1 Process name: ADULT TRAINING PAGE UPDATING A MODULE WITHIN A PERSONAL LEARNING PLAN Roles: Training Managers, Training Administrators Process overview: This process will allow users with the correct access rights to search for members and update a training module as required. This process should be completed once the learning or validation of a module needs to be updated on Compass. The outcome of the process will be that if the validation for the module has been complete then a module validation certificate will be generated. You will need the membership number of the Training Adviser and the membership number of the adult who validated the learning to complete this process in full.

2 1. Ensure you have selected the correct role for the task you are trying to complete from the My Role dropdown menu at the top on the Home Page. 2. To search for a member click the magnifying glass which is located towards the top right of the Home Page. 3. Type the membership number of the member you want to find into the Go to member box then click the magnifying glass next to the box. If you don t know the membership number of the Member whose record you are looking for, then you can search for them using the Advanced Search options. 3 4. Once you have found the correct Member record the member Profile page should appear. On the member Profile page there will be a row of headings going across the page underneath the member name and membership number. Click the Training heading. 5. The Training page is split into two sections. The first being Personal learning Plans. 6. The Personal Learning Plan (PLP) section will display the roles linked to the member. When a Member is assigned a role a PLP detailing the training requirements for that role should automatically have been added. On the right hand side of the page for each role there will be a Show PLP button.

4 7. Clicking Show PLP for a role will open the personal learning plan for that role. 8. Under the Training Module heading will be the list of modules which are part the roles PLP.

5 9. On the right hand side of each module there will be an Update Training button. Click the Update Training button for the module you want to update. 10. A popup window will appear titled Edit PLP Training Module, with the member s name and membership number underneath. The first section is PLP Training Details. The Module box will show the name of the module you are updating. To assign a Training Advisor to the Member for this module, enter the Training Advisor s membership number into the Training Advisor box. Then click the magnifying glass to the right of the box. Please note this field is not mandatory. You do not need to assign a Training Advisor for this module to continue.

6 11. If it has been agreed that learning is required by the Member for this module you will then need to click the Learning Required box. If there is no learning required leave the box unchecked. 12. If learning is required, use the dropdown window under Learning Method to select the agreed learning method for this module. You can select more than one method if required.

7 13. Once you have selected the learning method(s) you need to enter the planned completion date that has been agreed into the Planned Completion box. The date can be entered manually or selected using the calendar icon to the right of the text box. 14. If the learning method has already been completed you can then enter this date into the Actual Completion box. If it has not yet been completed you will be able to update this information on the Member s training record at a later date.

8 15. The next section is validation, which will be located under the Validation Criteria heading. If there are any mandatory validation criteria for this module these will automatically have appeared. You can then use the drop down menu to add any additional validation criteria that have been agreed for this module. 16. Once the agreed validation criteria have been selected you will then be able to enter the agreed upon completion date for each criteria validation criteria. These can be selected using the Planned Completion box to the right of the validation criteria. The date can be entered manually or selected using the calendar icon to right of the text box. 9 17. Once the planned validation criteria have been completed, you will be able to enter the completion date into the Actual Completion box. This can be entered or selected in the same way as the planned date. If they have not yet been completed, you will be able to update this information on the Member s training record at a later date. 18. The following section is titled Validation Methods. You may need to scroll the window down to see the whole section.

10 19. Each validation method will have a corresponding check box. Use the check boxes to select the agreed validation methods. You will be able to select multiple methods. 20. The final section is titled Validation Completed. Once the agreed validation and any planned learning for this module has been completed, this section will need to be completed. If it has not yet been completed you will be able to update this information on the Member s training record at a later date. To do complete this section, enter the membership number of the member who validated the criteria into the Validated By box.

11 21. Then enter the validation date into the Validate On box. 22. When you are ready to save the updates you have made to module click the Save button on the bottom right of the window.
