3 1 Introduction to the ODP Two Yearly review of the Cycle of Mentor Development. The purpose of this framework is to assist all categories of mentors, who are supporting student ODPs to meet the Two Yearly Cycle of Mentor Development, as outlined in the Standards, recommendations and guidance for mentors and practice placements document (CODP 2009). For the purpose of this document the Cycle of Mentor Development and the Standards, recommendations and guidance for mentors and practice placements document (CODP 2009) will be referred to as the CODP Mentor Standards. To stay on the live register it is compulsory to compile evidence of meeting the CODP mentor standards. This framework can support you in generating evidence of meeting the standards. The use of the framework is not compulsory, but generating evidence and the use of the verification forms on page 15 and 16 is compulsory. The tool is a process of self evaluation and reflection to support mentors in completing the cycle of mentor development, as required by the CODP (College of Operating Department Practitioners). Nurses who also mentor student ODPs, should provide evidence of the Triennial Review (NMC), instead of the Cycle of Mentor Development (2009), as the NMC is their regulatory body. However they should also complete page 10 and page 17 of this workbook, to address any specifics that need to addressed, in order for them to continue mentoring ODP students. 2 Guidance for Line Managers / ODP Education Team. A local mentor register for ODP mentors is held by the placement provider, this has great importance within the Standards, recommendations and guidance for mentors and practice placements document (CODP 2009). As a Line Manager / ODP Education Team you must: Read the mentor s self-assessment documentation and the evidence they have submitted to support the cycle of mentor development. Hold a follow up discussion with the mentor as part of the appraisal process. Your role is then to ensure you are satisfied that the mentor meets the CODP Mentor Standards (2009). You must also be satisfied that they have updated within the two years. You are then required to enter this competence on the live mentor register. 3

4 3 Categories of Mentors (CODP, 2009) Associate mentor Mentor Practice Educator / Clinical Supervisor (PE/CS) Role Supports students in clinical placement Provides formative feedback Completes formative assessment documentation Demonstrates competence in the area of assessment Implements local hospital policy. In addition to the role of the associate: Performs summative assessment Implements HEI assessment regulations and hospital policy. Mentors two ODP students within a twoyear time period to remain on the live register. In addition to the role of the mentor: Has overall responsibility for students in placements Organises workplace teaching sessions Arranges placement organisation and mentor allocation Holds current mentor data and provides regular updates to the HEI Attends ODP education meetings. Qualifications / requirements Registered practitioner with a minimum of six months postqualification experience Attends a specific local HEI preparation session Completes the cycle of mentor development every two years Implements evidencebased practice. Can provide evidence of CPD In addition to the associate, holds or is working towards (to be completed within a twoyear time period) at least one of the following: Mentorship qualification at level 3 (degree or above) Post Graduate Certificate in Education Post-graduate award in healthcare education Holds a level 2 mentorship (diploma) / Cert Ed qualification and has completed level 3 modules Has completed the Scottish National Approach to Mentor Preparation In addition to required mentor qualifications: Has a minimum of three years post-registration experience AND Posses a relevant first degree (see section 1.9 of the CODP (2009) mentor standards document) OR Enrolled and working towards a relevant first degree 4

5 4 Cycle of Mentor Development Two Yearly Review. (Ref: CODP 2009 p.35) In order to meet the CODP Mentor Standards, you should undertake a minimum of one activity every two years for each section of the cycle. The activities should ideally be linked. The nature of the two yearly review of mentors and practice teachers is for the placement providers to determine but may form part of an employer-led personal development appraisal. To be maintained on the local register the individual must have evidence of having: 1. Mentored at least two students within the two year period. 2. Participated in ODP specific update every two years. 3. Undertaken work based / informal learning relevant to their role as a mentor. 4. Undertaken professional activity 5. Develop knowledge and understanding of their role through formal of education activity. 5

6 5 Portfolio Evidence The CODP (2009), mentor standards can be looked upon as continuation of your Professional Development and will contribute to your CPD portfolio. It is up to you as a mentor to decide how to collate this evidence, but it is advised, to start to gather evidence in a portfolio separated by four inserts related to each section of the Cycle of Mentor Development. PLEASE NOTE THAT ANY EXAMPLES OF STUDENT DOCUMENTATION (EXCEPT TESTIMONIALS) MUST BE ANONYMISED. For example: Mentorship Module Workbooks or course work Lesson plans of formal clinical teaching (pre-planned) Process maps for spontaneous clinical teaching Self evaluation of your teaching Development of learning opportunities within your practice area Clinical learning environment assessment Student placement timetables Student Welcome Packs you might have developed Resource development student packs, CD roms Testimonials from students (must show evidence of consent) Student evaluation of the placement experience Evidence of involvement in working parties / development groups Evidence of policy / protocol / procedure development Evidence and knowledge of your educational audit Your annual appraisal Your KSF review Accounts of how you have introduced new procedures/changes within practice Reflective accounts of your experience as a mentor teaching, facilitating, learning etc Reflections on how you involved MDT in supporting your learners development 6

7 CYCLE OF MENTOR DEVELOPMENT SECTION 1 Work Based / Informal Activities CODP recognises that through the mentorship of students, the individual will also learn and develop in their role as a mentor or associate mentor. Workbased/informal learning activities are core to all professionals and enable the practitioner to direct their own development based on identified needs: (ref CODP 2009, page 36) KSF Elements related. 8 CYCLE OF MENTOR DEVELOPMENT SECTION 2 Professional Activity The aim of this element of the cycle is to ensure the ongoing development of the professional in the role of mentor or associate mentor. In the mentoring role, the practitioner acts as a role model for the student and works to develop the learner as a professional practitioner; consequently, it is essential that the mentor demonstrates these qualities and standards (ref CODP 2009, page 37) KSF Elements related. 10 CYCLE OF MENTOR DEVELOPMENT SECTION 4 HEI Update Attendance at an ODP-specific HEI update is an essential element of the cycle of mentor development, because it ensures that the mentor remains current with student-related policies and assessment processes. The update is also an opportunity for the mentor to clarify any issues and develop a link with the HEI. CODP recognises that this may take a variety of forms; for example, formal updates, informal updates (which may occur in the working environment) or online updates. 13 REFLECTIVE MENTORING ACCOUNT - EXAMPLE What was the nature of the activity? Briefly describe the activity; for example I mentored a second year ODP student undertaking an 8 week surgical placement in general theatres. Description of the activity. Give a more detailed description of what you did; for example The student and I reviewed their existing experience and action plan and identified the particular areas which they wanted to develop, we then set targets and reviewed these throughout the placement. We worked to further develop the student s circulating skills and especially their understanding of specimens and diathermy. I also worked with the student on their scrub skills, the student had gained competence in scrubbing for minor cases during a previous day surgery placement so we worked to develop competence and confidence in intermediate and some major cases etc. What was the outcome of the activity? Give a personal account of how your involvement in this activity contributes to your personal practice and/or your continued professional development. Remember to link this to the requirements of your personal development review and to the requirements for The Cycle of Mentor Development. eg During the student s placement I attended a laparoscopic study day as part of my CPD activity (formal/educational) which I believe supported the student s learning as I was able to disseminate the information I had learnt with the student which I feel aided their knowledge development. The setting of clear targets was helpful to both myself and the student as we both had clear objectives to focus on, I shared this with the rest of the team so that, on the few occasions I was off-duty, the student had continuity within the placement. As part of the student s specimen competency, I arranged for them to visit the lab to observe the journey of the specimen; as the operating list was cancelled on that occasion, I accompanied the student (work-based/informal) and found that I learnt some new information that I will share with the team and future students. I found this mentoring experience very positive as I feel the student achieved their outcomes and worked hard to generate evidence, the cancelled lists gave me additional time to spend with the student and I developed my own knowledge as a result. I feel that in future I will be more confident in my mentoring activities if I have acquired new knowledge and therefore plan to update my knowledge through websites eg NICE and also online CPD activities. I have completed a reflection as evidence of undertaking the mentoring role (professional) and will add this to my portfolio. Date: Signed : Print Name : 13
