1 As candidates apply thru our internal/external websites, job boards and thru agency submissions, the WD platform houses their resume, candidate details and responses to any qualifying questions that were asked. It is now up to the Primary Recruiter to begin the Recruiting Workflow process of reviewing submissions, screening, interviewing, submitting to Hiring Managers, making offers and ultimately hiring. For Primary Recruiters, one of the first steps is finding their requisitions and the candidates that have responded to the postings. That information is located in the Recruiting worklet on the dashboard: Within the Recruiting Worklet, you can perform many tasks. A F B G C H D I E J K A. Create Prospect Add a potential candidate to the database 1. Select Create Prospect 2. Select Add New Prospect 3. Click OK 4. 2 3 2 B. Invite to Apply Send an to invite a candidate to apply online for a vacancy 1. Enter the candidate name it is required that the candidate have a completed application in the system to Invite to Apply. 3. Select the Job Posting you would like the candidate to apply 4. 4 Review Requisitions / Candidates: There are two options that the Primary Recruiter can be used to review the Primary Recruiter job requisitions 1. Search for the Requisition directly in the search bar 3. Select the requisition you want to begin to review candidate submissions 4. Details - This option leads you to the Job Requisition Overview 2. OR use My Recruiting Jobs within the Recruiting Worklet Page 4

5 5. Select Candidates or Review Candidates Leads to the Candidate Overview 6. To view a candidate, select REVIEW next to the candidate name The candidate Overview Provides a brief view of the candidate. 8. Duplicates a system check that allows the Recruiter to combine multiple applications for a specific candidate (Two methods of verifying) Via the candidate Overview Page 7. 6 Via Action Within the Candidate Profile 1 2 Click on Merge and make sure the current candidate profile is being merged TO the former employee s profile. 3 (added 09.January.2019): You want to check and merge duplicates prior to any Offer or Hire event, especially when the candidate is a re-hire. Failure to not merge duplicates when the candidate is a former employee results in incorrect service dates and difficulties in entering Government ID s as duplicates are present. In the example below, Franklin Hayes was a former employee who recently posted for a current position. The Recruiter would want to merge the two candidate profiles together. If Franklin is then re-hired his past employee profile in Workday will be brought in and used; reducing any potential errors with past service dates, Government ID s and past positions. Afterwards, you will see the candidate identified as a Prior Worker. 9. Recruiting History Provides the messages sent to candidate relating to this role and the candidate status Page 6

9 Forwarding candidate to the Manager for their review 1. To share a candidate, access the candidate s overview section 9. Click SUBMIT 10. Select Move Forward or Decline (Option) 2. Select Move Forward Other Move Forward Options 3. Select Option Manager Review within the drop Down 4. The request asks that the Primary Recruiter to Proceed with scheduling the Manager and Panel Onsite Interview 15.
