1 VACANCY: INFORMATION,COMMUNICATION AND TECHNOLOGY ASSISTANT PEMA Kenya is a human-rights Community Based Organization that works to champion the inclusion of gender and sexual minorities (GSMs) by providing space for advocacy, networking, and capacity building for GSMs, as well as providing society in general with needed tools and information. We do this through: reviewing policies and participating in advocacy campaigns, health promotion, security response, legal redress and economic and social empowerment. Job Summary:

2 The position is responsible for managing the communication and public relations strategies, activities and efforts for PEMA-K, raise awareness and increase visibility of the organization with key stakeholders and the general public, ensuring dissemination of appropriate messages to relevant audiences (both internally and externally) through effective channels, and promote documentation of the organization s program work as well as information sharing and learning. 2. Key Responsibilities: R1. Manage PEMA-K s communication initiatives and processes T.1 Develop and oversee the implementation of the PEMA-K s communications and public relations policies and plans. T.2 Profile PEMA-K to build and maintain a positive image with its audiences. T.3 Enhance communication with key stakeholders and facilitate use of appropriate media to support PEMA-K s communication with external audiences. T.4 Manage the publication and distribution of PEMA-K s newsletters. T.5 Support external communication with PEMA-K s partners and collaborating agencies. T.6 Establish and maintain effective mechanisms for internal communications. R2. Production and dissemination of corporate materials T.1 Liaise with staff to ensure finalization of the writing, proofreading, editing, and compilation of all advocacy communications, correspondence and publications. T.2 Coordinate the production of PEMA-K s online monthly newsletter and other general updates according to the communication and advocacy objectives. T.3 Take and edit pictures, audio and video recording for documentation purposes and for dissemination to the PEMA-K s key stakeholders.

3 T.4 Identify key materials and manage their translation to languages relevant to the main counties of PEMA-K s operation. T.5 Maintain an updated database of partners, donors and affiliates and internal communication system. T.6 Liaise with the management to put in place branding mechanism that defines PEMA-K s mission, vision and values. T.7 Facilitate the production of PEMA-K s annual reports and publicity materials such as brochures and videos. R3. Management of PEMA-K s website T.1 Ensure that the content of PEMA-K s website is appropriate and up to date. T.2 Prepare and disseminate blogs, updates, photos features or human-interest stories following management s approval procedures and communication guidelines. T.3 Work in collaboration with consultants to improve the PEMA-K s website to make it user friendly and incorporate multi-media material. T.4 Monitor the implementation of content and style guidelines. T.5 Ensure that the ICT structure meets the needs of users and page managers. T.6 Proactively seek new opportunities where PEMA-K and its work should feature. R4. Support management of PEMA-K s relationships with the public T.1 Identify PEMA-K s main audiences and ensure that PEMA-K effectively communicates relevant information to them. T.2 Respond to requests for information and enquiries about PEMA-K, its programs and activities. T.3 Represent PEMA-K at relevant meetings and events.

4 R5. Manage media relationships T.1 Establish and maintain strong working relationships with key local media houses to promote PEMA-K s profile. T.2 Provide communications advice including development of relevant messages, use of the right media channels by critically developing strategic solutions to given communications challenges. T.3 Develop press materials including press statements and releases, and information kits/fact sheets. T.4 Manage media inquiries. T.5 Coordinate and manage placement of adverts in the media. T.6 Prepare periodic updates to management on media coverage and its implications to PEMA-K. R6. Facilitate documentation of PEMA-K s program work T.1 Manage PEMA-K s documentation and publication work processes. T.2 Collect and compile updates from PEMA-K s activities and disseminate to relevant audiences through appropriate channels. T.3 Provide support to staff in design and production of training and communication materials. T.4 Synthesize lessons and experiences for continuous improvement of communication within PEMA-K, and for sharing both within the organization and externally. R7. Promote information sharing and learning in PEMA-K T.1 Manage the Resource Documentation Centre and promote its use. T.2 Facilitate documentation of PEMA-K s learning experiences, best practices and case studies from its program work and other engagements.

5 T.3 Facilitate dissemination of information in areas of interest as may be required by PEMA-K from time to time. T.4 Develop and maintain a system to capture positive reports on PEMA-K s work that appear in the media and other publications. T.5 Support PEMA-K staff, providing advice and ideas on how to more effectively incorporate advocacy and effective communication approaches in relevant projects. T.6 Work with the Head of Programs to promote the research agenda through journal articles and abstracts. T.7 Lead the development of annual organizational report combining projects progress and organizational growth and development aspects R8. Other Duties and Responsibilities T.1 Support PEMA-K s resource mobilization initiatives by providing relevant materials for concept papers and proposals. T.2 Support institutional initiatives such as strategic planning, work planning and budgeting; and reporting to donors and other stakeholders. T.3 Support the organization of PEMA-K s initiatives, activities and events. T.4 Participate in institutional strengthening processes, progress reviews and reporting as required T.5 Support in resource mobilization and sustainability initiatives as opportunities present T.6 Actively contribute towards M&E processes for continuous learning, reporting and profiling of PEMA-K. T.7 Carry out any other duties and responsibilities which may be assigned by the ED and Senior Management Team from time to time.

6 3. Knowledge, Skills and Abilities: (The knowledge, skills and abilities may be required through a combination of formal schooling, self-education and prior experience or on-the-job-training). (a) Level of Education: A Bachelor s degree in communication or any related field. (b) Specialized Training/Professional Qualifications Training in public relations. (c) Competencies/Abilities/Skills Required Excellent oral and written communication skills. Excellent computer skills. Excellent interpersonal and public relations skills. Ability to work under pressure and with minimum supervision. Strong team orientation. (d) Job experience: At least three (3) years experience in a similar position. 4. Position Relationships:

Authority/Decision Making The position involves making recommendation on policies and other issues on communication, public relations, and information technology to the Senior Management Team and the Executive Director for consideration and approval. 6. Working Conditions The position involves periodic travel to the field. The job holder may be required to work beyond office hours periodically. The nature of work requires precision and strict attention to details and adherence to deadlines.
