Manager Recommendation Employee Acknowlegement Complete Key Information The Probation >1 Year Form is used when the length of the employee Probation is greater than 1 year. The Form was designed for Academic Probations of 3 years however, the Form can be used for Probation periods shorter than 3 years. The Form is collaborative and comments can be added to the Probation Form by the Manager and the Employee at any time throughout the Probation period. The Probation Form is not intended to replace formal meetings and discussions between the employee and the manager. All comments can be viewed by both the employee and the manager Supporting documents can be uploaded as Attachments by the employee and/or the manager. Page 2 of 16

3 Access the Probation>1 Year Form 1. Click on the To Do tile to access the Probation>1 Year Form SuccessFactors 2. Click on Probation Review Year 1 o open the Probation Form Please note that the Probation Due date can be found in the Probation Form template. Page 3 of 16

4 3. Click on the icon to view the list of activities the employee is required to complete. Click on the activity if want to go straight to that activity in the Form Page 4 of 16

5 Update the Activities Section 4. Click on a link to access Learning Material in Discover or view the Leadership Frameworks SuccessFactors Choose the links that are relevant to the Probation. The system will open the link to Discover to complete the activities or the UON Website to access the Performance Framework documents 5. Click on the checkbox as an indication that the activities relevant to your probation are complete 6. Add comments about how you are tracking with the probation activities assigned. Please note - Information entered into the comments areas can be viewed by the manager Page 5 of 16

6 Update Performance of Duties Year 1 7. Add comments about how you are performing your duties during the first year of probation. SuccessFactors Update Employee s Conduct Year 1 8. Add comments about how you are conducting yourself and demonstrating expected behaviours. 9. Save and Close when editing is complete Page 6 of 16

7 Viewing the Managers Feedback Throughout the Probation period, it is expected that that the employee and manager will discuss the employee performance during the probation. Prior to the end of each year during the probation period, the manager will discuss the employee s performance and update SuccessFactors with comments on how the employee is tracking. These comments can be viewed in the Manager Comments boxes within SuccessFactors. After the Year 1 review, the Manager will add their comments and move the Probation Form to Year 2. Year 2 Probation Review process 1. Access the Probation >1 year form from the to Do Tile 2. The Form will be in the probation Review Year 2 Stage Page 7 of 16

8 3. At this stage the employee and Manager can continue to update the Activities to be completed during Probation section and add further comments Update Employee s Performance of Duties Year 2 4. 9 6. Save and close when complete After the Year 2 review, the Manager will add their comments and move the probation form to Year 3. Page 9 of 16

10 Year 3 Probation Review process 1. Access the Probation >1 year form from the to Do Tile SuccessFactors 2. The Form will be in the probation Review Year 3 Stage 3. At this stage the employee or manager can continue to update the Activities to be completed during Probation section and add further comments Page 10 of 16

12 Update Employee s Conduct Year 3 5. Add comments to Employee s Conduct Year 3 SuccessFactors 6. Save and close when complete After the Year 3 review, the Manager will meet to discuss the outcome prior to adding their comments and making a Recommendation. The system will also trigger an as notification that a Recommendation has been made and the Form is ready to be acknowledged. The employee is required to access the Form and Acknowledge the Recommendation to complete the online Form process. Page 12 of 16

13 View the Manager Recommendation and Complete Employee Acknowledgement Throughout the Probation period, it is expected that that the employee and manager will discuss the employee performance during the probation. Prior to the end of the probation period, the manager will discuss the probation outcome and their recommendation. After this meeting, the recommendation will be entered into the system and the employee is required to acknowledge the probation outcome through the Probation Form in SuccessFactors. 1. Click on the To Do tile to access the Probation Form 2. Click on Employee Acknowledgement 3. Click on the icon as a shortcut to the incomplete activity (option 1) Page 13 of 16

14 4. Click on the Actions link to see what actions is required (Option 2) Note: Alternatively, scroll down to the end of the Form (Option 3) Page 14 of 16

15 5. Review the managers recommendation SuccessFactors 6. Check the Checkbox to confirm you have read the managers comments and participated in the probation review process 7. Enter additional comments (not mandatory) 8. Click on Complete Probation button 9. Click on the Complete Probation Form to complete the probation process Page 15 of 16

16 An will be sent to the employee and the manager to notify the Probation Form is complete. How to Access Completed Forms 1. Click on the PRD Plan Tile 2. Click on Completed under My Forms 3. Access your completed Probation form Page 16 of 16
