively and, if necessary, put in place high effective training programmes that can really improve their safety. This can make a significant difference to the bottom line of your business. There are many compelling business reasons to adopt a DriverRiskProfiler programme. Up to 1 in 3 road crashes involves a vehicle being driven for work 1 Every week, around 200 road deaths and serious injuries involve someone at work 1 Business drivers have collision rates that are 30-40% higher than those of private drivers 2 The true cost of a collision When there s a crash, the true impact on the business is: vehicle downtime while being repaired lost employee time due to injuries damage to goods and reputation additional administration rescheduling work, arranging replacement drivers and vehicles increased insurance premiums Indeed, it is said that the true cost of a crash is somewhere between four and ten times the insurance costs. As one of the UK s leading post-test driver assessment and training providers, we have developed a solution that will enable your fleet customers to meet their legal requirements and reduce company s and drivers exposure to risk. DriverRiskProfiler The first objective of a DriverRiskProfiler programme is to ensure that all your drivers are legally entitled to drive the vehicle s they use. Drivers licences are checked directly with the DVLA and then your drivers will be able to undertake on-line driver risk assessment with builtin and relevant online learning. If any drivers are identified as having a high exposure to driving risk, then either a workshops or on road training may be the way forward. DriverRiskProfiler programme This unique and integrated approach would include: Driving licence validation Check your driver s licences against the DVLA database and then access driver s information securely on-line quickly and simply. Online risk assessment - AA DriveTech s online service enables companies to individually assess their fleet drivers with a 20 minute interactive assessment. Online learning - access to relevant and fully interactive online driver training facility for drivers who have completed the online assessment. Benefits for you DriverRiskProfiler offers companies: A packaged risk programme that will ensure compliance and identify areas of risk A fixed price, high value but low cost solution A way of identifying drivers who have a high exposure to risk while driving Suitable for car and van fleet as well as the grey fleet of private/ hire car business drivers Peace of mind AA DriveTech 2014 DTR205 / Issue 3 / June All trademarks are acknowledged and recognised.
