1 Role Description Provide effective and efficient administrative support to the Crime Directorate Team. Main Responsibilities The post holder will ensure: - Paper based and electronic records and systems are accurately maintained and kept up to date, including FIU archiving - Work to departmental and organisational standards and policies - Contribute towards achieving Crime Directorate objectives - Adhere to agreed deadlines and provide accurate and timely management information - Contribute towards improving working practices and procedures - Provide formal information in a clear, concise and user friendly way - Maintain good working relationships with colleagues and customers to ensure information is accurate, up to date and relevant - Provide a professional service to the public - Comply with Health and Safety, Equal Opportunities, Data Protection, Freedom of Information and Human Rights statutory and organisational requirements - Provide quality and timely support service for internal customers The post holder will be required to undertake the following duties: - Accurate transcription of 999 calls (which may cause some distress, e.g. calls from victims of domestic abuse or other serious and violent sexual offences) for evidential purposes, transcription of victim ABE interviews and urgent suspect interviews. - Carrying out credit checks on behalf of the Financial Investigators using credit checking software. - Act as a point of contact for security of buildings, compiling and submitting the quarterly returns - Act as a point of contact for reporting building faults - Maintain all Work Safe documentation, ensuring it is current in addition to maintaining the first aid boxes and the Work Safe notice board. - Assist in the smooth overall running of the office environment to include duties such as ordering equipment and office consumables (using Finance purchasing systems), assisting in the administration of meetings including circulating agendas and minute taking, arranging transport and hotel accommodation as necessary, checking and processing overtime and expenses claims and processing creditor invoices for payment. - Assist in the smooth running of the Audio Visual Interview Suite. - Provide administrative and logistical support during HMIC inspections and projects. - Maintain PNB / CID diaries stock for issue by Inspector, receiving new stocks from Support Services and returning completed books in a timely manner. - Assist new starters in the familiarisation of the department - Liaise with other Departments and external parties, e.g. Fleet Management regarding the servicing of pool vehicles - Any other reasonable management requests Communications and Working Relationships Internal Page: 1

3 Vetting Level: Force Personnel will be vetted to the minimum Police Basic Check (PBC). A higher level of vetting may be required for certain roles or grades and suitable clearance will be required before appointment or deployment. Mobility: The Force reserves the right to request you to carry out any other duties or move you to any other post appropriate to your grade, at any location within the county of Gloucestershire, as business requirements dictate. Working Pattern: Normal working hours will average 37 per week or will be pro rata. This will be worked subject to the needs of the service and may involve shift, night, weekend and public holiday working. In working with the Community this role will require flexibility to attend meetings outside of standard business hours. Standards of Professional Behaviour: All members of Police Staff / Police Officers must comply with these standards. Travel / Driving Licence: The post holder will be required to travel to meetings around the county preferably using own transport. Training and development: Undertake the required training and development to maintain working knowledge. Experience and Qualifications Essential Knowledge, Skills and Experience Knowledge - A good standard of general education and / or demonstrable previous experience - Demonstrable working knowledge of IT including practical use of MS Office in particular Word, Outlook and Excel - A current driving licence Skills - Good verbal and written communication skills - Capable of making limited decisions without supervision - Good organisational and time management skills with the ability to use discretion and work on own initiative with minimum supervision, as well as part of a team - The ability to manage pressure and conflicting demands, as well as prioritise tasks, meet deadlines and maintain accuracy. - Ability to project a courteous and professional manner when communicating with people at all levels from both within the Constabulary and externally. Experience - Previous work experience in an administrative environment that includes dealing with customers on a face to face basis.
