1 July 26, 2017 at 2:30pm in 219HB Shawn Ragsdale (new Chair) called meeting to order at 2:30pm Attendee List: Attached Minutes from Last Meeting: The minutes from May & June were not available will be brought to next meeting Shawn Ragsdale: Would like to thank everyone for attending and thanks to Dr. Jones for attending today. Expectations of the Classified Staff Meetings / members: Would like to keep meetings limited to 1 hour unless there is a lot of information to discuss / share The first half of the meeting should consist of institutional reports The second half of the meeting should consist of Council items of discussion Please take turns talking so that Tami can record the minutes properly Keep in mind that we are here for the students Be involved we are all busy but need to work together to get things accomplished Laugh Have Fun Others experiences/opinions: Holly Fluharty form better communication try to get someone to attend the next meeting with you would like to see this group grow Rosetta Kolar would like to thank everyone who was a part of this group while she was the Chair glad it is not a gripe session hopes it continues that way Donna Trickett is the Vice Chair Dr. Stephen Jones (Interim President): Asked for a quick introduction of attendees and what department they are in This is his 26 th day and will be here until December So far he is enjoying the University, Board, students, employees, and people Page 1

2 Is aware that some people in this room are the first face a student sees and sometimes the last so each and every one of you are very important Make sure you are positive and motivating We all share in recruitment efforts even beyond the office Would like to leave here in December in good standing and good for the incoming President Would like feedback from this group of how do we maximize the use of the new Bridgeport facility Working with Dr. Moore, Pierpont s President to try to fix some of our issues Would like this group to also address what are items you would like to see addressed? Becky Miller mentioned the underutilization of Caperton Center Dr. Chris Lavorata (Provost): So proud of many accomplishments that have recently happened Model United Nations International Robotics Competition CJ recently placed nationally Student Artist was named the Emerging Artist and has a display at Tamarack Concrete Canoe Team won another award Math & Engineering came in 2 nd & 3 rd in the State School of Business prepared free income taxes Dr. Jack Kirby (Associate Provost): Proud of the beautiful campus and facilities What makes this campus wonderful is the staff and the warm family feeling The Undergrad catalog is now online waiting for hard copies to be printed Updated new General Studies course forms online More forms coming to the Forms Repository Graduate catalog will be coming soon Cindy Curry (HR Director): Talked several times about the Mercer pay scale Had minute sessions across campus open to all employees to provide information about the changes 155 people attended Receiving good feedback Excited about moving from the old pay scale to this new one Still need to decide the best way to offer incentives / pay increases for employees would like feedback Working on letters for all classified staff about the new pay scale someone who once was a PG 12, could possibly be a PG A (going from PG 1, 2, 3, etc to PG A, B, C, etc.) 40 people will be getting increases most are new employees Working on writing policies for Reduction In Force (layoffs) will take to BOG then will put out for 30-day comment period Page 2

3 Classifications are going away no longer have Classified or Non-Classified but Staff Cindy holds a seat on the HEPC Rules Commission serving for FSU & Pierpont which will return more flexibility to institutions and boards The committee will be on our campus Aug. 1 st The Presidential search is continuing committee will meet on Monday 27 applications received Ginger Burns (Benefits Coordinator): Still learning PEIA lots of changes Door is always open for questions / concerns Big change don t go out-of-town for service if possible Check the website to make sure they have your Healthy Tomorrow form Holly Fluharty (BOG Report): Dr. Jones hosted a Board retreat last week His direct reports presented during the first half then the second half he shared his observations Good, productive day Discussion of HCM1 and Bridgeport facility Read the card that Dr. Rose sent thanking classified staff for the gift Becky Miller (ACCE Report): June meeting was cancelled due to the budget strains Next meeting is July 31 & Aug. 1 will report back Will discuss SB2542 New Business: Change Name of this group: Since classifications are going away should this group change the name to Staff Council rather than Classified Staff Council? Holly thinks this is a good idea especially since historically, non-classified staff had no representation ACCE will be discussing this more at their meeting next week and Becky will report the outcome Cindy Curry stated that nothing in the rules would stop us from changing the name and including non-classified Rosetta thinks it would be advantageous to make it all staff but should table this discussion until the next meeting Should meetings be moved to different day / time / location? It was suggested previously to move the meetings around campus each month in hopes to get more participation It was suggested to move the meetings to the mornings so that custodial staff could attend Page 3

4 Shawn mentioned that the meetings do not have to be on Wednesday s should we look at different day? Serena Scully mentioned that maybe we should do a survey through Survey Monkey and Cindy Curry mentioned Doodle Shawn will check into this Committees: Need to discuss this more at next meeting: Legislative Affairs Holly Fluharty & Becky Miller Election Committee HR handles Staff Development (workshops, trainings, speakers) Trish Price was nominated to work with HR on this Bylaws Holly Fluharty will send information to make sure currently Bylaws are still in code will table until next meeting Classified Staff Scholarship this needs to be revisited since we may go to all staff now Tami Winston, Dalene Horner, & Ginger Burns - Rosetta mentioned that the current scholarship application needs to go out ASAP with a deadline of Aug. 9 th. Other Business: Holly Fluharty mentioned that we need a committee to start the planning of an Employee Staff Luncheon since the one last time fell apart but this will need more discussion since we may be moving to all staff. Becky Miller will call the Ethics Office to see exactly what is allowed and what is not. More discussion to follow.
