1 BANK OF BARODA BOB TOWERS ZONAL OFFICE, GUJARAT OPERATIONS OPP LAW GARDEN, ELLISBRIDGE AHMEDABAD TENDER FOR SUPPLY, INSTALLATION, TESTING AND COMMISSIONING OF VISITOR'S MANAGEMENT SYSTEM AT BOB TOWERS, AHMEDABAD AND AMC FOR A PERIOD OF THREE YEARS AFTER WARRANTY PERIOD 1. Bank of Baroda, Zonal office, Gujarat Operations, BOB Towers, Ahmedadabad invites sealed tenders on two-bid system basis for the captioned work from eligible contractors / reputed agencies. 2. The tender document should be submitted in Three separate envelopes, containing Offer Letter with EMD and Tender Fees, Technical and Financial bids, properly sealed and clearly marked / super scribed "Tender Document for Supply, Installation, Testing and Commissioning of Visitor's Management System. Technical Bid OR Financial Bid" as the case may be. The bids to be contained in large envelopes. Kindly note to submit Financial Bids in separate sealed envelope. 3. The sealed tenders addressed to the "Dy General Manager, Gujarat Operations" and clearly marked / super scribed "Tender Document for Supply, Installation, Testing and Commissioning of Visitor's Management System. This should reach Bank of Baroda, BOB Towers, Law Garden, Ahmedabad latest by 1200 hrs on 04 June The Committee of Bank's officers will open the Technical Bids on the same day at 1600 hrs at sixth floor. Representatives of bidder may remain present. Financial Bids shall be opened on a later date and only those bids will be opened whose Technical Bid is accepted. Technical criterions for Technical Bids are given in Terms and Conditions of the work contract. 4. The Offer Letter be submitted along with non-refundable Tender Fees of Rs. 500/-(Rs. Five Hundred only) and refundable 'Earnest Money Deposit' of Rs.1,000/- (Rupees One Thousand only) in the form of two separate Demand Drafts / Banker's cheques from any scheduled Bank, drawn in favour of Bank of Baroda, payable at Ahmedabad. The Earnest Money Deposit of Rs.1,000/- (Rupees One Thousand only) will be refunded to those suppliers whose tenders are not accepted. It may be noted that no interest shall be paid on earnest money. The earnest money of the successful tenderer shall be returned after 6 months of successful completion of work. In addition Rs 10,000/= (Rs Ten Thousand only) will be deposited in form of a FDR in the name of the Bank towards Performance Guarantee for a period of One year from the date of completion of the work. The Bank will not be bound to accept the lowest tender and reserves the right to accept or reject any or all the tenders without assigning any reason whatsoever. Submission of tenders in any other format will not be entertained and will be summarily rejected.

2 5. The tender shall remain valid for an acceptance period of 90 days from the date of opening of the financial bid. Relevant information / copies of certificates called for should be annexed to the tender. Non-receipt of any information/ certificates with the tender may entail rejection of the tender. 3 TERMS AND CONDITIONS OF THE WORK CONTRACT Technical Criterion 8. The Vendor must fulfill under mentioned Technical Qualification:- (a) Registrations with Sales Tax, Service Tax, ESI and EPF is essential. (b) Vendor's registered with SSI, NSIC and having ISO 9001 certification may be given preference. (c) Availability of after sales service network at Ahmedabad with address. (d) Availability of warranty for every item. (e) Experience of having successfully completed tendered jobs i.e. last 3 years (as on 04 June 2010) should be either of the following:- 3 (i) One similar completed work of 80 % of cost OR (ii) Two similar completed work each of 50 % of cost OR (iii) Three similar completed work each of 40 % of cost Approximate cost of Project is Rs lacs INSTRUCTIONS FOR FILLING IN AND SUBMISSION OF THE TENDER 9 The sealed tender documents should be submitted in original at BOB Towers, Ahmedabad duly filled in so as to reach on or before 1200 hrs on 04 June, 2010 in a sealed envelope super-scribed "Tender Document for Supply, Installation, Testing and commissioning of Visitor's Management System at BOB Tower, Gujarat Operations, Ahmedabad. 10. Please study the documents carefully and inspect the site before fillingin the tender. Any party tendering against the enquiry shall be deemed to have read and understood all the terms and conditions and familiarised themselves with the site and nature of work and quoted accordingly. Such terms and conditions not appearing in the body of the tender will not be considered as forming a part of their tender. General 11. Please note canvassing in any form will entail disqualification. Conditional or incomplete offers are liable to be rejected. 12. The Bank reserves the right to accept or reject any or all the tenders completely or in part and / or increase or decrease the quantities / numbers of

4 any item of the work without assigning any reason and the successful bidder shall perform the same at the rates quoted by them. 13. Price quoted by the bidder shall be inclusive of all levies, excise duty, sales tax and / or any other tax. No escalation in price shall be permitted on any ground. 14. Each page shall be duly signed by the tenderer as a token of their acceptance of the Technical and Contractual details, including tender form duly filled in, complete details and description, including all the data to be supplied by the tenderer as specified in the information and instructions to the tenderers. 15. Envelope No.1 shall contain Offer Letter of the Agency with Rs. 1,000/- (Rs. One Thousand only) towards Refundable Earnest Money and non refundable tender fees of Rs. 500/- (Rs. Five Hundred only) in the form of crossed Demand Draft / Banker's Cheque in favour of Bank of Baroda, payable at Ahmedabad. Envelope No. 2 shall contain Technical Bid and Envelope No. 3 shall contain Financial Bid. These three envelopes shall be kept in one big envelope shall be super scribed as Envelope -1, Envelope - 2 and Envelope- 3 respectively. 16. Validity of offer : Offer should be valid for 90 days from date of opening of financial bid. 17. The intending tenderers are advised to visit the site of work so as to familiarise with site conditions before quoting the rates on any working day during office hours. 18. Successful bidder shall sign and stamp each page of this tender document as token of their acceptance of all the terms and conditions. The letter for award of work to the successful bidder shall be deemed to be a binding contract between BOB and the successful bidder for the scope of work defined in this tender. 19. The supplier shall be responsible for any loss / damage to the materials by his staff deployed to the site. 20. The supplier shall abide by the regulations / requirements meant for security and strictly follow the rules. BOB security staff shall have the right to check, search or interrogate any contractor's material while entering / leaving the BOB premises for the purpose of security. 4

Any claim arising on account of damage, compensation or expenses payable in consequences of any accident or injury sustained by workmen of supplier or any other person, whether in the employment of the supplier or not, while in or upon the said works or site of the same, the Bank shall not be bound to entertain any claim or such claim brought under the Workman's Compensation Act. 22. Supplier shall not sublet any part of the awarded work to any other person or agency. 23. Please put your firm's name and signature of the authorised person on each page of the tender document as token of your perusal. 24. Please give particulars of recent works which you have executed along with the names of organisations. 25. In case the Agency is out of Ahmedabad they should have a service centre in Mumbai for providing after sales service / AMC. 26 If the tendering firm consists of more than one partner, the names of all partners must if disclosed, while submitting the tender. 27. Retention - 5 % of the bill amount less the EMD shall be retained for a period of 6 months as DLP. 28. Please attach copies of Order executed by the Company for supply and installation of the Visitors Management System as an experience and proof of Technical Criterion given in Paragraph 8 (e). 29. Before finalizing the order, selected Vendors may be required to give live demonstration of the System 30. Having examined the nature and quantum of work relating to the above mentioned work and having visited and examined the site of the proposed work and having acquired the requisite information relating there to as affecting the tender invited by you, I / We, the undersigned hereby offer for undertaking supply and installation of Visitor's Management System as per enclosed "Schedule of work". I / We further agree to the retention of earnest money for a period of six months if our tender is accepted. In addition Rs 10,000/= (Rs Ten Thousand only) will be deposited in form of a FDR in the name of the Bank towards Performance Guarantee for a period of One year from the date of completion of the work 2. I / We have also deposited non refundable Tender Fees of Rs. 500/- (Rs. Five Hundred only) and refundable Earnest Money Deposit of Rs. 1,000/- (Rupees One Thousand only) in the form of DD / BC drawn in favour of Bank of Baroda, payable at Ahmedabad as per details given hereunder :- (a) (b) We have read general Terms and Conditions of the Work Contract and agree to abide and comply with the same.
