1 Keele Postgraduate ssociation Bar & Entertainment Manager Keele University & the KP Keele University Keele University is the UK's leading campus based university offering a premium student experience. Keele Postgraduate ssociation (KP) The Keele Postgraduate ssociation began life in 1963 as the Keele Research ssociation (KR), a group dedicated to obtaining on-campus accommodation for postgraduate students. It was the first students union in the United Kingdom dedicated exclusively to the support of postgraduate students. Situated in the second floor common room of Keele Hall, also known as the Gun Room, the KR became committed to the social side of the research community, soon becoming the voice of postgraduate interests within the University. Now known as the KP, the ssociation is now a small students union providing representation and support services for approximately 3,600 postgraduate students at Keele University. The Committee is comprised of two full-time elected officers, two part-time officers, and a small number of voluntary positions. These officers act as a conduit between the student body and Keele University, sitting on over 30 committees and working groups throughout the organisation. The KP s social space, the recently refurbished KP Clubhouse, sits in the centre of campus and provides food and refreshments to postgraduate students and University staff. 2 Role Summary: To manage the day to day operational running of the KP Clubhouse and organisation of events and entertainment. To manage and develop the wet and dry service provision, and support the performance of the team to:. Provide excellent customer service. Maintain and improve long-term commercial financial sustainability. Organise and deliver a variety of events and entertainment to postgraduate students and staff. Maintain high standards of hygiene and health and safety. Ensure high standards and efficiency of work. Implementation and maintenance of impeccable record-keeping and administrative systems. Main Duties and Responsibilities: Ensure the Clubhouse is open on time and that it is ready for business. Organisation of a wide variety of social events and entertainment throughout the year. Ensure excellent front of house service, allocate and support staff throughout the shift to maintain speed of service and cleanliness of venue, and ensuring that tasks are effectively delegated to staff members Complete daily paperwork to ensure the safe running of the Clubhouse, and for those standards to be monitored and maintained throughout staff shifts. Pre-empting and actively responding to problems that arise and keeping management up to date. Ensure that staff are adhering to opening hours, completing start and end of day jobs to a high standard, all back and front of house areas checked and secured, adhering to responsible retaining practices, and that the Clubhouse is in excellent order for service at all times. To ensure that staff are actively monitoring and maintaining all areas within their remit, i.e. toilets, smoking area, beer garden. To ensure that staff are maintaining and cleaning equipment Oversee cash handling procedures and deal with banking, invoicing, and associated administration. Organise and attend all staff meetings. Provide supervision and assist in the timely and accurate completion of tasks in relation to the following: 1. Tills To optimise all till operation and cashing up procedures and ensure all staff are following these correctly. Coordinate with IT services to ensure the EPoS system is maintained. 2. Stock and deliveries Ensure stock is ordered, received, and secured in cellar and store rooms on delivery.

3 Ensure that detailed checks of deliveries are being carried out for accuracy and quality of product. Ensure that stock rotation is applied when storing deliveries and that the correct storage method is applied to each product. Ensure that stock levels are being monitored throughout shifts and replenished as required. Ensure that the recording of wastage by staff is carried out accurately. 3. Training and oversight of staff Oversee activities of staff and take ultimate responsibility for ongoing levels of service and professionalism on the premises Liaise with the Clubhouse Supervisor to monitor and support new staff and organise colleagues for staff to shadow for their first few shifts. Take the lead with coaching and developing staff, and liaising with the Clubhouse Supervisor as required to identify training needs. Brief staff of any developments they should be aware of, such as external events happening within the University, changes to legislation, etc. 4. Health & Safety Ensure high standards of health and safety are maintained at all times. Ensure required daily cleaning tasks, both front and back of house, are completed and work has been carried out to a high standard. Ensure the storage areas are kept in a clean, tidy, and safe condition. Ensure any faults or problems with equipment and the Clubhouse building generally are reported to relevant individuals, University departments, and contractors. Work in a way that minimises risks to the health and safety and security of self and others, and ensure that all staff are operating and are trained to operate to the same standard. Ensure all cleaning products and any other substances that could cause a health risk are used in accordance with the relevant safety guidance. To maintain procedures (fire evacuation policy, lone working policy, etc) within the KP Clubhouse, and ensure all staff are fully aware are following them. 5. Legislation, Finance, and Policy To work together with the KP Committee, taking responsibility for the production of an annual business plan, budget, and key management reports on behalf of the KP Clubhouse, including the collection and analysis of information to inform decision making and policy development in line with the ssociation s mission and core values. ccuracy and efficiency when dealing with routine administrative and financial matters. 4 To manage and reconcile Clubhouse funds in compliance with financial regulations ensuring that operational efficiency and cost efficiency is maintained. To understand and actively support all organisational policies relevant to your role, including Green Impact and health and safety inspection procedures/expectations. Ensuring that the KP s aspirations to reduce environmental impact and promote sustainability are adhered to, the Clubhouse s recycling and sustainability policies are followed at all times, and that Green Impact objectives are followed. To work within the policies set out by the KP Committee and Trustees, as well as those stipulated by the University and by law. 6. Personal Development Ensure personal mandatory training is up to date. Other Comply with all regulatory and Clubhouse policies and procedures relevant to the performance of own role. Participate in audit programmes, as required. To be responsible for the procurement of event and office equipment, and to process staff pay and expenses. To liaise with the KP Committee, dministration Coordinator, and external parties on a regular basis to ensure relevant information is communicated effectively. Ensuring that the KP Clubhouse is at the centre of Keele s postgraduate community through the organisation and marketing of regular events. To work in a manner which supports the future sustainability of the KP and KP Clubhouse.

5 Developing working relationships with relevant organisations such as KeeleSU and relevant University departments. To become reasonably familiar with general and wider trends in areas of student union activity. To support relevant elected officers with ensuring effective and positive lines of communication with all key groups of stakeholders. To attend and contribute to, where relevant and appropriate, operational meetings on behalf of the KP Clubhouse. To work independently with minimum supervision and routinely use initiative and problem-solving skills. This is not intended as an exhaustive list of duties or a restrictive definition of the post but rather should be read as a guide to the main priorities and typical areas of activity of the post-holder These activities are subject to amendment over time as priorities and requirements evolve and as such it may be amended at any time by the line manager following discussion with the post holder.
