1 WORKFORCE Payroll Release Notes February 2018

2 The following enhancements have been added to this release. Ability to Override Rate Multiplier at Company Level WFR-63491: The Rate Multiplier can now be changed when a new Earning Code is created from the Roll up type of Regular. This only applies when creating a new Regular Earning; existing codes are unchanged. Earnings codes with overridden rate multipliers can be used in unusual circumstances, for example, to provide a higher rate for holiday earnings. Autopay: Calculation Override Options on Autopay Schedule WFR-51444: Users now have the option of overriding the Autopay Schedules when appropriate to prorate earnings for new hires or terminations or to enable automated retro payments for base compensation increase or new hires. To enable the overrides, navigate to Company Settings > Payroll Setup > Autopay Schedules and select an Autopay schedule. Clicking on the Override Autopay Schedule Default Calculation checkbox displays the available options. Check on the desired options for overriding the default autopay schedules and click on the Save button. Employee Perspectives: Payroll Rules Added WFR-51295: In the October 2017 release, Employee Perspectives were introduced. This feature enables users to use the data collected in the system to generate a scorecard of employee performance, engagement and/or productivity. In this release, payroll data has been added to the set of metrics that can be used in the calculation of employee scores. Bonuses and changes to pay, deductions or taxes can now be included in the rules added to an Employee Perspective. Rules are added under Company Settings > Profiles/Policies > Employee Perspectives. 1

3 To add the rule, a category and timeframe must be selected, and conditions must be defined to determine the points used in the calculation of the score. Bonus Pay Rule The Bonus Pay rule assigns points based on the amount of a bonus the employee has received since the previous pay period. Variance Rules Users can configure the points assigned based on the percentage of change in pay, taxes or deductions. The system compares amounts in the current pay period to amounts in the previous pay period to determine the variance; no other timeframes can be used to calculate the variance amounts. If the amount decreased in the current pay period, the variance will be a negative amount. Point assignments should be configured with the fluctuation of the variances between pay periods in mind. 2

4 Notes: Points must be positive values. Initialization Process Improved WFR-62942: As part of the continued work to improve payroll processing efficiencies, Kronos has improved the Initialization process. Because of these improvements, the Initiate Payroll step will provide the same experience as the Close and Finalize steps where the progress of Initiate Payroll is displayed with a description of Initializing and moving progress dots instead of a progress bar. Pay Statements: Cost Center Name Field Length for Labor Allocations WFR-50919: From Company Settings > Global Setup > Company Setup, Payroll tab, Labor Allocation can be enabled for display in pay statements. Users can choose to display the cost center name, abbreviation, external ID and/or payroll. In the past, the display of multiple fields resulted in occasional truncation of the cost center name. To improve readability, the length of the cost center name field is now determined dynamically, based on the number of fields selected for display, resulting in less frequent truncation of the cost center name. Quick Books: Export Enhancements QuickBooks V1 Advanced Enhancements WFR : The following enhancements have been added to the QuickBooks (IIF) v1 Advanced export. The Class For Invoice specification now appears in the Export GL section of the Extra Settings widget on the Data Export Page. Within this section, the default description of EE + ER Tax Credits is now set to Taxes. 3

5 The default naming convention has also been updated. The new naming convention includes the Company Short Name, followed by the Payroll Pay Date in yyyymmdd format with QB Import.iif appended at the end of the file name. At run time, additional filters can be selected. After clicking the Run Data Export button, the More Filters option is now available on the resulting pop-up. In addition to the designation of payroll and company EINs, new filtering options are available to include or exclude employee check data, vendor check data and to combine or group GL accounts. The new filter options override the default settings configured for the export. 4

6 QuickBooks Version 2 A new QuickBooks data export is available under Company Settings > System Data Export. After clicking the New Data Export button, the export can be created by selecting the QuickBooks (IIF) v2 export type. This version of the export includes employee level details with all GL entries on employee checks that can be imported into Quick Books. Under Company Settings > Global Setup > Company Setup, Payroll tab, secondary codes can be enabled by type. 5

7 The new export begins with three header files, followed by employee earnings, deductions and taxes. In the export, records beginning with TRNS are populated following the configuration in of the Empl Check record type. The DOCNUM field, which contains check or voucher numbers is populated with check numbers by default, but by clicking the EDIT button, direct deposit voucher numbers can be overridden to send a constant value, for example, DD for direct deposit vouchers. Hours can now be included in the Memo field of the Empl Check and Empl Check Offset record types. If this option is selected, the Memo field will be populated with hours. 6

8 Reports The following enhancements have been made to reports and are listed below. New Raw Total Column Added to Labor Distribution Reports WFR-50783: A new Raw Total column is now included in the Labor Distribution report under My Reports > Payroll > Labor Distribution > Labor Distribution. The existing Amount column displays the sum of Earnings minus EE and ER taxes and deductions. The new Raw Total column display the sum of Earnings, EE and ER Deductions, EE and ER taxes, checks and direct deposits. 7

9 Recap/Funding Report Inclusion of Taxes Paid Directly by Client Prior to Payroll Finalization WFR-56426: In the December 2017, the ability to view vendor liabilities from the Payroll Recap and Funding report prior to payroll finalization was introduced. Additional enhancements now enable viewing of tax liabilities from the report after payroll is closed, submitted or finalized. Any taxes configured as client responsibility will appear in the Your Remaining Tax Liability section of the report under My Reports > Payroll > Payroll Recap & Funding. Client responsibility can be configured on the tax code from the Tax Payments section of the Default Bank Accounts widget under Company Settings > Global Setup > Company Setup, Defaults tab. If Override Payment Options is checked, and the payment type selected is Client Responsibility, the tax amount will appear in the Your Remaining Tax Liability item in the report. The same setting can be configured by navigating to the Company Settings > Payroll Setup > Company Taxes report and clicking the View Tax icon for the appropriate tax code. On the Company Tax page, the Override Payment Options section appears within the Tax widget. 8

11 Resolved Issues The following issues have been resolved with this release. Retirement Plan Report (By PST) Showed Incorrect YTD Amounts WFR-23546: The YTD calculations/amounts now display accurately on the Retirement Plan Report (By PST) under My Reports > Payroll > Retirement Plan Report (By PST). Paycheck Simulator Internal Errors WFR-51071: Additional checks for null values been added to the Paycheck Simulator, eliminating Internal System errors that occurred after clicking the Calculate button in the Paycheck Simulator. Accrual Carry Over Not Displayed Correctly on Pay Statements WFR-23501: Accrual Carry Overs are now displayed correctly on Pay Statements. The accrual values must be configured for viewing under Company Settings > Global Setup > Company Setup, Payroll tab. Accrual Carry Over amounts are displayed in the following columns: CO This column shows Total Carry Over. CO Bal. This column contains Carry Over Balance. CO UseBy This column contains Carry Over Use by Date. Ex. CO This column contains External Carry Over amounts. Can t Delete Deductions Used in Pay Statements WFR-31750: Scheduled deductions that have been used in finalized payrolls can now be deleted. In the past, account deductions were locked after payroll finalization, and remained locked even after the payroll was rolled back, preventing any future deletion of the deduction. Moving forward, deductions will not be locked during payroll finalization, enabling users to delete unnecessary account deductions in the future. A new warning will be issued if the user attempts to delete account deductions that appeared in pay statements. Employee Scheduled Deduction Import Incorrectly Overriding Settings WFR-50865: When employee scheduled deductions are imported from Company Settings > Imports > Payroll > Employee Scheduled Deductions, the scheduled default values will not be overridden at the employee level if the Deduction Code s Allow Override At EE Level setting is not checked for the field. Default values for scheduled deduction are configured in the Scheduled Deduction Code widget of the Deduction page under Company Settings > Payroll Setup > Deduction Codes. To allow overrides at the employee level manually or through imports, the checkbox in the Allow Override At EE Level must be checked. Previously, fields that were not configured to be overridden were being modified when importing scheduled deductions. 10

12 Generic Retirement Plan Export Not Populating Last Pay Statement Date Column for Employees with 3PSP Only WFR-36884: Generic Retirement Plan Exports, available under Company Settings > System Data Export > Data Exports have been updated regarding employees receiving 3PSP (Third Party Sick Pay) earnings. In cases where an employee s only earnings during the timeframe specified for the export are 3PSP, the employee data is not included in the export. Previously, including the data resulted in blank Pay Statement Date fields, resulting in errors upon upload of the exported data. The updated rules for employee data inclusion are as follows: If the employee is included in only one payroll in the selected timeframe and the employee s only earnings were 3PSP, no data is included for the employee in the export. If the employee has earnings other than 3PSP, the employee data is included in the export. If the employee was included in more than one payroll in the selected timeframe, data from any payrolls that included earnings in addition to 3PSP is included the report. If the employee is the only employee in the payroll(s) and the employee has only 3PSP earnings, an error message will be generated: No payroll meets the selected criteria. Invalid Override Warnings on Pay Statements WFR-43308: Bogus warnings about overridden values no longer appear on pay statements after a pay statement is edited. Previously, invalid warnings appeared after addresses, cost centers, amounts or hours were edited in pay statements. FICA Tip Credit Report Shows Incorrect Hourly Wage WFR-61181: The FICA Tip Credit Report under My Reports > Payroll > FICA Tip Credit Report is now displaying the correct hourly wage in all cases. Previously, incorrect values were sometimes displayed in the Hourly Wage column if multiple payrolls were included in the report. Incorrect Monthly Frequency for First Payroll of Month WFR-39383: The Yearly Frequency and Monthly Frequency values in the Tax Parameters widget of the Options page for pay statements are now correct. Previously, incorrect frequency values were displayed for the pay statements in payrolls that followed a finalized payroll in the previous month and had a pay date that occurred at the start of the month. The Options page is accessed by navigating to the payroll from Manage Payroll > Manage Payrolls > View All Payrolls, opening a Pay Statement from the View/Edit Employee Statements icon, selecting the pay statement and then clicking the View Statement button. The Edit Pay Statements screen appears. Click on Options in the drop-down menu under Utilities to view the Tax Parameters widget containing the frequencies. 11

13 Report Optimizations Pay Statement Records History Report WFR-62418: Optimizations have been implemented to improve the performance of Pay Statement Records History reports under My Reports > Payroll, when the reports contained large amounts of data. The reports run to completion now, without timeout errors. Taxes WFR-18874: Optimizations have improved the performance of the Account Taxes report under My Employees > Employee Payroll Maintenance > Taxes > Account Taxes. The report runs to completion now, without requiring filters to avoid timeout errors. Incorrect Taxable Wages When Arrear the Underfunded set to Entire Employee Deduction WFR-58387: The pay statements for employees with very low gross wages (not enough to cover deductions/taxes on benefit plans) calculated incorrectly when using Arrearage Settings within the deductions for these plans. The taxable wages on the pay statement processed correctly when the arrearage on the deduction was set to Arrear the Underfunded, but when set to Arrear the Entire EE Deduction, the subsequent pay statements had incorrect taxable wages, decreased by the arrears of the previous pay statement. This has been corrected and when setting a deduction to Arrear the Entire EE Deduction, the system will process as expected. Download Bar in Payroll Batch Import Not Updating WFR-49868: When importing a payroll batch under Manage Payroll > Manage Payrolls > View All Payrolls > Payrolls > Payroll Prep > Add/Edit Batches > Import File, the batch status indicator in the download bar stayed at 0% and showed 1/total employees. The number did not update although the employees were being imported into the batch. This has been corrected and the status bar will now be updated by increments of 25 to reflect the percentage and number of employees being imported. Scheduled Deduction Flat Amounts Not Populating Export WFR-47148: Scheduled Deductions with flat amounts were not populating in the Generic Retirement Plan Data Export. Moving forward, the Generic Retirement Plan Data Export will display the flat amount of scheduled deductions if the calculation method of the scheduled deduction is a flat amount. 12
