1 FEBRUARY 2017 KON-TIKI RELEASE SUMMARY FAIRSAIL S KON-TIKI RELEASE DELIVERS A RANGE OF IMPROVEMENTS AND FEATURE ENHANCEMENTS ACROSS THE FAIRSAIL PLATFORM AND IS FOCUSED ON IMPROVING THE SELF-SERVICE EXPERIENCE FOR YOUR WORKFORCE. The Kon-Tiki release gives your people the ability to view and manage more details themselves, all of which is accessible instantly and on demand via WX. Users will now be able to access much more via self-service, through the introduction of pre-defined analytical reports, an extension to recruiting actions, the ability to review Team Member metrics, and visibility of stock option details. The Fairsail mobile app is also now available for everyone to download from the Apple App Store on ios devices. PEOPLE SCIENCE & ANALYTICS View your reports directly in WX For some time, Fairsail HCM has enabled HR and executive teams to make more data-driven decisions and obtain stronger people insights, by leveraging the powerful reports and dashboards available within the platform. We are excited to introduce WX reports, which puts data into the hands of your employees in a flexible way. It gives managers and employees access to view reports directly in WX (once they have been created via the HR Manager Portal). Users can be given the access to adjust the visual layout for each report, to suit their personal reporting needs. Access to reports is hierarchical and based on user permissions, which ensures that reports can only be accessed by those who have the appropriate permissions. This means that managers can immediately view insights and answer questions about their team without having to ask HR, or recreate reports from scratch each time. Employees can be given access to reports about their personal employment details. Each report is contained within its own window tile, and you can customise the name, description and labels to suit your needs. WORKFORCE EXPERIENCE Mobile app now available for download We are pleased to share that Fairsail s ios Mobile App is now available for all our customers. The Fairsail mobile app gives your employees instant and ondemand access to the WX selfservice platform in the palm of their hands, with the freedom to view and change their key details, and manage their actions from any device, at any time. The mobile app is now available for general download via the Apple App Store. TALENT ACQUISITION Enhancements to self-service recruiting Self-service recruitment for hiring managers enables your organisation to fill vacancies more quickly and reduce the time and cost to hire. To help hiring managers and other parties involved in the approval of a new vacancy or new hire within your organisation, we have introduced further self-serve capabilities, specifically new actions that will appear in WX and the Actions Digest. Approvers can now confirm vacancies and job offers directly on WX and via the mobile app, which will improve the speed at which organisations can find and hire new people. These actions will also appear in your Actions Digest. PEOPLE MANAGEMENT Delegate access to assistants With WX Delegated Access for Assistants, you can now use Fairsail to allow particular individuals to view and edit WX processes, receive notifications and have the ability to complete actions and approvals on behalf of another. This feature is specifically designed with a high level of accessibility for use by those in assistant roles, such as personal or executive assistants, who are required to manage diary and administration tasks on behalf of executives or senior managers as part of their job. The processes/tasks that are delegated to an assistant role can be specified by those with Administrator access, and the role can be assigned to a person by anybody with HR Manager access. Delegated Access for Assistants is currently available for the Absence and HR Request processes. Further processes will be made available in future releases.

2 PERFORMANCE & TALENT MANAGEMENT Metrics Review; simplified performance management We have introduced Metrics Review to WX. This is a simplified form of a performance review process, where an employee s performance is assessed against a set of predefined measurable indicators (numbers, scales or text/narrative) over a defined period. This provides the manager with confirmed levels of achievement which can be used for comparison with other employees in the same or a similar role. This form of review is typically used for helping to assess performance of repetitive tasks against a set of standardized measures. Users can edit follow-up actions inline, customise the label name for each tab, and access review details directly from completing an action. COMPENSATION, BENEFITS & PAYROLL Introducing stock options to WX Employee stock options can be granted by a company to employees as part of an overall compensation and benefits package. Fairsail enables you to set up, grant and maintain stock options for your employees. With our latest release, all users can now view their stock option details in WX, which will help to reduce the number of queries you receive. Administrators will be able to configure the terminology displayed in WX to suit your organisations need. In addition, by configuring a new field introduced to denote the currency of your equity scheme(s) you are no longer restricted to displaying stock in your default organisational currency Enhancements to Open Enrollment Fairsail HCM integrates your organisation s Open Enrollment process with the benefits section of your profile, providing immediate feedback on costs, access to plan comparisons, full instructions and all supporting forms and documents. This release includes a range of enhancements to support administrators in managing the Open Enrollment process, giving them better visibility of enrolment activity, as well as the ability to manage and track enrolments more easily. A new Benefit Enrollment object stores an employee s benefit related information in one place, offering an alternative to the way in which data is currently located in multiple fields on the employee s Employment Record. Administrators will be able to set start dates for the benefit enrollment and any associated benefit costs, as well as offset both start and effective start dates by days or months. Each benefit plan has a cost table that defines the costs of the plan. The Kon-Tiki release allows you to link the cost table from a benefit plan to any other plan, enabling you to use one benefit plan to set costs for all other plans if desired. There is also more flexibility around the entry and management of beneficiary information. 3 DECEMBER 2016 ARIEL RELEASE SUMMARY SEND ACTION EVENTS MORE RELIABLY, MORE OFTEN VIEW AND ASSESS CANDIDATES MORE EFFICIENTLY STREAMLINED OBJECTIVE-SETTING AND REVIEW Fairsail s Ariel release focuses on platform stabilization and customer feedback. While standard major releases deliver major new features, the Ariel release instead represents a specific dedication to product quality and the voice of the customer. Instead of focusing on major new features, Fairsail focused on customer feedback to deliver enhancement requests and platform improvements. Send Action Events More Reliably, More Often As the central communication hub of Fairsail HCM, action events and the actions digest represent pivotal keystones in an organization s HR automation. Fairsail has now simplified the process to add conditions or filters to these events with a syntax checker which checks if the condition entered is valid before an event ever errors. Even further, Fairsail has also delivered seven new action event triggers in response to customer feedback team member birthday, hire date, and anniversary, skill expiry date, development need review date, objective review date, performance review date. The actions digest has also been enhanced to include internal communication actions View and Assess Candidates More Efficiently In the active applications view on the vacancy page, columns can now be sorted to help recruiters find and bulk assess groups of applicants in a more efficient way. This section has also been paginated to easily scroll through 50 applications at a time. Streamlined Objective-setting and Review Fairsail has introduced new objective weighting functionality in response to customer feedback. Previously, an objective weight could be entered by the manager or team member when the objective was set, but it was not possible to edit this mid-year. As the weighting is often used to calculate an overall objective score to determine an overall performance rating, the ability to modify objective weight is of particular importance. Managers and team members can now change objective weightings for all active objectives in one central screen. If total objective weights go over 100%, the manager receives an action to do this modification. Additionally, when reviewing an objective, managers and team members can now view more details about the objective on the pop-up review screen, to help contextualize the review. Training Approval Process Enhancements in WX Team members can now submit training requests into an approval process directly, removing the manager from the workflow if required. Training request approvals or rejections can now be completed directly in WX. Absence Rules Offset by Length of Service As the leading HR system for global, multinational organizations, Fairsail continuously strives to introduce further vacation and absence enhancements. For companies that grant long service leave or similar entitlements that are only applicable for a certain time in an employee s tenure but may be accrued from their start date, new entitlement options allow you to separate accrual and availability. This is typically used to start accruing a type of absence before a team member is able to draw on it. Both start and end dates for the accrual can be offset from the employee s start date. Other improvements such as HR Request text/picklist field configurability, support for currency and date/time fields in WX, and more intuitive selection of absence dates are also available in Ariel. 4 SEPTEMBER 2016 VICTORIA RELEASE SUMMARY ENHANCED ABSENCE FEATURES AND WIDER COUNTRY COMPLIANCE INTRODUCING FAIRSAIL S 9-BOX GRID SIMPLE EMPLOYEE ENTRY WITH THE SINGLE PAGE NEW HIRE SCREEN Enhanced Absence Features and Wider Country Compliance: As the leading HR system for global, multinational organizations, Fairsail is pleased to introduce further vacation and absence configuration options to meet statutory regulations in additional countries. These options include: Extension of carryover expiration to a maximum of 99 months Optional calculation of monetary value for carryover pay-out Toggling of the order that absences are deducted i.e. Carry Over, Time in Lieu, and Accrual Color-coded accrual log for improved display Introduction of additional balance fields on WX i.e. year-end carry over and total available carry over These enhancements will enable customers to further comply with regulations for absence and vacation in Sweden, France, Romania, Poland, and others. Introducing Fairsail s 9-box Grid: As organizations move away from the annual review process in favour of continuous development, constant feedback and simple performance metrics are more important than ever. Fairsail has always provided HR and managers with a view of individual team member performance, potential, flight risk, and impact of loss scores as part of the Talent Planning module. In fact, in the Trieste release, Fairsail introduced individual 9-box charts for every member of a manager s team a visual team health-check for each manager. Once again expanding Talent Planning functionality, Fairsail is pleased to introduce a team-wide 9-box grid in WX. Taking scores from an employee s most recent talent plan, the team 9-box grid categorizes employees into one of 9 customizable performance- and potential-driven groups. This then enables managers to make better-informed, data-driven decisions about succession, reward, and development needs. Simple Employee Entry with the Single Page New Hire Screen: The existing new hire screen combines fields on the team member and employment records in one place, making it the easiest place to enter employee details into Fairsail. The enhanced Single Page New Hire screen now allows HR to enter team member, employment, salary, benefits, and absence data on a single page, reducing the number of clicks needed to add a new team member in Fairsail. Organizations can now also specify group-specific fields on the new hire screen, so that HR sees different entry fields for each country or department. Fairsail Mobile App Update: Following the beta release of the ios mobile app as part of the Trieste release, Fairsail is happy to introduce an Android version of the mobile app in beta, available for download in the Google Play Store. The Fairsail mobile app for ios will be moved to GA and be available in the Apple App Store shortly. Check the Customer User Group for further updates. Vacancy Approval Enhancements: Self-service recruiting is an essential part of business efficiency, so that companies fill vacancies more quickly and reduce time and cost to hire. With Fairsail s hiring manager portal, hiring managers can raise new requisitions and submit them through a robust approval process, configurable per vacancy. Previously, approvers could approve via or by clicking through to the back-end of the Recruit system. Approvers will now have actions to approve vacancies directly on WX (similar to the HR request approval process), improving efficiency and therefore the speed at which organizations can fill open positions and begin advertising new roles. Organizations can also now restrict the type of vacancies a hiring manager can copy from when raising a new requisition. WX Reports (pilot program): Workforce visibility has always been a core tenet of Fairsail s value proposition, allowing businesses to fly by instruments and make smarter, data-driven decisions. Both HR and executive teams have harnessed the power of reports and dashboards to glean better insights about their people, but line managers have not enjoyed this advanced level of access until now. Fairsail has developed WX Reports to give line managers and other key/relevant parties in the organization access to reports and charts directly in WX development prioritized based on feedback from customers. Please note that WX Reports is a pilot program. This means that customers must contact Fairsail directly to trial the new functionality and attend a webinar to learn how to configure it. WX Reports will not be supported by Fairsail Support until it is released in full in the next release and there are also several known issues that will be resolved by that time. More information will be provided directly to pilot customers. Other improvements such as automatic Payflow batch deletion, enhanced vacancy template configurability, and further use cases for Process Builder are also available in Victoria. Now you can take advantage of Fairsail s paperless onboarding with new integration to Docusign, the world s leading electronic signature application: automatically send onboarding documents to employees for e-signature, including US forms W-4 and I-9 sync completed information directly into Fairsail Team Member records use in multiple scenarios other than onboarding; send probation and salary reviews. Any PDF template can be sent for completion and e-signature with DocuSign in Fairsail Paired with Fairsail s e-form functionality, onboarding in Fairsail is now faster and more efficient, reducing time to hire and manual processing. Bonus planning now added to Fairsail compensation planning Variable compensation is a fundamental part of most organizations compensation strategy. Fairsail s off-cycle/spot bonus functionality has helped managers administer bonus increases throughout the year, but bonus planning has now been added to the annual compensation review process as well. Managers can now increase bonus opportunities alongside salary increases, drawing from a separate bonus budget. Fairsail compensation planning has now been enhanced to allow you to selectively choose who should appear on compensation planning worksheets and who should do the actual planning. This will better allow you to exclude certain populations from eligibility or retain salary planning access for top levels of management only. Seamless payroll transfers with Payflow Fairsail Payflow allows businesses to sync their HRIS data and transmit changes to downstream systems, such as payroll, learning, benefits, ERP and business planning solutions. New hires, terminations, or changes to records are automatically picked up and transmitted to remove the uncertainty of double data-entry and hassle of manual checks. While transfer of country is not technically a termination or new hire, it is still an important change in employee status, with more importance than a simple record change; the employee is likely ending on one payroll and joining a new one. Fairsail Payflow has been enhanced to now allow for seamless payroll transfer, even when the employment status does not change. Future dated job history changes Fairsail is excited to introduce the ability to create future-dated job history changes in just a few simple steps. This functionality enables you to create changes to your employees team member and employment details with an effective date in the future. This is supplementary to HR Requests, which do allow future dating, but require a formal approval process and are meant for managers to perform selfservices changes for their direct reports. Note on Fairsail WX ios Beta App Fairsail s ios Mobile App has been released in beta. To get early access to the app and give your feedback, please login to the Customer User Group and express your interest. General release to the Apple App Store is scheduled for later in Fairsail is also developing an Android version as well.
