3 Who is Impacted SPS employees who did not accrue sick leave prior to January 1, This includes hourly, substitute and seasonal employees (about 3500 SPS employees). Accrual 1 hour for every 40 worked =.025 sick time per hour worked. CBA and district assigned sick time is about twice that to a Max of 8 hours/month. Full time employees will not accumulate sick leave under the new law because their negotiated sick leave is greater than the state minimum. Part-time salaried employees will get enough of their earned I-1433 sick leave to meet state minimums (20-30 employees impacted) If an employee separates from employment at SPS, this sick leave is on the books and will be reinstated if the employee returns within 12 months. Able to be transferred to another WA school district or OSPI (not to the fed, state, or local govt.) 4 Hourly employees see accrued sick leave after their timesheets are entered and payroll has been processed. Employees will see their first accrual on their Feb 1, 2018 paycheck. This is how the new quota balances appear on a pay statement. 4

6 Timesheets Most employees affected by this change have a timekeeper enter their time. Timesheets indicate how to report sick time to the timekeeper. 6

8 Scenario 1 - Multiple Non-Represented Hourly positions Positions that receive paid sick leave Personnel Area: N009 N026, Employee Group: A - Regular, Employee Subgroup: 1 Hourly Personnel Area N027, Employee Group C - Casual Hourly or D - Student, Employee Subgroup 1 Hourly Personnel Area N029, Employee Group E- Substitute, Employee Subgroup 11 Substitute Regular Personnel Area N031, Employee Group C - Casual Hourly, Employee Subgroup 1 Hourly Each position just accrues in one Hourly Sick Leave bucket type 1150 When an employee wants to use sick leave, you apply sick leave against the position they called in sick for and it is deducted from the total hourly sick leave balance. Scenario 2 - Represented Hourly and Non-Represented Hourly concurrent positions Personnel Area: N005 Hourly, N006, N008 - Hourly accrue according to CBA rates into sick type bucket New Paid sick leave accrues at.025 per hour into Sick Type bucket 1150 Because CBA accrues at a higher rate, the 1150 sick leave accrues just enough so the total hits.025 per hour or more. Most of these mixed employees will not accrue 1150 leave because they already get enough of the CBA leave. If there is a Sick balance in 1104 and in 1150, you apply sick leave against the position they called in sick for and it is deducted from the respective sick leave balance. If not enough leave in the specific position, Payroll at payroll@seattleschools.org to have leave transferred. 8

9 Scenario 3 Mixed; FTE and Hourly positions Personnel Area: N005 Salaried, N006, N008 Salaried, N009, N011 N026 accrue 1 day monthly C001, C002, C004 C006, N003, N004, N010 frontloaded New Paid sick leave accrues at.025 per hour into Sick Type bucket 1150 Because CBA accrues at a higher rate, the 1150 sick leave accrues just enough so the total hits.025 per hour or more. Most of these mixed employees will not accrue 1150 leave because they already get enough of the CBA leave. If there is a Sick balance in 1104 and in 1150, you apply sick leave against the position they called in sick for and it is deducted from the respective sick leave balance. If not enough leave in the specific position, Payroll at payroll@seattleschools.org to have leave transferred. Scenario 4 Separated FTE rehired into an Hourly position Assuming sick leave was not cashed out, employee is allowed to use the leftover 1104 sick leave but they have to use up all of their 1150 leave first Payroll at payroll@seattleschools.org to have the 1104 leave transferred (payroll will only transfer what is needed; they will not transfer the entire balance over). 9
